for Odoo
streamlines Letters of Guarantee (Bid Bond, Advance Payment, Final, Maintenance, Other) from draft to bank approval and beyond. Configure Letters of Guarantee
Define alert days and link each L/G type to the correct ledger accounts so approvals, updates, and closures auto-post with zero manual journals.
Enable Bank Facility on Bank Journal
Turn on Bank Facility for this journal and set the Max Credit Limit and Percentage Alert % to control exposure. The module will auto-track total L/G usage against this cap, show balance/utilization on the Bank Facilities view, and flag when usage crosses your alert threshold no spreadsheets needed.
Assign âLFG Expireâ Access
Add the user to the LFG Expire group so they receive scheduled expiry activities and notifications for Letters of Guarantee nearing their due dates. This ensures the right people are alerted in time to renew or extend.
Create a New Letter of Guarantee
Use the New menu to pick the L/G type Bid Bond, Advance Payment, Final, Maintenance, or Other. This opens a preconfigured form with the correct defaults and auto-sequenced reference, so you can capture employer, amounts, coverage, and dates in one go. The saved record appears in this list with key columns (journal, amount, currency, expiry, state)
Draft & Submit Letter of Guarantee
Enter employer and beneficiary details, select the bank journal and currency, set the amount, coverage (type/percent), commission basis, and expiry. Review the auto-computed coverage, bank credit, and fees, then Save and click Send To Bank to move the L/G into the approval flow. The Update History, Related Documents, and Activities sections keep everything traceable.
Link Related Document & Add Follower
Attach a related record (model + ID) and subscribe the relevant partner with a chosen subtype. This links the L/G to its source document and ensures the right stakeholder receives chatter updates and activities for full traceability.
Compose & Log Message
Write an internal note or customer-facing message linked to this L/G. Set subject and body, choose recipients (or tick Employee Only for internal), and keep a permanent audit trail with timestamps and author info. Use the tabs to add recipients or adjust tracking as needed.
Mark as âSent To Bankâ
Validate the L/G details and move it to Sent To Bank to start the banking process. The record captures sent date, locks draft-only fields, and prepares coverage, commission, and credit calculations for final approval keeping the audit trail clean and ready for the next step.
Mark as âBank Approvedâ
Confirm the bankâs approval to finalize the L/G. The system posts the coverage, commission, and expense entries to the mapped accounts, stamps the Approve Date, and locks draft fields your update history and audit trail are complete and ready for extensions or closures.
Update L/G (Extend / Raise / Reduce)
Use the Update Wizard to change expiry or amounts. Select the update type, set the new expiry or deltas, and Confirm the module auto-computes totals, posts the correct journal entries, and logs a history line so current L/G, coverage, and bank credit stay accurate.
Bank Facilities Utilization
Monitor each bank journalâs exposure at a glance Max Credit Limit, LG Amount, Balance, and Utilization % vs your Allowed %. Use this view to spot overruns early and keep guarantees within approved limits.
