User guide â Asset Management
Install the app, set up categories and conditions, register assets, and assign them to employees. Employees must exist in HR; the module uses standard mail chatter on assets.
1. Install and open the app
- Go to Apps, remove the Apps filter, search Asset Management, and click Activate.
- Open Asset management from the app switcher.
- Use Dashboard for KPIs; click Refresh after large data changes (the dashboard also refreshes in the background periodically).
2. Configuration (once per company)
- Open Asset management â Configuration â Asset categories and Asset conditions; create the values you will use on assets and assignments.
- Open Settings â Companies â your company â Asset management (or the company form tab if shown): set Assignment overdue threshold (days) and optionally High value threshold for reporting.
3. Create assets
- Open Asset management â Assets and create a record: name, category, serial, dates, optional cost, image, notes.
- Set Status and Condition as needed; new items are usually Available.
- Use chatter for invoices, photos, or approval threads.
4. Assign to an employee
- On the asset form, use Assign (or the assign wizard from Actions where available).
- Choose the employee, assignment date, and condition at assignment; the asset moves to Assigned while the line is open.
- Open assignments are listed on the asset and under Asset management â Assignments.
5. Return an asset
- On the asset, use Return and pick the open assignment line.
- Enter return date and condition at return; the asset becomes Available and the current condition is updated.
6. Dashboard
- Filter by Company and Category where shown.
- KPI cards open filtered asset or assignment lists; status rows open assets in that status.
- Review open assignments by employee and the overdue list based on your company threshold.
7. Employee form
- On an employee, use the Assets smart button to see counts and open the assignment notebook.
8. Dependencies
- Requires: Employees (HR) and standard Discuss mail features used by chatter.
- Access follows your security groups for asset officers, users, and administrators as defined in the module.
