Loan Management System - Employee & Partner Loans
by Cerevantix Technologies https://cerevantix.com$ 89.00
Loan management for every borrower
Run employee loans, salary advances, and customer or supplier commercial loans from one approval queue, with automatic EMI schedules and real accounting entries, built natively on Odoo.
Employee loan management and commercial loan management usually mean two different apps, or a spreadsheet bolted onto payroll. HR cannot see who owes what against their salary, finance cannot see partner exposure next to the general ledger, and EMI math gets recalculated by hand every time a request changes.
One loan request model for employees and commercial partners alike, with eligibility checked before submission, EMI schedules generated automatically on approval, and every disbursement or repayment posted as a real Odoo Accounting journal entry.
Everything a lending desk needs
Every capability below is implemented in the module.
Configurable Loan & Advance Types
Define loan and salary advance types with their own interest method — interest-free, flat/simple, or reducing-balance EMI — plus tenure and amount limits per type.
One Workflow, Every Borrower
Employee loans, salary advances, and customer or supplier commercial loans share the same request form and approval queue, instead of living in separate apps.
Multi-Level Approval
Requests move from manager approval to HR or finance approval with a clear status bar, a dedicated "Loans to Approve" queue, and full chatter audit trail.
Automatic EMI Scheduling
On approval, the module generates the full installment schedule automatically, splitting principal and interest per month for flat and reducing-balance loans.
Eligibility Guardrails
Maximum amount, percentage of salary, minimum tenure, and a company-wide exposure limit are all checked before submission, with a clear "Not Eligible" warning on the form.
Automatic Accounting Entries
Disbursement and repayment each post a real Odoo Accounting journal entry against a configurable journal and loan receivable account.
Manual & Payroll Repayments
Record off-cycle cash or bank repayments, or flag installments to recover via payroll deduction, with each payment auto-allocated to the oldest open installments.
Skip & Defer Installments
Borrowers can request to skip an installment for exceptional circumstances, subject to approval, without breaking the rest of the repayment schedule.
Borrower Dashboards & Reporting
A "Loans" stat button on every employee and partner shows count and outstanding balance at a glance, alongside pivot reporting and an overdue installments list.
How it works
Configure Types & Limits
Set up loan and advance types, interest methods, and company-wide exposure limits.
Submit & Approve
A request is checked for eligibility, then routed through manager and HR/finance approval.
Disburse & Schedule
The EMI schedule is generated and a disbursement journal entry is posted automatically.
Repay & Close
Manual or payroll repayments post repayment entries, and the loan closes automatically once fully repaid.
See it in action
Real screens from the module, captured on Odoo 17.
Every loan and advance request, employee and commercial alike, in one list.
A kanban view groups every request by its current workflow state.
Eligibility is checked before submission — here a missing document blocks the request with a clear warning.
A dedicated queue lists every request awaiting manager or final approval.
Approving a request generates the full reducing-balance EMI schedule automatically.
An ongoing loan showing paid, overdue, and skip-requested installments side by side.
The same disbursement flow serves a commercial loan issued to a customer or supplier.
A dedicated view surfaces every overdue installment across all loans.
Repayments recorded manually or flagged as payroll deductions, each posted and reconciled.
Pivot reporting breaks down principal and amount due by loan type and state.
Three loan types configured: interest-free advance, reducing-balance personal loan, and flat-rate commercial loan.
Company-wide exposure limits are configured from a dedicated settings screen.
A "Loans" stat button appears directly on the employee record.
The same stat button appears on customer and supplier partner records.
Frequently asked
Does this handle both employee loans and commercial loans?
Yes. A single loan request model serves employees (loans and salary advances) and customers or suppliers (commercial loans), each with its own borrower field, loan type, and eligibility rules, in one approval queue.
Does it post real accounting entries?
Yes. Disbursement and every repayment post standard Odoo Accounting journal entries against the journal and loan receivable account configured on the request, so balances stay accurate without manual entries.
Can a request be rejected before it even reaches an approver?
Submission is blocked automatically if the amount exceeds the loan type’s maximum, the tenure is out of range, the employee’s salary percentage limit or the company’s exposure limit would be exceeded, or a required document is missing — the borrower sees exactly why before wasting an approver’s time.
Do I need the Odoo Payroll app?
No. The module runs on Odoo Community with just the Employees, Accounting, Discuss, and Portal apps. Installments can still be flagged for payroll deduction and recorded as payroll repayments without requiring a separate Payroll app.
