Secure your Customer Data with Service Pin's in Odoo
According to article 32 of the GDPR (General Data Protection Regulation) customer data may no longer be discussed on the telephone without the customer being able to clearly prove his identity in an appropriate authentication procedure.
This Odoo module enables you to assign an individual Service Pin to every of your customers. With this a precise identification is possible. This allows you to improve your customer support and may lead to an increasing customer satisfaction. At the same time you are taking measures to protect your customerâs data.

A random generator creates the Service Pin. The number of digits and the format can be adjusted.
Alphanumeric or numeric
The Service Pin can consist of numbers or numbers combined with letters. You can pick your preferred option.
If you change the Service Pin, your customer automatically receives an email.

You can easily find the right customer profile for the Service Pin using the filter function.

One Service Pin per customer
Each of your customers gets an individual Service Pin. Thereby the customers cannot be confound with each other and their data is not issued by mistake.
Service Pin Module
This module will extend your CRM in Odoo to be more DSGVO and GDPR complient. It will help you, to be more protective, when it goes to customer's data.
We implemented a Service Pin to prevent a dataleak via support hotlines.
After you installed the module into your Odoo environment, you can see the newly added configuration section in the settings under Settings > General Settings > Service Pin.
Under the Service Pin section, you can edit the options for the length of your Service Pin. By default the length of the Service Pin is 6 digits. You can customize this length your way, but make sure that it is not too hard to read due to an oversized length.
There is also an option to change the format of the Serivce Pin to a version with letters. In this case your Service Pin will have both, numbers and letters.
Mail Notification Modes
In the configuration section, you have one additional option.
The mail notification selector is used to change the notification method, that determines, how your customers will receive an update to their Service Pin.
You can switch between:
- Automatic: In this case, the e-mail will be send automatically, when you update the Service Pin for a customer, or the settings for the Service Pins.
- Manually: If manually is selected, the customer will not be notified, when his Service Pin changes. You need to send him a mail manually.
- Never: If this field is selected, the customer will never get notified, when his Service Pin changes.
See the Service Pin in your CRM
In order to have the Service Pin module installed, you need to have the Contacts module installed as well.
After the Service Pin module is fully installed and configured, you can see the automatically generated Service Pins under Contacts > View a Contact
In the profile view of a contact, you can see that the module added a read-only field to the contact, called Service Pin.
Update the Service Pin for a Customer
In case you want to update the Service Pin of one of your customers, you can do this, by clicking the action button in the top bar.
This will update the Service Pin for the customer and, if the mail notification selector is set to Automatic, this will send an e-mail to the customer.
Resend a Customer's Service Pin
If a customer has forgotten his Service Pin or can't find it anymore, you have the option to resend it to the linked e-mail address of the customer.
You can do this by selecting the customer you want to resend the Service Pin to. After you are in the profile view of the customer, you can click the Action selector in the top center.
A dropdown will show up with the option called Send Service Pin via E-Mail.
After you confirmed that you want to resend the Service Pin, the customer will receive an e-mail with his Service Pin to his e-mail account.
