Demo video: Project Customization
Problem
- You want to set up and manage the stages for each project.
- For users with project administrator rights: You need to access the Setup => Task Stages menu in the Project application to manually add stages for each project. This not only takes a lot of time but also requires many operations.
- For users without project administrator rights: You must rely on the project administrator to add stages or create new stages for your project. This not only disrupts work but also creates redundant stages, causing data clutter and difficulties in management.
- In the Kanban view of the Project management app, when you group the tasks by other criteria, you won't be able to tell which stage the tasks are in.
- E.g. You group the task by Assignees, in this case, the stage columns are replaced by the Assignees.
- But with each assignee:
- How many tasks are new?
- How many tasks are done?
- You won't be able to tell.
- The project manager is unable to control the Kanban states of project tasks when they change.
- Internal users cannot access the project application or project managers cannot edit and coordinate projects as they wish... and many other issues surrounding the authorization table.
- When sent an invitation to a project update, the recipient will not know which project the update is from, affecting judgment.
Features and Solutions
- Add a Stages tab to the project detail configuration, allowing the setup and customization of stages for each specific project.
- Set representative colors for each project stage to help identify task stages when grouped by other criteria.
- Notify Project Managers of any changes to the Kanban status of project tasks.
- Display the Project in the Project Update form interface.
- Adjusting permissions on the Project module allows internal users to participate in the project management process or project owners to have full control over their projects.:
- Internal users without rights on the Project Subsystem:
- Can see the Project menu;
- Can view projects that contain tasks they are following;
- Cannot add, edit, delete, or create tasks but can change the Kanban status of tasks.
- Project / User:
- Has full access to projects where they are assigned as Project Manager if granted full rights by the Project Administrator;
- Has full rights to tasks in projects where they are assigned as Project Manager;
- For other projects, has rights similar to those of internal users.
- Internal users without rights on the Project Subsystem:
Benefits
- Simplifies project management and adjustment without authority barriers.
- Enhances task tracking and issue identification through visual cues.
- Ensures no important information is missed with timely notifications.
- Optimizes workflows and increases efficiency through customization.
