Shopify App Setup & API Credentials Guide

Go to your Shopify store admin panel. Navigate to Settings โ†’ Apps and sales channels, then click on Develop apps. Click Create an app to open the app development page.

Enable custom app development. After clicking on Develop apps, a popup will appear. Enter the App name, then click Create app.

After the app is created, the app development overview page is displayed. It includes different tabs used for application configuration, such as Overview, Configuration, and API credentials.

Configure API Scopes

Configuring API scopes is a critical step in the app setup process, as it defines the permissions required to perform various operations. Carefully assign the necessary scopes to the application, including Products, Customers, Orders, Inventory, Locations, and Fulfillments. Provide appropriate read and write access based on requirements, and enable additional scopes if needed.

Generate Access Token

In the API Credentials tab, an option to install the app is available. Install the app to generate the access token. After installation, reveal the access token and copy it. Store the token securely, as it is required for authenticating API requests.

If the App URL is not available, it can be obtained from the store domain. Navigate to Settings โ†’ Domains, copy the store domain, and use it as the base URL where required.

Shopify Dashboard

In the Shopify app, go to the Configuration menu and create a new instance. Fill in the required fields such as Name, Shop URL, Access Token, and Warehouse.

Click on the Connection button to establish the connection with Shopify. Once connected, the status will be updated to Confirmed, indicating that the integration with Shopify has been completed successfully.

Scheduled Automation (Cron Jobs)

In the instance, additional settings are available to activate or deactivate scheduled cron jobs as needed. A redirect button is also provided to directly access the scheduler record for quick configuration and management.

  • Auto Import Orders: Imports orders from Shopify. Only shipped orders are imported.
  • Auto Import Products: Imports products from Shopify. Only newly created products are fetched.
  • Auto Import Inventory: Synchronizes product inventory or stock levels.
  • Auto Import Customers: Imports customer data from Shopify.
  • Auto Update Shipment: Updates the shipment status of orders from Odoo to Shopify.

Configure Automated Workflow for Order Processing

  • After importing and confirming orders, the system can automatically perform actions based on your configuration:
  • Create invoices automatically
  • Post (validate) invoices
  • Register payments
  • Ensure the respective settings are properly configured to enable each automation step.

Reset Instance to Draft

  • Users can reset the instance to Draft state.
  • When the instance is set to draft:
    • No operations will be processed
    • All scheduled jobs (cron) will be automatically deactivated
  • Before performing this action, a confirmation prompt will be displayed to ensure the user intends to proceed.

There are two options to run operations:
1. Run Operation Menu
Open the Run Operation menu to launch a wizard, where multiple operations can be performed from a single interface.

2. Instance Form View
Open the instance form view and use the respective action buttons to perform import operations directly.

Import locations from Shopify into Odoo. Select Import as the operation type and Location as the operation, then run the process.

Import Products from Shopify

To import products from Shopify into Odoo, follow these steps:

  • Open the Run Operation wizard
  • Select Import Products as the operation
  • Choose the desired Instance
  • Run the operation to import products into Odoo

The product variants are also imported and displayed along with the products.

New products can be created in Shopify, and existing products can also be updated. These changes can then be synchronized with Odoo through the import operation.

Clicking the Import Products button on the Instance directly opens the Run Operation wizard for product import.

Enable Update Existing Records in the configuration to update already existing records in Odoo during the import process.

The Import From Date determines from which date products will be imported. Only products created or updated on or after the selected date will be fetched from Shopify.

New products will be imported, and existing products will be updated in Odoo.

Create a new product in Odoo, then export the product to Shopify using the export operation.

Export Products to Shopify

To export products from Odoo to Shopify, follow these steps:

  • Open the Run Operation wizard
  • Select Export as the Operation Type
  • Choose Products as the Operation
  • Select the desired Instance

The Export From Date is important. It determines which products will be exported based on their creation or last update time in Odoo.

  • Only products created or updated after the selected date will be exported
  • These products will be updated in Shopify accordingly

Import And Export Inventory(Stock)

Stock (quantity) can be imported from Shopify by running the Import Inventory operation. This operation fetches the product quantities from Shopify and updates them in Odoo

Before importing or exporting inventory, ensure that a location is selected in the instance configuration. This location is used to map and update stock quantities during inventory synchronization between Shopify and Odoo.

To export inventory, open the Run Operation wizard and select the Operation as Export Inventory. This will update the stock quantities in Shopify based on the data from Odoo.

Import And Export Customer

To import customers, open the Run Operation wizard, select the Operation as Import Customers, and choose the desired instance. This will import customer data from Shopify into Odoo.

To export customers, open the Run Operation wizard, select the Operation Type as Export, choose Customers as the operation, and select the desired instance. This will export customer data from Odoo to Shopify

Import Shipped Orders

To import shipped orders, open the Run Operation wizard, select the Operation as Import Orders, and choose the desired instance. Only shipped orders will be imported from Shopify into Odoo.

If the instance workflow is not configured, invoices will not be created and other automated processes will not be executed.

Configure the Automatic Workflow in the instance. When new orders are imported, the system will automatically create the invoice, post it, and register the payment in Odoo.

Import UnShipped Orders

To import unshipped orders, open the Run Operation wizard, select the Operation as Import Orders, and configure the filter to include unshipped orders. Then choose the desired instance to import these orders from Shopify into Odoo.

When the delivery is completed, a button is available to update the shipment status in Shopify. The update can be performed either automatically through a scheduled cron job or manually by clicking this button. After updating, the fulfillment status is also updated in the sales order in Odoo.

Product Image Sync

In the Product โ†’ Images tab, an image configuration option is available. You can add images, which are synchronized with Shopify. A popup window allows you to manage images for each variant individually, and these variant-specific images are also synced with Shopify.

Product Status Manage

Product status can be managed from Odoo by setting products as Active or Draft. This status is synchronized with Shopify, allowing you to view whether a product is active or draft directly in Shopify.

Dashboard Overview

The Dashboard offers a user-friendly interface for efficient data analysis. Users can quickly switch between different Instances using the dropdown to view relevant data.

The dashboard displays key summary cards, including:

  • Products
  • Shipped Orders
  • Unshipped Orders
  • Customers

It also includes graphical reports with flexible filtering options such as Week, Month, and Year, allowing users to easily track and analyze order trends.

Order Insights and Navigation

The Dashboard provides visibility into recent orders, allowing users to quickly access detailed information. Each order includes a redirect option to open the respective record directly.

Additional list views are available to support better analysis and comparison across different Instances, including:

  • Shipped Orders
  • Unshipped Orders

These views enable efficient comparison and analysis of order data across instances. A redirect icon is also provided to quickly open related records, improving navigation and user productivity.

Sync Logs

Sync Logs provide detailed information about system operations, helping users understand whether a process was successful, failed, or if records were updated.

Logs can be accessed from:

  • Configuration โ†’ Sync Logs
  • Directly from the Instance to view logs related to a specific instance

This helps in monitoring system activities, troubleshooting issues, and analyzing synchronization results effectively.
