User Guide
This guide explains how to use the Inventory Adjustment module.
1. Configuring Inventory Adjustment Reasons
Before creating your first adjustment, you should define your reasons:
- Navigate to Inventory > Configuration > Inventory Adjustment Reason.
- Click Create and enter a Name for the reason (e.g., "Spoilage," "Lost in Transit").
- Select an Account to be used for the financial valuation of this adjustment.
- Click Save.
2. Creating a New Inventory Adjustment
- Navigate to Inventory > Operations > Inventory Adjustments.
- Click Create. The system will automatically generate an Inventory Reference number.
- Select the Inventoried Location.

Choose your Inventory of filter:
- All products: To count everything in the selected location.
- One product category: To count products within a specific category.
- One product only: To count a single product.
- Select products manually: To add specific products as you go.
- Select an Adjustment Reason from the new field.
3. Recording the Count
- Click the Start Inventory button.
- If you chose "All products," "One product category," or "One product only," the lines will be pre-filled with the current on-hand quantities.
- For each line, enter the Real Quantity that you have counted in the stock.
- You can manually add more products if needed.
4. Validating the Adjustment
- Once you have recorded all the quantities, click the Validate button.
- The system will process the changes and update the stock levels. The status of the inventory adjustment will change from "In Progress" to "Validated".
Frequently Asked Questions
1. What is the purpose of the "Adjustment Reason"?
The "Adjustment Reason" is a required field that helps you categorize why a stock adjustment is being made, such as for "Spoilage" or "Stocktaking." This reason is linked to a specific account, ensuring all inventory changes are properly recorded for accounting purposes.
2. Can I perform a backdated inventory adjustment?
Yes, you can set the Inventory Date to a past date. The module is designed to handle this and will update the stock and financial entries accordingly.
3. Why do the products not appear after I select a filter?
If you choose "Select products manually" as your filter, the system expects you to add the products yourself. If you choose another filter and nothing appears, it might be due to a lack of stock in the specified location.
4. What does the "Variance" column in the report represent?
The "Variance" column shows the difference between the Onhand (theoretical) quantity and the Counted (real) quantity you entered.
5. Can I reverse a validated inventory adjustment?
The module does not provide a direct button to reverse a validated adjustment. You would need to create a new, separate inventory adjustment to correct the stock levels if an error was made.
