Real Estate Operations | Developer, Agency and Property Manager in One Odoo 19 Enterprise App

Unit Sales, Listings, Bookings, Leases and Handover on a Shared Property Master

Rental Billing, Deposits, Owner Statements, Website Publish and Broker Commission

Real Estate Operations is a single Odoo 19 Enterprise application for property developers, real estate agencies, and property managers. It does not create a second property master. It sits on top of the existing Property, Unit and Contract records from Tenant and Property Rental Management. The same building and the same unit can be listed for sale or rent, reserved by a buyer, leased to a tenant, and handed over after a sale. Enable the businesses you actually run under Property Configuration Settings. Unused menus are hidden.

Overall Purpose

The purpose of this module is to run developer sales, agency listings, and property management from one Odoo company without duplicating buildings or units. Teams share occupancy, contracts, invoices, commissions and portal access. Settings turn each business type on or off so a pure agency, a pure developer, or a mixed operator can use the same app.

Scope of Module

The module covers the full commercial loop on a shared property master: listings, viewings, offers, website publish, unit booking, payment plans, EOI and SPA prints, handover snag lists, rental deposits, CAM and utilities, late fees, rent increment on renewal, native Odoo rent subscriptions, rent roll, owner statements, broker vendor bills with sales commission worksheets, tenant maintenance portal, and owner portal. HelpDesk, Tenant History, Properties, Units, Contracts and configuration masters stay in the existing tenant and contract apps. This module extends those records and occupancy so sales, leasing and management stay on one unit.

Real World Problem It Solves

Many real estate companies run sales, leasing and management in separate spreadsheets or separate Odoo apps, so the same flat appears available in one place and occupied in another. Commission is billed but not posted to a worksheet, deposits are invoiced but not marked held or refunded, and owners have no portal view of their units. This module connects those operations on one unit record, with occupancy that follows bookings and contracts.

Types of Properties Managed

  • Residential apartments, flats and villas
  • Commercial offices, shops and mixed-use buildings
  • Township and multi-unit developments (developer inventory)
  • Rental and leasing portfolios (property management)
  • Agency sale and rental listings for the same stock
  • Other property types already supported by the existing property master

Operations Covered

  • Shared occupancy including Available, Occupied, Reserved, Blocked, Under Maintenance and Sold
  • Agency listings, viewings, offers and website shop publish
  • Developer booking, payment plan, installment invoicing, EOI, SPA and handover
  • Rental deposit, advance, CAM, utilities, late fees and renewal increment
  • Native Odoo Subscriptions quotation for rent
  • Broker vendor bill and sales commission worksheet
  • Rent roll and owner statement with owner bill
  • Tenant maintenance portal and owner units portal

Industries Covered

  • Property developers and builders
  • Real estate agencies and brokers
  • Property management companies
  • Rental and leasing businesses
  • Mixed operators who sell, lease and manage the same stock
  • Real estate investment and community management companies

Complete Property App Menu Map

Real Estate Operations adds Operations and Reports under the existing Property application. The complete working app (this module plus its tenant / contract / property dependencies) is the menu tree below. Every item is part of the end-to-end process: master data, selling, leasing, billing, maintenance and settlement.

  • Property > Contracts : rental and transfer/ownership contracts, deposit, CAM, utilities, SPA print, broker bill, rent subscription
  • Property > Operations
    • Listings : For Sale / For Rent, Set Published, Publish on Website, Close
    • Viewings : schedule, calendar, Mark Done / Cancel, link to listing and CRM
    • Offers : Accept / Refuse, Create Quotation
    • Bookings : Confirm Reservation, Print EOI, Payment Plan, Mark Converted, Cancel
    • Payment Plans : Generate Installments, Confirm, Create Installment Invoices
    • Handovers : snag list, Start, Complete Handover
  • Property > HelpDesk : maintenance requests (New / Verified / In Progress / Completed), tenant portal tickets
  • Property > Tenant History : occupancy history created when a contract is activated or ownership is transferred
  • Property > Reports
    • Rent Roll : active and expiring-soon rental contracts
    • Owner Statement : rent collected vs expenses, Create Owner Bill
  • Property > Configuration
    • Settings : enable Property Management / Agency / Developer, billing products, default subscription plan
    • Properties and Units : shared master (buildings, wings, occupancy, rent, deposit, owner)
    • Tags, Amenities, Property / Unit Types, Document Types, Property Category, Wings : masters used on every listing, contract and unit
  • Sales > Configuration > Contracts : contract stages, plans, types and tags used when you create a lease or SPA
  • CRM : listing on the opportunity, Viewings button, property and unit on the lead
  • Website Shop : published unit product page
  • My Account (Portal) : Property Maintenance and Owned Units

How This Module Fits the Existing Master

Tenant and Property Rental Management already stores Property, Unit, Contract, HelpDesk, Tenant History and documents. This module does not clone those records. It adds the commercial operations layer on the same unit: listings, viewings, offers, bookings, payment plans, handover, occupancy including Sold, website publish, deposit hold/refund, CAM/utilities/late fees, rent roll, owner statement, broker commission worksheet, and portals. Occupancy is recalculated from confirmed bookings and active contracts so sales, leasing and management cannot disagree on whether a unit is free.

End-to-End Workflows

Use the process that matches how the company actually works. All three can run in the same database on the same stock. Settings hide unused Operations and Reports menus.

Workflow 1 : Agency rental (enquiry to lease)

Process: Property / Unit master > Listing (For Rent) > Set Published / Publish on Website > CRM opportunity > Viewing > Offer > Accept (other drafts refused) > Create Quotation > Rental Contract > Invoice Deposit and Advance Rent > Activate contract (Occupied + Tenant History) > Recurring rent invoices with CAM and utilities > Rent Roll > Owner Statement.

  1. Create or reuse a Property and an available Unit (rent, security deposit, advance rent, owner, amenities, documents).
  2. Create a Listing: Purpose For Rent. Asking price is suggested from unit rent. Optional broker partner.
  3. Set Published for internal use, or Publish on Website to create a shop product linked to the unit (blocked if occupied, reserved, sold or blocked).
  4. Capture the enquiry as a CRM lead. Set Listing, Property and Unit. Open Viewings from the opportunity.
  5. Schedule a Viewing (visitor, agent, start, duration). Mark Done after the visit, or Cancel.
  6. Record Offers. Accept the winning amount. Remaining draft offers on that listing are refused automatically.
  7. Create Quotation from the accepted offer (unit shop product on the line when it exists).
  8. Create a Contract type Rental on the same unit, set CAM / utilities / late fee / increment, broker and plan.
  9. Invoice Deposit and Invoice Advance Rent once each. Post and pay the deposit so Deposit Held turns on.
  10. Move the contract to Active. Tenant History is created and the unit becomes Occupied. Close the listing so the shop product is unpublished.
  11. Generate recurring rent invoices. CAM and utilities appear as extra lines. Analytic account follows the unit, otherwise the property.
  12. Overdue posted rent invoices pick up a late-fee invoice from the daily job when Late Payment Fee is set.
  13. Review Rent Roll. At period end run Owner Statement and Create Owner Bill for net payable to the unit owner.
  14. Tenant uses My Account > Property Maintenance for tickets. HelpDesk runs New > Verified > In Progress > Completed.
  15. On move-out: Refund Deposit (credit note), expire or close the contract, occupancy returns to Available unless another booking exists.

Workflow 2 : Agency sale (enquiry to quotation)

Process: Unit available > Listing (For Sale) > Website optional > Viewing > Offer > Accept > Create Quotation > (optional) Booking / Payment Plan / Transfer Contract as in the developer flow.

  1. Listing Purpose For Sale. Asking price is suggested from the property standard sale price.
  2. Publish internally or on the shop. Shop page shows property, unit number, floor, area, occupancy and price context.
  3. Viewings and offers work the same as rental. Accepting one offer refuses the others on that listing.
  4. Create Quotation for the buyer. Continue with developer booking and SPA if the company also sells inventory, or hand the deal to sales confirmation only.

Workflow 3 : Developer unit sale (reservation to handover)

Process: Inventory unit > Booking (EOI) > Confirm Reservation (Reserved) > Payment Plan > Generate Installments > Confirm > Installment invoices and payments > Transfer / Ownership contract > Print SPA > Transfer Ownership (Sold, new unit owner) > Handover snag list > Complete Handover (booking Converted).

  1. Create a Booking on an available unit. Amount is suggested from advance rent or standard sale price. Set reservation expiry.
  2. Confirm Reservation. Unit becomes Reserved. A second confirmed booking on the same unit is refused. Occupied, sold or blocked units cannot be booked.
  3. Print EOI (Expression of Interest) for the buyer. This is an operational reservation print, not a legal sale.
  4. Open Payment Plan from the booking (or create it under Operations). Set total, number of installments, interval months, down payment %, first due date.
  5. Generate Installments while Draft. Down payment is an extra line. The last installment is rounded so lines equal the total. Confirm the plan.
  6. Create Installment Invoices (all remaining lines) or Invoice on one line. Post and register payment in Accounting. Invoiced / Remaining amounts follow paid lines.
  7. Create a Contract with type Transfer / Ownership on the same unit. Print SPA. Review with legal counsel before signing.
  8. Transfer Ownership: unit status Sold, unit owner = buyer, tenant history row with Is Owner.
  9. Create Handover, optionally linked to the booking (fills unit, property, partner). Add snag items (Open / Done).
  10. Start then Complete Handover. A confirmed booking is marked Converted. Occupancy is refreshed.
  11. If the buyer never completes, Cancel the booking or let the daily job expire it after the expiry date. The unit can return to Available.

Workflow 4 : Property management (move-in to settlement)

Process: Unit + owner > Rental contract > Deposit / advance invoices > Activate > Occupied + history > Recurring rent (CAM, utilities, analytic) > Late fees > Renewal with increment > Rent Roll > Owner Statement / owner bill > Maintenance > Refund deposit on exit.

  1. Set Unit Owner, rent, security deposit, advance, analytic account, broker commission % on the unit.
  2. Create a Rental contract with plan (billing cycle), CAM, utilities, late fee, rent increment %, notice period, broker.
  3. Invoice Deposit and Invoice Advance Rent (once each). Post and pay. Deposit Held is true after the deposit invoice is paid and not refunded.
  4. Activate the contract. Tenant History move-in is created. Unit Occupied.
  5. Optional: Create Rent Subscription builds one native Odoo Subscriptions quotation from the contract. Do not also run contract recurring invoices unless you intend to double-bill.
  6. Generate recurring invoices. Rent line uses Total Payable Amount. CAM and utilities are extra lines using Settings products.
  7. Daily job Real Estate: Late payment fees creates a fee invoice for overdue posted rental invoices (once per invoice).
  8. On renewal, the wizard applies Rent Increment Percent and copies CAM, utilities and the recurring plan.
  9. Rent Roll is the live list of active / expiring-soon rentals (no create from that menu).
  10. Owner Statement: owner + date range > Compute (paid customer invoices vs posted vendor bills on that owner's units) > Create Owner Bill when net > 0.
  11. HelpDesk for repairs; optional material purchase requisition from the request. Portal tenants can only ticket contracted units.
  12. Move-out: Refund Deposit (posted deposit invoice required), close/expire contract, occupancy Available again.

Workflow 5 : Mixed operator (same unit over time)

One unit record is used for every business. Example lifecycle:

  1. Developer sells off-plan: Booking Reserved > payment plan invoices > SPA > Sold > handover Converted.
  2. Investor keeps the unit with a management mandate. Unit Owner is now the buyer. Listing For Rent on the same unit.
  3. Agency viewings and offers. Rental contract Occupied. Deposit held. Rent roll and owner statement pay the investor.
  4. Lease ends, deposit refunded, unit Available. Agency can list For Sale or For Rent again. Occupancy never needs a second unit code.

Workflow 6 : CRM to operations

Website or phone enquiry becomes a CRM lead. On the opportunity set Listing, Property and Unit (and contract plan if you will create a contract from the lead). Viewings from the lead header prefill visitor, listing, property and unit. Offers and bookings can store the same lead. Create Contract from the lead (existing tenant app action) uses that property, unit, customer and plan. The commercial follow-up never leaves the same unit.

Workflow 7 : Broker commission

Listing stores optional Broker. Contract computes Broker Commission Amount from percent x rent or sale amount. Create Broker Bill (existing) creates the vendor bill. This module then posts a Sales Commission worksheet line for that broker, linked to the bill and stored on the contract. A CRM sales team must exist. Optional commission product is used when present.

Process Status Lifecycles

  • Unit occupancy: Available > Reserved (confirmed booking) or Occupied (active rental) or Sold (ownership transferred). Under Maintenance and Blocked are not overwritten by occupancy sync. Cancel / expire booking or expire contract can return Available.
  • Listing: Draft > Published (Set Published or Publish on Website) > Closed (unpublishes shop product).
  • Viewing: Scheduled > Done or Cancelled.
  • Offer: Draft > Accepted or Refused. Accept refuses other drafts on the same listing. Create Quotation only after Accepted.
  • Booking: Draft > Confirmed (unit Reserved) > Converted (sale/handover) or Expired (cron) or Cancelled (unit freed).
  • Payment plan: Draft (Generate Installments) > Confirmed (Create Installment Invoices). Lines: Draft > Invoiced > Paid.
  • Handover: Draft > In Progress (Start) > Done (Complete Handover; converts confirmed booking).
  • Contract stages (existing): Draft > Confirmed > Active (history + Occupied) > Expired Soon > Expired (move-out date) / Cancelled.
  • HelpDesk: New > Verified > In Progress > Completed. Portal tickets start as New, source Portal.
  • Deposit: Invoice Deposit > post/pay > Deposit Held > Refund Deposit (credit note) > Deposit Refunded.

Transactional and Accounting Process

All money documents are standard Odoo customer invoices, vendor bills, payments and credit notes, tagged with property, unit and contract type where this app creates them.

  • Agency / sale: quotation from offer > optional sales order on booking/plan > installment invoices (sale_installment) > payments.
  • Rental: deposit invoice, advance rent invoice, recurring rent (+ CAM + utilities), late-fee invoices, deposit refund credit note.
  • Broker: vendor bill + commission worksheet line.
  • Owner: vendor bill from Owner Statement net payable. Expenses on the statement are posted vendor bills on that owner's units (for example community charges).
  • Products from Settings: Security Deposit, Advance Rent, Late Payment Fee, CAM / Common Area, Utility Charge. Empty product still creates a described invoice line.
  • Analytics: unit analytic account, else property analytic account, on property contract invoice lines.

Configuration and Master Data Process

Before the first listing or contract, complete masters so every operational document is consistent.

  1. Settings: turn on the business types you run; set billing products and default rent subscription plan.
  2. Access: Real Estate User, plus Agency / Developer / Property Management persona groups. Contract Officer receives Real Estate User.
  3. Property Category, Unit Types, Wings, Tags, Amenities, Document Types : used on properties, units, listings and files (title, tenancy, SPA, EPC, and so on).
  4. Contract Stages, Plans, Types, Tags under Sales configuration : required to create a contract (plan has product, price, billing cycle, reminder days).
  5. Properties then Units : owner, secretary, analytic, rent, deposit, advance, broker %, website product optional.
  6. Partners: owners, buyers, tenants, brokers, facility managers, with portal users where tenants or owners should self-serve.

Portal, HelpDesk, History and Documents

  • /my/property-maintenance: tenant selects a contracted unit, submits subject and description, sees request status. Backend HelpDesk continues the workflow and can open related purchase requisitions.
  • /my/owned-units: owner sees units, occupancy and current rent, plus a read-only statement for a date range (default last 90 days). Owners cannot create the owner bill from the portal.
  • Tenant History: written on contract Active (move-in) and Expired (move-out), and on Transfer Ownership (Is Owner).
  • Documents: property, unit and contract document types (title, tenancy, SPA, identity, and so on) stay on the existing document tabs. This app adds EOI and SPA PDF prints.

Main Features

  • One Shared Property, Unit and Contract Master

Listings, bookings, leases and handover all use the same Property and Unit. Occupancy is recalculated from confirmed bookings and active contracts. Sold is added as a unit status when ownership is transferred. Smart buttons on the unit open listings, bookings and payment plans.

      Key Points :
    • No duplicate unit for sales vs rental
    • Sold status on ownership transfer
    • Reserved from confirmed booking
    • Occupied from active rental contract
    • Optional website product on the unit

  • Business Type Settings (Developer, Agency, Property Management)

Under Property Configuration Settings you enable only the businesses you run. Menus for listings, bookings or rent roll are hidden when that type is off. Contract officers receive Real Estate User access; persona groups can be assigned per user.

      Key Points :
    • Three independent switches on the company
    • Unused operations menus stay hidden
    • Groups: Real Estate User, Property Management, Agency, Developer
    • Billing products for deposit, advance, late fee, CAM and utilities
    • Default Odoo Subscriptions plan for rent

  • Agency Listings, Viewings and Offers

Create a listing for sale or rent, schedule viewings on a calendar, and record offers. Accepting an offer refuses other draft offers on the same listing. Create a sales quotation from an accepted offer. CRM leads can be linked to a listing with a Viewings button.

      Key Points :
    • For Sale or For Rent purpose
    • Asking price suggested from rent or standard sale price
    • Viewings with visitor, agent, start and duration
    • Accept / refuse offers
    • Quotation from accepted offer
    • CRM listing and viewings from the opportunity

  • Publish Unit on the Website Shop

Publish on Website creates or updates a service product, publishes it in the shop, and links it to the unit. The shop product page shows property, unit number, floor, area, occupancy and rent. Unavailable units show a warning.

      Key Points :
    • One click publish from the listing
    • Blocked if unit is occupied, reserved, sold or blocked
    • Unit details on the website product page
    • Close listing unpublishes the shop product

  • Developer Booking and Reservation Expiry

Reserve a unit for a buyer with amount and expiry date. Confirm Reservation sets the unit to Reserved. A daily job expires overdue reservations. Print Expression of Interest from the booking. Convert after sale, or cancel to free the unit.

      Key Points :
    • One confirmed booking per unit
    • EOI PDF for the buyer
    • Payment Plan button from the booking
    • Daily expire cron
    • Handover Done also converts the booking

  • Payment Plans and Installment Invoices

Generate installment lines from number of installments, month interval, down payment percent and first due date. Confirm the plan, then create customer invoices per line. Invoiced and remaining amounts follow paid invoices.

      Key Points :
    • Auto-generate N installments plus optional down payment
    • Lines always add up to the total amount
    • Invoice one line or all remaining lines
    • Link to booking, sales order and contract

  • EOI, SPA and Unit Handover

Expression of Interest prints from the booking. Sale/Purchase Agreement prints from a transfer/ownership contract. Handover records a snag list (open/done). Completing handover converts a confirmed booking and refreshes occupancy. Transfer Ownership marks the unit Sold and sets the buyer as unit owner.

      Key Points :
    • EOI PDF on bookings
    • SPA PDF on transfer contracts
    • Snag list on handover
    • Operational prints, not a legal pack

  • Deposits, Advance, CAM, Utilities and Late Fees

Invoice security deposit and advance rent from the contract. Deposit Held turns on after the deposit invoice is paid. Refund Deposit creates a credit note. CAM and utilities are extra lines on each recurring rent invoice. A daily job creates late-fee invoices for overdue posted rental invoices.

      Key Points :
    • Deposit and advance invoiced once per contract
    • Deposit held / refunded tracking
    • CAM and utility products from Settings
    • Late fee cron, once per overdue invoice
    • Analytic account from unit or property

  • Rent Increment, Renewal and Odoo Subscriptions

On renewal, rent increases by the contract increment percent. CAM, utilities and the recurring plan are copied. Create Rent Subscription builds a native Odoo subscription quotation from the rental contract so you can bill through Subscriptions if you choose.

      Key Points :
    • Increment applied on renewal wizard
    • Plan on contract or default in Settings
    • One subscription order per contract from this button
    • Avoid running subscription billing and contract recurring invoices together unless you intend to

  • Broker Commission Worksheet

Create Broker Bill still creates the vendor bill. This module also posts a line on the Sales Commission worksheet for the broker partner, linked to that bill. A sales team is required. Listing stores an optional broker partner.

      Key Points :
    • Vendor bill plus commission worksheet
    • Commission line stored on the contract
    • Uses existing Sales Commission app

  • Rent Roll and Owner Statement

Rent Roll lists active and expiring-soon rental contracts with rent, maintenance, next billing date and stage. Owner Statement computes rent collected vs expenses for an owner and date range, then can create a vendor bill for the net payable.

      Key Points :
    • Rent roll list and pivot
    • Posted invoices and bills on the owner units
    • Create owner bill when net is positive

  • Tenant and Owner Portal

Tenants raise maintenance for units on their contracts from My Account. Owners see their units, occupancy, current rent, and a read-only owner statement for a date range.

      Key Points :
    • /my/property-maintenance
    • /my/owned-units
    • Tenant can only request on contracted units
    • Owner statement on portal is view only

This app does not replace lawyer-prepared sale contracts or a full trust/escrow accounting engine. EOI and SPA prints are operational documents. Deposit tracking is invoice, hold after payment, and refund by credit note.

Depends

Requires Tenant and Property Rental Management, Customer Contracts (plus portal), Website Property Lease/Tenant Management (Enterprise), Sale of Real Estate Property, Sales Commission, Material Purchase Requisitions, CRM, Sales, Accounting, Website Shop, and Odoo Subscriptions (Enterprise). It does not install the Community tenant twin modules or the older Real Estate Management glue app.

Optional Add-On Modules (Separate Purchase)

These companion apps use the same Property, Unit, Contract and Invoice master from Real Estate Operations. They are not included in this module. Review and purchase them separately on the Odoo Apps Store when you need live KPI dashboards or post dated cheque management.

  • Real Estate Universal Dashboard | Property, Rental and Sales KPIs : auto-creates Real Estate, Rental and Property Sales boards in Universal Dynamic Dashboard. Requires Universal Dashboard plus this module.
  • Real Estate PDC Management | Received and Issued Post Dated Cheques : PDC register on contract, invoice, payment plan and installment. Requires this module and Accounting only.

User Manual

Step by step: where to find each feature, which button to use, and what happens when you click it.

1. Install and first setup

This is an Odoo 19 Enterprise application. Update the Apps list, then install Real Estate Operations. If it is already installed, use Upgrade after you receive a new version.

1.1 Access rights

Users who already have Contract Officer also receive Real Estate User and, on first install, all three persona groups (Property Management, Agency, Developer). After that, Settings controls which persona groups stay on those users.

  • Real Estate User: base access to operations records.
  • Property Management: deposit, advance, CAM, utilities, late fee, rent roll, owner statement, rent subscription, tenant portal tools.
  • Agency: listings, viewings, offers, website publish, CRM listing fields, broker commission line on the contract.
  • Developer: bookings, payment plans, handovers, SPA print.

You can also assign these groups on the user form under Real Estate Operations.

1.2 Settings

Open Property > Configuration > Settings. The Real Estate app block has three parts.

  • Business Types
    • Property Management: lease, rent roll, deposits, tenant portal, owner statements.
    • Agency: listings, viewings, offers, website publish.
    • Developer: booking, payment plans, handover.
Turn off a type to hide its menus from Real Estate users. All three can stay on if the company does all three businesses.
  • Billing Products (create simple service products if you do not have them yet)
    • Security Deposit Product
    • Advance Rent Product
    • Late Payment Fee Product
    • CAM / Common Area Product
    • Utility Charge Product
These products are used on customer invoices so accounting reports stay clean. If a product is empty, the invoice line is still created with a description and amount.
  • Subscriptions: Default Rent Recurring Plan (Odoo Subscriptions plan). Used when you click Create Rent Subscription on a rental contract and the contract itself has no plan set.

1.3 Where menus appear

Everything lives under the existing Property app:

  • Property > Operations > Listings / Viewings / Offers (Agency)
  • Property > Operations > Bookings / Payment Plans / Handovers (Developer)
  • Property > Reports > Rent Roll / Owner Statement (Property Management)
  • Property > Configuration > Settings

Property, Unit and Contract menus stay where they already were. This app adds buttons and fields on those forms.

2. Shared property and unit master

Create properties and units as you already do in Tenant and Property Rental Management. Do not duplicate a unit for sales vs rental. One unit record is used everywhere.

2.1 Unit occupancy

Unit status values: Available, Occupied, Under Maintenance, Reserved, Blocked, and Sold (added by this app).

  • Confirming a booking sets the unit to Reserved (blocked if another confirmed booking already exists, or if the unit is occupied/sold/blocked).
  • Cancelling or expiring a booking recalculates status. If there is no other reservation or active contract, the unit returns to Available.
  • An active rental contract sets the unit to Occupied.
  • Transfer ownership on a sale/installment contract sets the unit to Sold and updates the unit owner to the buyer.
  • Units in Under Maintenance or Blocked are left alone by occupancy sync.

2.2 Unit form shortcuts

On the unit form you will see smart buttons for Listings, Bookings and Payment Plans, plus a Website Product field. Link an existing shop product here, or let Publish on Website from a listing create one for you. Set rent, security deposit, advance rent, and broker commission percentages on the unit; contracts still use those values.

3. Agency user manual

Typical flow: create a listing, schedule viewings from CRM or the listing, record offers, accept one offer, create a quotation, optionally publish the unit on the website shop.

3.1 Listings

Menu: Property > Operations > Listings.

  1. Create a listing. Choose Property, Unit, Purpose (For Sale or For Rent), Asking Price, Listing Agent, and optional Broker (partner).
  2. Selecting the unit fills the property and suggests rent (rental listing) or the property standard sale price (sale listing).
  3. Use Set Published to mark the listing published internally without putting it on the shop.
  4. Use Publish on Website to create or update a service product, set it as published in the shop, and link it to the unit. This is refused if the unit is occupied, reserved, sold or blocked.
  5. Use Close to close the listing and unpublish the shop product.

Smart buttons open Viewings and Offers already filtered to this listing.

3.2 Viewings

Menu: Property > Operations > Viewings (list, form and calendar).

  1. Create a viewing with Unit, Visitor, Agent, Start datetime and Duration (hours).
  2. Optionally link a Listing and a CRM Lead. Choosing a listing fills unit and property. Choosing a lead fills the visitor if the lead has a customer.
  3. Statuses: Scheduled, Done, Cancelled. Mark Done after the visit or Cancel if it did not happen.

From a CRM opportunity, set Listing on the Property Contract page and click Viewings in the header to schedule from the lead.

3.3 Offers

Menu: Property > Operations > Offers.

  1. Create an offer on a listing with Buyer/Tenant, Offer Amount, and optional Valid Until date and Lead.
  2. Accept marks this offer accepted and refuses other draft offers on the same listing.
  3. Refuse refuses this offer only.
  4. After accept, Create Quotation opens a sales quotation for the buyer. If the unit has a website product, that product is put on the order line at the offer amount. If there is no product yet, the quotation is created without lines so you can add them.

3.4 Website unit page

After Publish on Website, open the shop product. Visitors see property name, unit, unit number, floor, area, occupancy status and rent when those fields are set. If the unit is occupied, reserved, sold or blocked, a warning explains it is not available online. The product form also has a Real Estate Unit page to inspect or change the linked unit.

3.5 Broker commission (agency + contract)

The listing stores an optional Broker partner. The contract (from Tenant and Property Rental Management) still has Broker, Broker Commission % and computed Broker Commission Amount. Rental vs ownership-transfer percentages can come from the unit when the contract type is set.

  1. On the contract, set Broker and commission percent. Confirm the computed amount.
  2. Click Create Broker Bill (existing button). This creates a vendor bill to the broker.
  3. This app then also posts a sales commission worksheet line for that broker (Sales Commission app). The line is stored on the contract as Commission Worksheet Line.

You need a Sales Team in the database (the user team, or any company team). If none exists, create one under CRM before posting commission. Optionally create a product flagged as commission product so the worksheet can invoice later the usual way.

4. Developer user manual

Typical flow: reserve the unit with a booking, print EOI, generate a payment plan, invoice installments, create a transfer contract, print SPA, then handover with a snag list.

4.1 Bookings / reservations

Menu: Property > Operations > Bookings.

  1. Create a booking: Property, Unit, Buyer, Booking Amount, Booking Date, Reservation Expiry, optional Lead and notes.
  2. Selecting the unit fills property and suggests amount from unit advance rent or property standard sale price.
  3. Confirm Reservation sets status Confirmed and unit status Reserved. It is refused if the unit is occupied, sold, blocked, or already has another confirmed booking.
  4. Print EOI prints the Expression of Interest PDF (buyer, unit, amount, expiry). This is an operational reservation document, not a legal sale.
  5. Payment Plan opens the linked plan, or creates a draft plan with total = standard sale price (or booking amount), 4 installments, 3-month interval, first due date = booking date.
  6. Mark Converted after the sale is closed (handover Done also converts a confirmed booking).
  7. Cancel releases the reservation and recalculates unit occupancy.

A daily scheduled action Real Estate: Expire reservations expires confirmed bookings whose expiry date is in the past and frees the unit if nothing else occupies it.

4.2 Payment plans

Menu: Property > Operations > Payment Plans, or from the booking / unit smart button.

  1. Set Total Amount, Number of Installments, Interval (Months), Down Payment %, and First Due Date.
  2. Click Generate Installments while the plan is Draft. Example: total 10,000, 10% down, 4 installments, 3 months:
    • One Down Payment line of 1,000 on the first due date.
    • Four installment lines of 2,250 each, every 3 months after that.
The last installment is rounded so the lines always add up to the total. You can still edit lines manually.
  3. Generate is only allowed in Draft, and only if no line is already invoiced. Down payment % must be 0 or more and less than 100.
  4. Confirm when the schedule is correct.
  5. Create Installment Invoices (or Invoice on a single line) creates customer invoices using the Advance Rent product if set, otherwise the unit website product. Invoices are tagged with property, unit and sale/installment contract type.

Invoiced Amount and Remaining Amount follow paid / in-payment installment invoices. Link the plan to a Booking, Sales Order and/or Contract when you have them.

4.3 Sale / transfer contract and SPA

Create a contract as usual and set Contract Type to Transfer / Ownership, with property, unit, buyer and sale amount. On that form, Print SPA prints the Sale/Purchase Agreement summary (parties, unit, dates, amounts, broker, terms from the contract). Have legal counsel review before execution. Click Transfer Ownership when the sale is complete; the unit becomes Sold and the buyer becomes unit owner.

4.4 Handover and snag list

Menu: Property > Operations > Handovers.

  1. Create a handover for Property, Unit, Buyer/Tenant. Optionally link Booking and Contract. Linking a booking fills unit, property and partner.
  2. Add snag lines (item, Open/Done, notes).
  3. Start sets In Progress. Complete Handover sets Done, converts a confirmed booking, and refreshes unit occupancy.

5. Property manager user manual

Typical flow: create a rental contract on the unit, invoice deposit and advance, set CAM/utilities, generate recurring rent invoices, renew with increment, review rent roll, pay the owner, handle deposits at move-out.

5.1 Rental contract extra fields

Open the contract form (existing Property contracts). Besides the original rent, maintenance, late fee and increment fields, this app adds:

  • CAM / Common Area and Utilities amounts. These are billed as extra lines on each recurring rent invoice. They are not folded into Total Payable Amount (that remains rent + maintenance).
  • Deposit / advance invoice flags and links, Deposit Held, Deposit Refunded, Deposit Refund credit note.
  • Recurring Plan and Rent Subscription (Odoo Subscriptions quotation).

5.2 Security deposit and advance rent

  1. Set Security Deposit and Advance Rent on the unit first.
  2. On the contract click Invoice Deposit and/or Invoice Advance Rent. Each can be used once. Customer invoices are created and linked.
  3. Post and register payment on the deposit invoice as usual. When it is paid or in payment (and not refunded), Deposit Held becomes true. This is the trust/hold flag.
  4. At move-out, click Refund Deposit. The deposit invoice must be posted. A credit note (reversal) is created, Deposit Refunded is set, and the refund move is stored. Review, post and reconcile the credit note in Accounting.

5.3 Recurring rent invoices (CAM and utilities)

Use the existing contract recurring invoice action/cron. For property contracts the rent line is still created from Total Payable Amount. If CAM and/or Utilities are set, extra invoice lines are added with those amounts and the CAM/utility products from Settings. Analytic distribution follows the unit analytic account, otherwise the property analytic account.

5.4 Late payment fees

Set Late Payment Fee on the contract. A daily job Real Estate: Late payment fees looks for posted, unpaid or partial rental invoices that are past due and not yet flagged. If the fee is zero, it only marks the invoice as processed. Otherwise it creates a new customer invoice for the fee (late fee product if configured) and flags the original invoice so the fee is not created twice.

5.5 Contract renewal and rent increment

Use the existing contract renewal wizard. If Rent Increment Percent is set, the new contract rent becomes old rent multiplied by (1 + percent/100). CAM, utilities and the recurring plan are copied onto the renewal.

5.6 Native Odoo rent subscription

Use this when you want Odoo Subscriptions to bill rent instead of (or in addition to) contract recurring invoices. Do not run both blindly or you may double-bill.

  1. Set a Recurring Plan on the contract, or the default plan in Settings.
  2. On a rental contract click Create Rent Subscription. A sales order is created with the subscription plan, origin = contract number, and one line using the contract plan product at Total Payable Amount (or rent amount).
  3. Confirm and manage that order in Odoo Subscriptions as usual. Open Subscription returns to it. Only one subscription order can be created per contract from this button.

5.7 Rent roll

Menu: Property > Reports > Rent Roll. This is a list of active or expiring-soon rental contracts: tenant, property, unit, rent, maintenance, total payable, next billing date, end date, stage. Creation is disabled here; open a row to work on the contract. Pivot view is available for totals.

5.8 Owner statement (backend)

Menu: Property > Reports > Owner Statement.

  1. Choose Property Owner, From date and To date.
  2. Click Compute. The wizard lists posted customer invoices (paid / in payment / partial) on units owned by that partner as rent collected, and posted vendor bills on those units as expenses.
  3. Net Payable = rent collected minus expenses.
  4. Create Owner Bill creates a vendor bill to the owner for the net amount (refused if net is zero or negative).

Units must have Unit Owner set correctly. Invoices/bills must be linked to the unit (this app and the tenant contract module set unit on property invoices they create).

6. Portal user manual

6.1 Tenant: property maintenance

A portal user whose company is the customer on a contract sees Property Maintenance on My Account. Open /my/property-maintenance. Choose a contracted unit, enter subject and description, submit. Requests are created as property maintenance records (source Portal). Tenants can only submit for units on their contracts. The same page lists their existing requests and status.

6.2 Owner: owned units and statement

A portal user who is Unit Owner (or in that commercial partner) sees Owned Units on My Account. Open /my/owned-units to see unit, property, occupancy and current rent (from an active contract if any, otherwise unit rent). Below that, set From/To dates and Refresh to see the same rent vs expense statement used in the backend wizard (read-only; owners cannot create the owner bill from the portal). Default period is the last 90 days through today.

7. Scheduled actions

  • Real Estate: Expire reservations - daily. Confirmed bookings with expiry date before today become Expired; occupancy is recalculated.
  • Real Estate: Late payment fees - daily. Creates late-fee invoices for overdue posted rental invoices as described above.

Enable or disable them under Settings > Technical > Scheduled Actions (debug mode).

8. Printed reports

  • Expression of Interest - binding print on Bookings, and the Print EOI button. Shows buyer, property, unit, amount, expiry, status, notes.
  • Sale / Purchase Agreement - binding print on contracts, and Print SPA on transfer/ownership contracts. Shows buyer, type, property, unit, dates, amounts, broker, unit and property terms.

Both reports also appear under the standard Print menu on those records. They are working documents for operations, not a substitute for legal advice.

9. HelpDesk, tenant history and documents (complete loop)

These menus live on the Property app from the tenant module. Real Estate Operations connects them to occupancy, portal and billing.

9.1 HelpDesk maintenance

  1. Open Property > HelpDesk. Create a request on Property and Unit, or wait for a portal ticket (source Portal, status New).
  2. Set type, category (plumbing, HVAC, electrical, and so on), priority, emergency flag, assignees and cost.
  3. Move status New > Verified (user and date stored) > In Progress > Completed (user and date stored).
  4. Open linked material purchase requisitions when parts are required.
  5. Tenants only see and create requests for units on their contracts. Portal path: /my/property-maintenance.

9.2 Tenant history

Menu: Property > Tenant History. Rows are created automatically when a rental contract becomes Active (move-in, no move-out) and when it Expires (move-out date set). Transfer Ownership creates an owner history row. You can also record earlier occupancy manually for reporting.

9.3 Documents

Configure Document Types, then attach files on the Property, Unit and Contract forms (title, tenancy, identity, SPA pack, and similar). Print EOI from Bookings and Print SPA from transfer contracts for operational packs. Legal execution remains outside Odoo.
