Expense Payment Guard

Standard Odoo can prefill a default payment method on company-paid expense reports, which makes it easy for users to submit through the wrong cash or bank journal. Expense Payment Guard fixes that by clearing the default, limiting the dropdown to approved journals, and blocking submission until the user deliberately selects a valid payment method.

1 Journal Configuration

What is it for? Controlling which journals can be used on company-paid expense reports.

Accounting users enable Selectable in Expenses only on the cash or bank journals they want exposed in the expense payment method dropdown.

2 Restricted Dropdown

What is it for? Preventing users from seeing or choosing disallowed payment methods.

The dropdown only shows outbound payment method lines from journals that were explicitly marked as allowed for Expenses.

3 Submission Validation

What is it for? Blocking bad submissions before they reach approval or accounting.

If the user tries to submit a company-paid expense report without a valid payment method, Odoo stops the action and shows a clear validation message.

Warning: Backend or imported values that use a non-allowed payment method are blocked as well.

Expense Payment Guard

Expense Payment Guard prevents users from accidentally submitting company-paid expense reports with the wrong payment method.

Features

  • Clears the default payment method on new expense reports.
  • Requires a payment method before submitting company-paid expense reports.
  • Adds a journal checkbox named Selectable in Expenses.
  • Restricts the Expense Report payment method dropdown to allowed journals only.

Configuration

  1. Install the module.
  2. Go to Accounting / Invoicing > Configuration > Journals.
  3. Open a cash or bank journal.
  4. Enable Selectable in Expenses.
  5. Save the journal.
  6. Create a company-paid expense report.
  7. Select an allowed payment method before submitting.

Scope

This module does not create payments, post journal entries, modify approval flows, or change expense accounting logic. It only controls payment method selection on Expense Reports.
