Turn Checklists Into Enforced Approvals
One unified checklist and approval engine for Sales Orders, HR onboarding and off-boarding, Project Tasks and Products — with blocking enforcement, role and amount-based approval routing, delegation and reminders, all built natively into Odoo.
Critical verification steps — credit terms, required attachments, onboarding equipment, off-boarding access revocation — live in spreadsheets, email threads and people's memory. When a step gets skipped, the cost is real: an order confirmed against policy, or an ex-employee left with live system access. The market's own leading vendor ships seven overlapping, confusingly-named checklist apps, forcing buyers to guess which single-purpose product covers their document type.
All in One Custom Checklist replaces the fragmented single-module apps with one engine: reusable templates, guided application, completion tracking, named blocking-item alerts, and role and amount-based approval sign-off — applied consistently across Sales Orders, HR onboarding and off-boarding, Project Tasks and Products from a single configuration home.
Everything you need to enforce process
Every capability below is implemented in the module.
Reusable, Grouped Templates
Define checklist templates once per document type — Sales, HR, Project or Product — and organize them into color-coded groups so every reusable definition has one discoverable home.
Guided Apply Wizard with Preview
Applying a checklist is never a blind dropdown pick: the Apply wizard previews every item on the chosen template before it is attached to the record.
Named Blocking-Item Alerts
A record with incomplete required items shows a clear alert naming exactly which items are still blocking progress — not just a bare percentage.
Hard Confirmation Gate on Sales Orders
Templates marked to block confirmation stop a Sales Order's Confirm action outright until every required item is done and any pending approval is signed off.
Role & Amount-Based Approval Governance
Route approval sign-off to a designated approver group, and auto-apply higher-scrutiny templates only above a configurable order amount threshold.
One-Click Delegation
Reassign a checklist and its open items to a colleague in one action, with a To-Do activity scheduled automatically so the hand-off is never lost.
Daily Approval Reminders
A scheduled reminder scans checklists awaiting approval and nudges the responsible user with an activity, so sign-offs do not stall.
Kanban Dashboard with Smart Filters
A single dashboard shows every checklist instance across all four modules, with progress bars, approval badges, and filters for In Progress, Completed, Blocked and Pending Approval.
CSV Export & PDF Reports
Export any checklist's items to CSV, print a standalone QWeb PDF, or hand a customer a Sales Order with its verification checklist embedded right in the order report.
How it works
Build a Template
Create a reusable checklist template for Sales Orders, HR onboarding/off-boarding, Project Tasks or Products, marking which items are blocking and which need approval.
Apply It
Attach the template through the guided preview wizard, or let it auto-apply by sales team, order amount, or job position.
Track Completion
Items are checked off from the record itself; the progress bar, badges and blocking alert update immediately — no page reload required.
Approve & Enforce
Approvers sign off pending items and the sales order confirmation gate stays closed until every required item is done and approved.

Frequently asked
Which Odoo documents can I attach checklists to?
The app ships with checklist support for four document types out of the box: Sales Orders, Employees (onboarding and off-boarding), Project Tasks, and Product templates — all from one unified configuration home instead of separate apps per document.
Can a checklist really stop a sales order from being confirmed?
Yes. When a template is marked to block confirmation, the Sale Order's Confirm action is blocked while any required blocking item is incomplete or a pending approval has not been signed off — the form names exactly which items are holding it up.
How does approval routing and amount-based enforcement work?
Templates can require approver sign-off from a designated group, and can auto-apply only above a configurable order amount — so a small quotation sails through while a large one is automatically routed through the approval-required checklist.
Can I delegate a checklist item to someone else?
Yes. The Delegate action reassigns the checklist and its open items to another user and schedules a To-Do activity for them, so hand-offs are tracked instead of happening over chat or email.
