Key Features

Register assets, assign to employees, track returns, and monitor utilization

Asset registry

Central catalog with serial number, category, purchase date, optional cost, image, documents on chatter, and lifecycle status (available, assigned, in repair, lost, damaged).

Categories & conditions

Define asset categories and physical condition scales per company so assignments and reporting stay consistent.

Assignments & returns

Record who has each asset, when it was issued, and full return history; returning sets the item back to available and updates condition.

Employee link in HR

Smart button on the employee form shows how many assets they hold and opens current and historical assignment lines without leaving HR.

Analytics dashboard

Overdue assignments

Company setting for “days before an open assignment is overdue” highlights late handovers in lists and on the dashboard.

User guide — Asset Management

Install the app, set up categories and conditions, register assets, and assign them to employees. Employees must exist in HR; the module uses standard mail chatter on assets.


1. Install and open the app

  1. Go to Apps, remove the Apps filter, search Asset Management, and click Activate.
  2. Open Asset management from the app switcher.
  3. Use Dashboard for KPIs; click Refresh after large data changes (the dashboard also refreshes in the background periodically).

2. Configuration (once per company)

  1. Open Asset management → Configuration → Asset categories and Asset conditions; create the values you will use on assets and assignments.
  2. Open Settings → Companies → your company → Asset management (or the company form tab if shown): set Assignment overdue threshold (days) and optionally High value threshold for reporting.

3. Create assets

  1. Open Asset management → Assets and create a record: name, category, serial, dates, optional cost, image, notes.
  2. Set Status and Condition as needed; new items are usually Available.
  3. Use chatter for invoices, photos, or approval threads.

4. Assign to an employee

  1. On the asset form, use Assign (or the assign wizard from Actions where available).
  2. Choose the employee, assignment date, and condition at assignment; the asset moves to Assigned while the line is open.
  3. Open assignments are listed on the asset and under Asset management → Assignments.

5. Return an asset

  1. On the asset, use Return and pick the open assignment line.
  2. Enter return date and condition at return; the asset becomes Available and the current condition is updated.

6. Dashboard

  • Filter by Company and Category where shown.
  • KPI cards open filtered asset or assignment lists; status rows open assets in that status.
  • Review open assignments by employee and the overdue list based on your company threshold.

7. Employee form

  • On an employee, use the Assets smart button to see counts and open the assignment notebook.

8. Dependencies

  • Requires: Employees (HR) and standard Discuss mail features used by chatter.
  • Access follows your security groups for asset officers, users, and administrators as defined in the module.

Frequently Asked Questions

1. What does this module add to standard Odoo?
A full asset register with assignment and return history, categories and conditions, employee integration, optional overdue rules, and an analytics dashboard—without replacing accounting fixed assets.
2. Which Odoo apps must be installed?
Employees (HR) is required. The module is built for Odoo 18.
3. How does asset status stay correct?
Assigned is set when there is an open assignment; Available returns when you complete a return (or remove the open line). Statuses such as In repair, Lost, or Damaged are set manually on the asset when needed.
4. What is “overdue”?
An open assignment is overdue when it has been open longer than the number of days set on the company. Lists and the dashboard use this for follow-up.
5. Can one asset be assigned to several people at once?
No. Only one open assignment is allowed per asset; return or cancel that line before issuing to someone else.
6. Is multi-company supported?
Yes. Categories, conditions, assets, and company thresholds respect your active companies and record rules.
7. How do I get help?
