The right template, automatically, every time you send
Stop worrying which company’s branding goes out on a Sales Order, Purchase Order or Invoice email. Configure default mail templates by company, document type and user — with automatic fallback so sending is never blocked.
Odoo ships one global default email template per document type, so in a multi-company database a Purchase Order confirmation can go out with the Sales Order’s wording, or Company B’s invoice email can carry Company A’s branding. Users work around it by manually switching templates before every send, and mistakes stay invisible until a customer complains.
Set Default Email Templates resolves the correct template through a user → company → parent-company hierarchy, with a configuration matrix that shows every company/document-type combination at a glance, a guided setup wizard and bulk cloning across companies — so the right template applies automatically and gaps are visible before they cause a mistake.
Full control over every outbound template
Every capability below is implemented in the module.
Company x Document Rules
Configure a default mail template for each combination of company, document type (Sales Quotation, Sales Order, RFQ, Purchase Order, Invoice, Credit Note) and, optionally, a specific user.
Company Hierarchy Inheritance
A subsidiary with no explicit rule automatically inherits its parent company’s default template, so holding-company structures configure once and cascade down.
Per-User Preferences
Let an individual user override the company default with their own preferred template, while everyone else keeps using the company’s configured default.
Configuration Matrix
One screen shows every company against every document type, colour-coded as configured, inherited or missing, with Configure/Edit buttons to jump straight to a rule.
Guided Setup Wizard
A step-by-step wizard pre-fills one line per document type with Odoo’s standard template, so a first multi-company rollout takes minutes instead of a record-by-record setup.
Bulk Clone Across Companies
Copy one company’s full set of template rules to one or more other companies in a single action, with options to duplicate templates and control overwrite behaviour.
Never Blocks Sending
If no company- or user-specific rule is configured, the module falls back to Odoo’s system default template automatically — sending is never blocked by missing configuration.
Send-Time Transparency
An optional chatter note records which template was applied and why — company default, personal preference, or inherited from a parent company — so the decision stays auditable after the fact.
Missing-Configuration Warnings
Turn on an optional warning from Settings so admins are alerted, in the matrix and in the chatter, when a company/document-type combination has no template and no inherited fallback.
How it works
Open the Matrix
See every company against every document type at a glance, colour-coded by configuration status.
Run the Setup Wizard
Pre-fill sensible defaults for every document type in one guided pass, per company.
Configure or Clone
Fine-tune individual rules, or clone one company’s full set to others in bulk.
Send with Confidence
Compose windows open with the correct template pre-selected, and a chatter note records the choice.
See it in action
From the rules list to the guided wizards, every screen in the module.
The Template Rules list shows every company / document-type / user rule at a glance, with inactive rules muted.
Each rule pairs a document type with a template scoped to the right model, an optional company and user, and a free-text note.
The configuration matrix lays companies against document types and colour-codes every cell as configured, inherited or missing.
The guided setup wizard pre-fills one line per document type from Odoo’s standard templates so a first rollout takes minutes.
Bulk-clone a source company’s full rule set to one or more target companies, with options to duplicate templates or overwrite existing rules.
Turn on missing-configuration warnings and jump straight to the matrix or the setup wizard from Settings.
Frequently asked
Will emails fail to send if a template isn’t configured?
No. If no company- or user-specific rule matches, the module falls back to Odoo’s standard system template automatically, so sending is never blocked.
Does it work across multiple companies?
Yes. Rules can be set per company, and a subsidiary with no explicit rule automatically inherits its parent company’s default, matching how holding-company structures are typically organised.
Can individual users have their own preferred template?
Yes. A user-level rule overrides the company default for that user only, while every other user continues to use the company’s configured default.
Which document types are supported?
Sales Quotations, Sales Order confirmations, Requests for Quotation, Purchase Orders, Customer Invoices and Credit Notes — each configurable independently, per company and per user.
