Document-specific cover letter fields:
Every quotation, sales order, proforma and invoice stores its own subject, opening and closing text. These fields belong to the document and can be edited freely without affecting global templates. -
Automatic company defaults:
When users create new documents, the system loads default texts from the company settings and applies translations based on the customer's language. -
Consistent yet flexible communication:
Central configuration ensures unified brand language; document-level fields let users fine-tune content per customer. -
Portal Visibility:
All cover-letter content (subject, opening, closing) is also displayed in the customer portal, providing a seamless experience from PDF to online view. -
Standard vs. PRO Version:
The standard module provides all core cover letter fields for: quotations, orders, proformas and invoices – including automatic default loading and independent text storage per document.
The PRO version expands this significantly:
– Snippets for each section (subject / opening / closing)
– Line snippets for invoice and sales order lines
– Autocomplete-like suggestions while typing in HTML fields
– Smart defaults based on partner categories
– Salutation, signature and contact toggles for invoice cover letters
– Page-break rules to insert a cover letter on its own PDF page

Document Workflow – How the Cover Letter System Works

Company-wide default subject, opening and closing texts for quotations and sales orders. These values load automatically whenever a new document is created.
Quotation – Cover Letter Tab
The quotation loads the default texts immediately. Users can refine the message before sending the offer, ensuring personalized communication.
Quotation – Document View
All cover-letter fields remain visible and editable in the quotation document form, giving users full control before finalizing.
Sales Order – Cover Letter Tab
Once the quotation is confirmed, the sales order automatically pulls the cover-letter text from the module settings. Users can still adjust the content before sending the final order confirmation to the customer.

Separate defaults for proforma and invoices ensure consistent financial communication across all customers.
