HR Attendance: ZKTeco Biometric Integration
for Odoo
HR Attendance: ZKTeco Biometric Integration by Kaizen Principles helps HR and Payroll teams capture accurate time while keeping day-to-day attendance simple. Administrators register ZKTeco devices (IP/Port, TCP/UDP, legacy/new API), map employees to per-device user IDs, and set a duplicate-punch window. A scheduled job fetches punches, converts device time to UTC, and stores them as Draft Attendances for manager review while drafts remain editable for operational corrections. Managers can auto-fill missing IN/OUT with a smart wizard and bulk-post only clean records into official HR Attendance. The result is cleaner timesheets, fewer payroll disputes, and a traceable review layer that supports auditability and segregation of duties without altering core HR Attendance screens or introducing complex new workflows.

Assign Biometric Roles (User / Manager)
Set who can use and who can administer biometric attendance. In Settings - Users, open a user and choose a role under Biometric Devices: Biometric User for daily use and draft review; Biometric Manager for device setup, running wizards (Move/Generate), and posting attendances. This keeps least-privilege access, clean approvals, and segregation of duties without changing familiar screens.
Open âBiometric Devicesâ from Configuration
From the Attendances app, click Configuration - Biometric Devices to add and manage your ZKTeco devices. Here you register IP/Port, choose TCP/UDP and legacy/new API, set timezone/fetch days, and run Test Connection the starting point before syncing punches.
Configure Device & Test Sync
Enter the device details (IP, Port, Timeout, Protocol), choose API Type and Timezone, and set sign-in/out codes with a fetch limit (use -1 for all history). Use Pause Fetching to temporarily stop the scheduler. Click Test Connection to verify reachability, and Fetch Now (or Download Attendance for legacy) to pull punches on demand. Check Sync Status for last run, punches fetched, and log messages.
Review Device Registry
See all registered ZKTeco devices in one list name, IP, and port. Search or sort to find a device, click to open and edit, or New to add another. Use this page to verify hardware setup before starting syncs.
Set Duplicate-Punch Window (Attendance Settings)
Go to Attendances - Configuration - Settings. In Duplicate & Multiple Punches, enter the seconds window (e.g., 30s) to ignore near-identical punches during sync. This keeps data clean and prevents double counting. Click Save. (Optionally adjust Extra Hours tolerance to match your policy.)
Open Scheduled Actions (Enable Biometric Sync)
Go to Settings - Technical - Scheduled Actions. Find Biometric Attendance (cron) and make sure itâs Active. Set the run frequency (e.g., daily), keep Number of calls = -1, and confirm the action runs model.action_fetch_attendance(). You can Run Manually to test, then Save.
Activate & Run the Biometric Attendance Scheduler
Open the Biometric Attendance scheduled action and make sure itâs Active. Set the frequency (e.g., Every 1 day), keep Number of calls = -1, and verify the Code calls model.fetch_attendance() (or model.action_fetch_attendance() in the Kaizen build). Set a suitable Scheduler User with access rights, then click Run Manually to test. This enables automatic punch fetching.
Define Working Hours & Timezone
Open the Working Hours (resource calendar) and set the timezone, daily âWork from/Work toâ slots, and any grace periods. This schedule powers payroll calculations and guides the Missing Punch wizard to predict expected IN/OUT times. Make sure the calendar is linked to employee contracts so rules apply automatically.
Link Employee to Biometric Device (Attendance ID)
On the employee form, open Attendance Devices - Add a line. Enter the deviceâs Attendance ID (user ID on ZKTeco) and select the Biometric Device. Save. Use one mapping per device to ensure every punch syncs to the correct employee and avoid duplicates.
Use Manage Attendances Tools
From Attendances - Manage Attendances, choose what you need: Draft Attendances to review imported punches. Move Attendances to bulk-post clean records to HR Attendance. Generate Missing Attendance to auto-create the missing IN/OUT based on working calendars.
Review & Clean a Draft Punch
Open a Draft Attendance to validate the captured punch. Check the Datetime, Attendance State (Sign In/Out), and Employee; edit if needed, then Save. Use the Biometric Attendance ID for traceability. The Moved flag is set automatically after posting via Move Attendances no manual change required.
Generate Missing IN/OUT (Wizard)
Go to Manage Attendances - Generate Missing Attendance. Run the wizard to scan drafts by employee/day; when a day has only one punch (or first & last are the same), it creates the inverse punch at the expected time from the employeeâs working calendar. New entries are marked Missing for quick review then you can post them via Move Attendances.
Run the Missing Punch Wizard
Choose the correct Timezone (e.g., Asia/Dubai) and click Generate Missing Attendance. The wizard scans draft punches and creates the inverse IN/OUT where needed, flagging them as Missing for easy review before posting.
Review Unmoved Drafts & Post
In Attendances (Draft), use the UnMoved filter to see punches not yet posted. Verify the Sign In/Sign Out pairs and employee, then go to Manage Attendances - Move Attendances to post these clean records into official HR Attendance.
Post Clean Drafts to HR Attendance
Open Move Attendances. Set the From/To dates, optionally pick specific Employees, review device mappings, then click Move. The wizard creates official HR Attendance records and marks the drafts as Moved for audit clarity.
Review Official Attendances & Totals
See all posted attendance records with computed metrics Check In/Out, Work Hours, Late Minutes, Early Checkout, Working Time. Filter or group by employee/date to audit results and use as the source for payroll and reports.
