From one-click submission through Line Manager - HR validation stages, every state transition is auto-computed and enforced, ensuring no unapproved hours slip through. Role-based access and status-driven workflows keep teams aligned: drafts, submissions, approvals, and refusals are clearly distinguished at every step. Automated Chatter posts and email alerts notify the right people, while each approval action, refusal, and validation is logged for a comprehensive audit trail. Whether youâre running weekly sprints, monthly billing cycles, or ad-hoc project reviews, this module centralizes your timesheet process, removes manual follow-ups, and empowers leadership with real-time utilization insights so your organization can focus on delivering results instead of chasing timesheet approvals.
Assign Appraisal Role to Users
Grant users the appropriate level of access to the appraisal process by assigning them a role under the Appraisal permission group. Select User to allow access to their own appraisals. Choose Manager to authorize review and approval of appraisal submissions. Select Admin to enable full template configuration, question management, and access to all appraisal records across the company. This ensures role-based control, proper workflow routing, and data privacy throughout the appraisal lifecycle.
Start a New Appraisal
Initiate a new employee performance review by clicking âCreateâ. This opens a streamlined form where you can select the employee, assign an appraisal template, and auto-generate evaluation questions. Use this central dashboard to monitor all appraisal records by title, employee, score, and approval status. Whether you're running quarterly reviews or onboarding evaluations, this list view gives you complete visibility into your teamâs performance lifecycle.
Configure Appraisal Templates
Set the foundation for consistent performance evaluations by creating reusable Appraisal Templates. Each template contains a structured set of questions and scoring criteria that can be applied across departments or job roles. This ensures standardized evaluation logic, simplifies appraisal setup, and reduces configuration errors during performance reviews. Use this screen to create new templates, update existing ones, or tailor assessments to fit evolving HR strategies.
Define Evaluation Questions
Customize your appraisal templates by adding performance questions and assigning a maximum score to each. This step allows HR to define evaluation criteria such as Quality of Work, Goal Achievement, or Communication. These questions will automatically appear during appraisal creation, ensuring consistency and objectivity across reviews. Use the âAdd a lineâ button to insert new questions, set weightages, and structure your performance assessments for different roles or departments.
Complete and Submit Employee Appraisal
Evaluate the employeeâs performance by entering scores and optional remarks for each question listed in the appraisal template. As you input values, Odoo automatically calculates the total and maximum possible scores and displays the result in real time (e.g., 13 / 20). Once completed, click Submit to forward the appraisal to the employeeâs direct manager for approval. The workflow progresses through clearly defined stages Draft - To Approve - Approved/Refused ensuring visibility, accountability, and structured feedback throughout the process. Every change is logged in Odoo's chatter for full auditability and compliance.
Review and Approve Submitted Appraisal
Once an appraisal is submitted, it moves into the âTo Approveâ stage for managerial review. As a manager, you can now: Click Approve to confirm the evaluation and finalize the record. Click Refuse to reject it and send it back for revisions. All feedback, scores, and remarks are visible at a glance, along with the total performance score. Approval decisions are instantly logged in Odooâs chatter for full traceability and compliance. This step ensures accountability, audit-readiness, and adherence to your organizationâs performance review workflow.
Finalize and Archive Approved Appraisal
The performance appraisal has been successfully approved and is now locked from further editing. All scores, remarks, and metadata (employee, manager, template, date) are preserved as a historical record. This final state ensures transparency, compliance, and readiness for reporting, audits, or future reviews. You can now review the full evaluation, reference total scores (e.g., 13 / 20), and track every action via the chatter log.
