Employee PIN Login to Receive
Before any material can be received, the employee must authenticate using their unique 4-digit PIN. This ensures every receipt operation is tied to an identified individual — no anonymous processing, full accountability from the very first step.
Record Lot Numbers & Quantities
Once authenticated, the employee fills in the receipt details — including lot/serial numbers and received quantities — directly on the transfer. The system captures all entries and holds the transfer in a pending-verification state until a manager reviews the record.
Automatic Manager Notification
As soon as the employee submits the receipt record, the responsible manager is notified automatically via Odoo's internal notification system. The manager receives a summary of the transfer — product, lot, expected quantity vs. received quantity — so they can review without leaving Odoo.
Manager Verification or Rejection
The manager reviews the submitted record and can either Verify it (marking everything as correct, unlocking validation) or Reject it (sending it back to the employee with a reason). A rejected transfer cannot be validated until the employee corrects the record and resubmits for review.
Quality Alert Creation on Rejection
When a manager rejects a record, they can instantly create a Quality Alert from the same screen. The alert is pre-filled with the employee name, the receipt reference, and the reason for rejection — creating a formal quality record that tracks recurring errors and supports continuous improvement.
Validate & Employee Chatter Log
Once verified, the employee can validate the transfer normally. Upon validation, the module automatically posts a chatter message on the purchase record — noting the employee's name, the received quantities. Every receipt is permanently auditable with zero manual effort.
