Freight Management in Odoo
Freight Management Odoo App runs end-to-end freight
forwarding inside Odoo. Build a shipment as Direct, House or Master,
ship it by Air, Ocean or Land, capture the carriage details that
match the chosen mode airline and flight, vessel and voyage, or
vehicle and walk the shipment through Draft → Confirm → Process
→ Transit → Done with the right next step always one click away.
Each shipment carries packages, dimensions, weight, a multi-stop
route, parties, tracking events, insurance, customs declarations,
Incoterms, and a service line for every charge packing, custom
duty, handling so the cost of the move is built up line by
line. A tracking number is generated automatically, and customers
can follow the shipment from the public tracking page on your
website.
On the finance side, create one customer invoice and as many
vendor bills as you need from the shipment; the Accounting
Details section then totals invoiced amount, billed cost and
gross margin per shipment. Print the AirWay Bill and a
multi-page Shipment Details PDF for the operations file. A
built-in dashboard counts shipments by stage and mode, and a
website Freight Booking form lets prospects request a quote
without an account.

A single-page Freight Quotation form collecting Carriage Information, Parties Information, Gateway and Destination, Package Details, Dimensions and Weight, Additional Notes with a Submit Request button at the bottom.
Submission Confirmed
After submitting, the visitor sees a Thank You page confirming that the freight request reference (for example REF/0001) has been created successfully.
Freight Request in Back Office
Every submission creates a back-office record (REF/0001) with company, contact, address and salesperson, plus a Freight Detail tab listing direction, type, transport, gateway, destination, package, quantity, volume and gross weight.

single record. Build the booking with the right

services and customs, walk it through Draft →

customer invoice and as many vendor bills as the
move requires with the accounting summary updating
automatically.
1. Build the Booking
- Shipment Level & Transport Mode: Direct, House or Master crossed with Air, Ocean or Land the Carriage tab adapts to airline + flight, vessel + voyage or vehicle.
- General & Package Details: Parties, dates, Incoterm, currency, plus each carton or container with type, quantity, dimensions and weight.
- Route, Tracking & Services: Multi-stop route, dated tracking events, and every chargeable service line such as packaging, custom duty or handling.
- Customs & Terms: Record the customs department and declaration number, then drop the contract text into the Terms section so each shipment prints with the right conditions.
Shipments Menu Direct, House, Master
The Shipments menu opens with Direct Shipments, House Shipments, Master Shipments and All Shipments entries the kanban view shows an existing House Shipment card in Draft below.
Transport Mode and Carriage Details
Pick Air, Ocean or Land in the Transport selector and the Carriage Detail tab adapts airline and flight number for air, vessel for ocean, vehicle for land along with pickup and arrival times.
General Information
Tracking number, barcode, agent, responsible person, company, currency, move type, Incoterm and a Dangerous Goods flag all the booking-level details on a single tab.
Package Details
List every carton, container or pallet on the shipment with type, description, quantity, volume and gross weight and see the rolled-up Package Charge at the bottom.
Multi-Stop Route
Build a multi-stop route with transport, type, from and to locations, charge type and currency on every leg Route Charge totals automatically.
Tracking Events
Capture every tracking event in chronological order with date, time, location and a short description the same trail the customer sees on the public tracking page.
Service Charges
Add every chargeable service line packing, custom duty, handling with quantity, cost, sale price and currency, and totals roll up at the bottom for invoicing.
Customs Declaration
Record declaration number, notes, date, responsible parties and state for every customs filing tied to the shipment one line per declaration.
Terms and Conditions
A free-text Term & Condition area where the carrier, charges, negotiations and any loss-or-damage clauses are documented per shipment printed on the shipment PDF.
2. Track the Workflow
One ribbon at the top of every shipment walks the
booking through its life Draft → Confirm → Process
→ Transit → Done. The next-step button on each stage
keeps operations and finance reading the same status
at every moment.
Confirm
The shipment starts in Draft on the workflow ribbon with action buttons Confirm, In Process, Transit, Done and Cancel ready to walk the booking forward.
Process
Once confirmed, the ribbon highlights Confirm and the In Process button moves the booking into operations Cancel remains available for last-minute changes.
In Transit
The ribbon now sits at In Progress; the Transit button is one click away, and Create Invoice and Create Bill actions are already in reach for parallel finance work.
Done
With the ribbon at In Transit, the Done button closes the move and locks the shipment so operations and finance share the same final state.
3. Invoice and Reconcile
Create one customer invoice and as many vendor bills
as the carriers, agents and customs operators send
you directly from the shipment. As soon as the
documents are posted, the Accounting Details
section on the shipment totals invoiced revenue,
billed cost and gross margin.
Customer Invoice
On a completed shipment, the Create Invoice button generates a draft Customer Invoice pre-filled with the customer, the originating Freight Shipment reference and the service lines totalled at the bottom.
Multiple Vendor Bills
The Create Bill button generates a draft Vendor Bill linked back to the same shipment repeat it for every carrier, agent or customs operator that bills you, and the Invoice smart button counter climbs as bills accumulate.
Auto Accounting Summary
The Accounting tab on the shipment totals Customer Invoice, Vendor Invoice and Margin across Invoice Amount, Payment Amount and Due Amount columns updated automatically as invoices and bills post.
4. Browse All Shipments
Every booking ends up in the Shipments list, where
operators can filter, group and sort by stage, mode,
customer or date and jump back into any record
with one click.
All Shipments
The All Shipments view shows every booking as a kanban card with direction, transport, shipper, consignee and date range, plus a view-switcher for list, calendar, graph, pivot and activity layouts.
Freight Reports
Two ready-to-print PDFs are built into every shipment. The AirWay Bill carries the standard layout the airline expects, and the full Shipment Details PDF lays out parties, route, packages, services and customs across multiple pages a single document covering the booking from end to end.
Print AirWay Bill
Open the action gear menu on any shipment and pick Print Bill the AirWay Bill PDF generates straight from the shipment data, with Print Shipment, Duplicate and Delete sitting alongside.
AirWay Bill PDF
The printed Air Way Bill carries the company header, shipper and consignee blocks, gateway and destination, Flight No, MAWB No, Tracking No, Bill No and an Order Information table per package.

The same Print submenu also exposes Print Shipment generating the full Shipment Details PDF for the operations file.

Page 1 company letterhead, shipment header, direction and transport, shipper and consignee with phone numbers, Carriage Details, Flight Details and General Information.
Page 2 Package Details table listing description, charge, quantity, volume and gross weight per package.
Page 3 Route Details, Service Details (description, quantity, cost, sale) and Custom Department declarations on the same page.
Final page the Term & Condition section printed at the bottom of the document.
Configuration & Master Data
A single Configuration menu maintains every lookup the shipment form needs contacts, freight services, ports, airlines, vessels, vehicles, packages, Incoterms, move types and route locations so dropdowns stay tidy and accurate.
Freight Contacts
The Contact menu splits freight partners into Freight Contact, Freight Agent, Vessel Owners, Vehicle Owners and Insurance Company each opens its own kanban list of role-tagged contact cards.
Freight Agents kanban agent cards tagged Prospects or Vendor, showing company, location and email.
Vessel Owner kanban ship-owner cards tagged Prospects or Employees, each with company, location and email.
Vehicle Owner kanban truck-owner cards tagged Employees or Prospects, showing company, contact name and location.
Insurance Company kanban the underwriter partner card with company, location and email.
Freight Services
The Services menu opens a kanban of every freight service item with its price the same catalogue the shipment Services tab picks from.
Ports, Airlines, Vessels, Vehicles, Packages, Incoterms, Move Types & Route Locations
The Configuration menu lists every master data lookup Port, Vessels, Airlines, Vehicle, Incoterms, Packages, Move Types and Route Location that the shipment form pulls dropdown values from.
Port master list each port with its name, short code and active flag.
Vessels master list name, code, owner and active flag columns.
Airline master list each airline with its code and active status.
Vehicle master list name, registration number, owner and active flag per truck or van.
Incoterms master list standard codes EXW, FCA, CPT, CIP, DAP, DPU and DDP preloaded and ready to apply.
Packages master list package name, description, charge and active flag for every package type you handle.
Move Types master list DTD, DTP, PTP, PTD, WTW, ATA, ATD and WTH codes covering door, port, warehouse and airport combinations.
Route Location master list name, street, city, state, zip and country columns for every route waypoint.
