Budget Control approval and Supplementary Budget Management
Here You can manage budget control approval of budget and manage the Supplementary budget. Below is the step for how to manage the budget.
User access of the budget management
Go to the Settings--> Users and select the user and give the appropriate access of budget inside the budget approval section.
How to Generate the Budgetary Position
Go to the Accouting -- > Accounting – Budgetary Positions.
For Create a budgetary positions press the create button and add the following information like below image. (Here you can only select the chart of accounts inside the budgetary position which are manage budget option is true)
Once the budgetary position created after you can not create the budgetary position with the same account code. You will get the error.
How to Create a Budget
Go to the Accouting -- > Accouting -- > Budgets
Login with the officer which have access the generate the budget request and submit to the next level. And fill the budget information like belwo images.
Adding a Multiple Budgetary Position
For adding the budgetary position you need to add the addline option and select the budget and fill the information like below image. Same as you can added the multiple budgetary position inside it.
You can not added the budgetary position line with the same period.
When you adding the budgetary position once is used inside the same period then you will get the error.
Submit the Budget
Now officer (which has access to submitted the budget) can press the submit button for submit the request to next level officer to approval.
Approve the Budget
Now login with the officer which have the access to approve or validate the budget and open the submitted request.When press the approve button after budget state should be change submitted to validated.
Add the Budgetary Position in validate State
If you want to insert the budget in validate state then press the “Add Budget Line on Validate” button.
After you will get the below formview like below image and fill the information like below image and submit it.
After press the save button. You can get see the added budget will show inside the budget lines.
How to Add the Supplementary Budget
Go to Accouting – Accouting – budgets and select the budget that you want to add the Supplementary budget.Select the budget line that you want to add the Supplementary budget. You will get the following formview.
Press add line button and add the date and Supplementary amount that you want to add after the validate budget. And save the budget line.
Budget Control
For generate the Liability journal entry go to the Accouting --> Vendors --> Liability Journal menu.
Generate the Liabiltiy journal entry
Inside the Liability journal fill the information like the below image for generate the Liability journal.
If you are entring the the price is more then a total budget amount then you will get the error. Not allowing the more then the budget amount.
Skip the budget
If you want to skip the budget control at that time you need to tick the skip budget option inside the liabiltiy journal formview.When generate the accounting entry at that time it will skip the related invoiced.
Get the budget effect
after confirm and paid the liabiltiy journal and checked the related budget you will get the effect the actual amount field inside the budgetary position of the budget.
