In-Depth Feature Overview

Templates Ensure Consistent Results with Each Return

  • Select if you would like the return to be based on a sale order or a transfer (stock picking)
  • Indicate if you'd like the ordered quantity, when related to a sale order, to be decremented by the quantity returned upon completion of the RMA. This helps keep your historical sale order reporting consistent with company standards (i.e. if you do not want to count goods that were returned as successful sales)
  • Enable the template as a Warranty return, which allows for alternate return periods
  • Set an expiration period by which the return must be received or the RMA will automatically become expired/invalid
  • Decide if this is an RMA that you would like customers to be capable of initiating on their own, via their customer portal
  • Automatically trigger invoicing when the RMA is complete, resulting in a credit note or invoice to the customer
  • Trigger RMAs to automatically kick off following the completion of a template (for example, to return goods to a vendor)
  • Create inbound and/or outbound (in the case of customer replacement) transfers to facilitate the RMA

Reduce Call Volume by Allowing RMA Requests via the Customer Portal

  • Choose which RMAs are displayed for customer selection
  • Easy to understand display of items on an order: Ordered Quantity, Delivered Quantity, and Return Eligibility
  • Customer instructions from the RMA template are prominently displayed when the RMA is submitted, so the customer knows the next step in the process
  • RMAs are submitted in a New state, so they can be approved and return instructions can be sent by an employee or order manager
  • Customers can view the state of the RMA, messages sent by your staff, or send messages to your staff directly within the portal

Set Boundaries on Returns

  • Configure allowed number of days to initiate a return
  • Independently set allowed number of days to initiate a Warranty return, as warranty return periods tend to be longer
  • For each of the above: Set to 0 for an indefinite return period, set to -1 to prevent return of the product, or set to a positive number (days since sale order confirmation that a return is allowed)

Automatic Invoicing: Reduce Steps to Save Time

  • Configure templates to automatically invoice when the RMA is moved to the Done state
  • If related to a sale order, the invoicing method will be called on the sale order and will automatically generate a credit note or invoice (depending on your invoicing policy configuration and lines on the order that are eligible to invoice)
  • If related to a stock picking or a fully manual RMA, a credit note will be generated for the returned products at their current Sales Price

Frequently Asked Questions

Can a customer initiate an RMA online?

They sure can! They simply go into their portal and choose the type/reason for their RMA as well as the sale order and the products they would like to return. Item's that are ineligible to return are clearly displayed and they cannot initiate a return for those items. Once they submit the RMA request, it is created in the New state and awaits your internal confirmation process.

Good to Know!

Don't forget to add Customer Instructions on your RMA template! These display to the customer once their RMA is submitted, so it's a good opportunity to convey their next steps.

Can Hibou RMAs support generating shipping labels for pre-paid returns?

When combined with other Hibou modules, RMAs is capable of auto-generating labels to email to your customers to provide pre-paid return labels for authorized returns. Please contact us for more information if you are interested in this functionality: support@hibou.io

What if I do (or don't) want to issue a refund/decrease ordered quantity/ship a replacement product/etc.?

It's easy -- RMA templates allow for simple and complex scenarios alike!

  • If you'd like to automatically invoice against the related sale order to create an invoice or credit note (based on your invocing policies), simply check the Invoice on Completion option on the template.
  • Want to automaically ship the customer a replacement? Configure the template for an outbound picking!
  • We personally like to decrease the ordered quantity on a pure return so our order reports reflect what customers kept, but the choice is yours!
