Event Decoration Management in Odoo
Decoration Management Odoo App turns your event styling business into a single, organised
workspace. Capture inquiries from your website, build a quotation around the specific areas to
decorate, attach the right decorative items and cake, schedule the staff, and invoice the
customer, all from one Odoo screen.
Every event is different, so the app lets you mix and match. Pick a ready-made package for a
Birthday, Wedding, Reception or Anniversary, swap in extra items at the last minute, attach a
checklist for the on-site team, and keep photos of the setup against the order for future
reference.
Office staff get bulk actions to confirm or cancel several orders at once, exports to Excel for
offline planning, and PDF reports for the customer. Customers get a portal where they can review
their order, see progress and rate the experience after the event. Built for event decorators,
banquet teams, party planners, and balloon studios that need a clean way to plan, execute, and
bill every booking.

Order Workflow
Build every decoration order from a single screen. Add the areas to decorate, attach decoratives and a cake, upload setup photos, apply a checklist, assign staff, confirm the booking, generate the invoice, and spin up Project tasks when the work moves to the floor.
Decoration Areas on Order
On the Decoration Order, add each area (Room, Main Gate) with date, instructions, a guide attachment and the charge for that spot.
Decoratives on Order
The Decoratives tab lists items like Flowers and Ribbon with quantity, UOM and price, with a Load Package button to pull a full template in one click.
Cake on the Order
When Cake Included is ticked, the Cake tab opens up so you can pick the cake, weight, quantity and price for the event.
Setup Photos
Upload reference photos directly on the order under Decoration Images so the on-site team sees exactly how the setup should look.
Order Attachments View
An attachments gallery shows every uploaded photo, document and asset linked to the order in a single grid for easy review.
Checklist on Order
Load a checklist template into the order, tick items off as the team finishes them, and watch the Checklist Per percentage update live.
Staff on Order
Pick which decoration staff are assigned to the event, with their phone, email, position and manager visible inline.
Confirm the Order
The Confirm button moves the order out of Draft into Confirmed and opens up invoicing and progress actions.
Generate Invoice
From a confirmed order, click Generate Invoice to raise the customer invoice without retyping any of the order data.
Invoice Linked to Order
The Invoice tab shows the generated invoice number, date, total, payment status and draft/posted state in one place.
Create Task on Progress
Once the order moves to In Progress, a Create Task button appears so the office can hand work to the on-site team.
Task Wizard
The Create Task wizard lets you choose staff for each decoration area on Order Preparation, switch to Cake Preparation for baking work, then create the linked Project tasks.
Tasks on Order
A Task smart button shows all the tasks generated for this order (Room, Main Gate, Cake) with their assignees and linked project.
Reports & Exports
Print and export anything the team or the customer needs. PDF order, PDF checklist, PDF decoration package and PDF order history sit next to bulk Excel exports of orders and templates, plus a pivot view of order counts by customer.
Print Order Checklist
From the Print menu pick Order Checklist to produce a clean PDF of setup tasks with who completed each line and when, perfect for handover.
Decoration Order PDF
Print the full order as a PDF with customer detail, event detail, decoration items, decoratives, cake and totals, plus a second page for Terms and Conditions and uploaded reference photos.
Bulk Export Action
From the order list, tick several orders and pick Export Decoration Order from the Actions menu to bundle them into a single file.
Multi-Order Excel Export
Confirm the export wizard and the system writes one Excel file with a separate sheet per order, each holding customer, event, area, decoratives and cake details.
Print Package Template
Open a template and pick Decoration Template from the Print menu to share the package details as a PDF with customers or staff.
Package PDF Report
The Decoration Package PDF lists the items, quantity, UOM, price and subtotal for the chosen package, plus a description block.
Export Template Action
The same template menu offers an Export Decoration Template option that writes the package out to an Excel sheet for offline editing.
Order Analysis Pivot
Reporting > Decoration Order Analysis pivots order counts by customer and other dimensions so you can spot top bookers at a glance.
Order History Menu
Reporting > Decoration Order History opens a wizard for filtering orders by date range before printing.
History Report Wizard
Set Start Date and End Date, then choose Print PDF or Print Excel to generate a date-bound order history report.
History PDF and Excel
The report lists every order in the chosen window with number, customer, event type, dates, total charge and status, available as both PDF and Excel.
Bulk Actions
Save time on repetitive admin. Tick several decoration orders and apply tags, confirm them in one shot or cancel them with a single reason. Built-in guardrails prevent confirming non-draft orders by mistake.
Update Tags Action
Tick one or more orders in the list and pick Update Tags from the Actions menu to apply labels in bulk.
Pick Tags to Apply
The Update Tags wizard opens a dropdown with all your tag options (Birthday, Marriage, Indoor, Outdoor) ready to assign.
Confirm Tag Update
Select the tags you want, then click Update to push them to every selected order in one step.
Tags on Order Header
The order now shows the picked tags (Indoor, Outdoor) right under the order number so they are visible at a glance.
Bulk Cancel Action
Tick the orders to cancel and pick Bulk Cancel Decoration Order from the Actions menu to handle multiple cancellations together.
Cancel Reason Entry
A small wizard asks for the Cancel Reason so the team writes "Not Interested" or any other note once, applied to every selected order.
Cancelled with Reason
The cancelled order shows a red Cancel Reason banner up top alongside the Set to Draft button if you ever need to reopen it.
Bulk Confirm Action
For draft orders, pick Bulk Confirm Decoration Order from the Actions menu to confirm several at once.
Draft-Only Guardrail
An Invalid Operation popup blocks bulk confirm when any selected order is not in Draft state, preventing accidental status changes.
Customer Portal & Ratings
Customers sign in to their portal to follow their bookings, download the branded PDF and rate the experience after the event. The rating email carries three smileys, a feedback page captures the written review, and everything comes back on the order's Rating tab.
Customer Portal Account
Signed-in customers land on their My account page with a Decoration Orders tile, alongside Sales Orders, Invoices and Addresses.
Customer Order List
The customer's Decoration Orders page lists every booking they have placed with date, event type, decoration type and status so they can self-check progress.
Customer Order Detail
Customers open any order to see its full breakdown (areas, items, cake), with Download and Print buttons and a message thread for queries.
Customer PDF Download
From the portal, the customer downloads the same branded PDF the office sees, stamped with the current order status.
Rating Email Layout
The system emails the customer a rating request with three smiley faces (Satisfied, Okay, Not Satisfied) for one-click feedback.
Send Rating Mail
When the order reaches Done, a Send Rating Mail button appears on the order so staff can trigger the feedback email manually.
Feedback Web Page
After clicking a smiley, the customer lands on a Thank You page where they can leave a longer written review and submit.
Rating Captured on Order
The rating smiley, star score, feedback date and full written review come back on the order's Rating tab so the team sees what the customer said.
Configuration
Set up the master data behind every order. Define event types, cakes, areas, checklist templates, tags and terms once. Manage the customer book, the decoration staff roster, the decoratives catalogue and the package library. Track invoices and payments raised from orders, and attach reference files to any order or template.
Event Type Library
Configure event categories such as Birthday, Marriage and Reception so every booking is classified consistently.
Cake Catalogue
Maintain the cake list (Black Forest, Layered Rainbow, Traditional Fruitcake and more) ready to attach to any order.
Decoration Areas
Define reusable decoration spots like Room, Main Gate and Hall so each order is broken down by exact location.
Checklist Items
Maintain task lists per area such as Hall and Room with detailed setup steps, ready to apply on real orders.
Checklist Templates
Group your checklist items into reusable templates and open any template to see and edit its full list of tasks per area.
Order Tags
Add colour-coded tags like Birthday, Marriage, Indoor and Outdoor to classify decoration orders in the list and filter quickly.
Terms and Conditions
Maintain reusable T&C records such as a standard decorating-fee clause to drop into customer-facing documents.
T&C Catalogue
Configuration > Terms and Condition lists your reusable T&C records with their notes preview, ready to attach to any order.
Decoration Settings
A dedicated Decoration section in Settings lets you set the Decoration Charge product, Cake Charge product and Default T&C for every new order.
T&C on the Order
Each order picks up the default T&C automatically on its Terms and Condition tab, ready for the customer to read on the printed order.
Customers Directory
Contacts > Customers shows everyone who has booked with you in a kanban with photo, address, contact and rating star.
Decoration Staff Roster
Contacts > Decoration Staff lists your decorators (Emp 1, Emp 2, Emp 3) with email, phone and role in card view.

Invoicing > Invoices shows every invoice raised from decoration orders with customer, due date, total and Posted/Draft status.
Payments Register
Invoicing > Payments lists all customer payments received against decoration invoices with journal, method and posted status.
Decoratives Catalogue
Decoration Template > Decoratives is the product catalogue of decorative items (Flowers, Ribbon) with photos and selling prices.
Package Templates List
Decoration Template > Template holds reusable decoration packages (Merraige, Birthday) that staff can drop on new orders.
Attach Files to Order
A paperclip icon on every order lets you attach contracts, mood boards or guest lists right next to the booking record.
Documents Smart Button
Attached files surface as a Documents smart button at the top of the order with the file count, so the team sees the linked assets instantly.
Attach Files to Template
Decoration templates carry the same attachment icon so reference photos, briefs and inspirations stay bound to the package.
Template Documents Counter
Once attached, the template shows a Documents smart button with the file count up top to remind you the assets are linked.
