Assign Contract Approval Role
Grant selected employees the authority to manage contract approvals by assigning them to the "Contract Approval" security group. Once assigned, users gain access to dedicated buttons (Approve, Cancel, Expire, Reset) on the contract form and can control contract state transitions. This ensures only authorized personnel can activate or modify employment agreements, supporting segregation of duties and HR compliance.
Manage Contract Status and Approvals
Take full control of the employee contract lifecycle by using quick-action buttons embedded within the contract form. Authorized users can instantly: Approve & Run to activate the contract, Cancel Contract to formally void it, or Mark as Expired once the contract term ends. These state transitions are permission-controlled and visible only to users assigned to the Contract Approval group. Each action is logged in Odooâs chatter for transparency, while the contractâs statusbar reflects its real-time state (New - Running - Expired - Cancelled). This eliminates ambiguity, speeds up HR processing, and ensures contracts remain compliant and auditable.
Track Active Contracts in Real Time
Once a contract is approved and set to Running, it enters active status and becomes part of the live HR and payroll process. At this stage, authorized approvers can take further lifecycle actions such as resetting to Draft, cancelling the contract, or marking it as Expired based on business or legal requirements. The current status is clearly reflected in the statusbar, while all transitions are automatically logged in Odooâs chatter. This ensures complete traceability, enhances operational control, and supports compliance with internal and external HR audit standards.
Cancel and Recover Contracts with Full Traceability
When a contract is no longer valid due to early termination, incorrect data entry, or internal changes authorized users can use the Cancel Contract button to immediately update its status. The contract moves to a âCancelledâ state, halting further actions. If needed, the same user can Reset to Draft to reopen and edit the contract or Mark as Expired for proper archival. Every status change is instantly logged in Odooâs chatter (e.g., New - Running - Cancelled), maintaining a complete audit trail. This ensures flexibility, reversibility, and compliance without compromising data accuracy or operational control.
Mark Contracts as Expired for Proper Closure
Once an employeeâs contract reaches its end date or is no longer valid due to completion of service, authorized users can use the Mark as Expired button to transition the contract to a closed state. This ensures the contract is archived correctly and no longer participates in active HR, payroll, or compliance workflows. The transition is clearly shown on the statusbar and automatically logged in Odooâs chatter for complete audit traceability. This action supports proper offboarding procedures, avoids reporting inaccuracies, and ensures legal and policy compliance across your organization.
