Key Features

Enforce UAE/KSA leave policies — sandwich rule, probation restrictions, leave encashment, special leave requests and auto annual allocation

Sandwich Leave Rule

When an employee's leave falls just before or after a weekend or public holiday, the system auto-extends the leave duration to include those days — a common GCC practice.

Probation Restrictions

Block specific leave types for employees on probation. Mark emergency leave types (sick, bereavement) as always allowed, so essential leaves are never blocked.

Leave Encashment

Calculate the monetary value of unused leave days when an employee resigns. Generate a payslip entry automatically — daily rate based on contract salary divided by 30.

Maternity Leave

A dedicated multi-level approval form for maternity leave (up to 90 days per UAE/KSA law). Goes through two levels of approval with HR and management sign-off.

Bereavement & Hajj Leave

Dedicated approved forms for bereavement leave (up to 5 days) and Hajj leave (up to 30 days for KSA employees). Both with multi-level approval workflows.

Auto Annual Allocation

A scheduled cron job automatically allocates annual leave days for all active employees every year, based on country-specific rules for UAE, KSA, Bahrain, Kuwait, Qatar and Oman.

Country-Specific Rules

Configure different leave policies per country — UAE, Saudi Arabia, Bahrain, Kuwait, Qatar and Oman. Annual quotas, probation rules and special leave caps per jurisdiction.

Multi-Level Approval

Special leave requests (maternity, bereavement, Hajj) require first and second approver sign-off. Enforce a proper review chain before the leave is confirmed.

Payslip Integration

Leave encashment amounts are automatically added to payroll. Once an encashment request is approved, the payslip entry is generated and the encashment value appears in the employee's next payslip.

User guide

Install the module, create leave policies for your GCC countries, set up sandwich and probation rules, and let the system enforce local leave regulations automatically — from leave requests to encashment and payroll integration.


1. Install the module

  1. Open Apps, remove the Apps filter, and search GCC Leave Policy Engine.
  2. Click Install. The hr_holidays, hr_payroll, and resource modules are installed automatically as dependencies.

2. Configure a leave policy

  1. Go to Time Off > GCC Leave Policy > Policy Configuration and click Create.
  2. Select a Country (UAE, Saudi Arabia, Bahrain, Kuwait, Qatar, Oman).
  3. Set Annual Leave Days, Probation Period (months), and choose which rules to enable.

3. Set up sandwich rules

  1. Go to Time Off > GCC Leave Policy > Sandwich Rules and create a new rule.
  2. Select the Leave Type the rule applies to. When an employee's leave falls next to a weekend or public holiday, those days are automatically included in the leave count.
  3. Choose whether to include weekends, include public holidays, or both.

4. Set up probation rules

  1. Go to Time Off > GCC Leave Policy > Probation Rules and create a new rule.
  2. Select the Blocked Leave Types — employees still on probation cannot request these.
  3. In the Emergency Leave Exceptions tab, select leave types (sick leave, bereavement) that are always allowed even during probation.

5. Set probation dates on employees

  1. Go to Employees, open an employee, and on the HR Settings tab find Probation End Date.
  2. Set the date when the employee's probation ends. Until this date, any blocked leave type will be automatically rejected.

6. Process leave encashment

  1. Go to Time Off > GCC Leave Policy > Leave Encashment Wizard.
  2. Select the Employee and Leave Type. The wizard shows the remaining leave days, daily rate, and total encashment amount.
  3. Click Create Encashment. The request is created and routed for approval.
  4. Once approved, a payslip entry is automatically generated with the encashment amount in the employee's next payslip.

7. Submit special leave requests

  1. Go to Time Off > GCC Leave Policy > Special Leave Wizard.
  2. Choose the leave type: Maternity (up to 90 days), Bereavement (up to 5 days) or Hajj (up to 30 days for KSA).
  3. Set the date range, reason, and assign First Approver and Second Approver.
  4. The request waits for both approvals before the leave is confirmed.

8. Auto annual leave allocation

  • A scheduled cron job runs daily and auto-allocates annual leave based on each active policy's settings.
  • If an employee has already been allocated their annual quota, no duplicate allocation occurs.
  • Check the cron job in Settings > Technical > Scheduled Actions to adjust the run frequency.

Frequently Asked Questions

1. What is the sandwich leave rule?
It is a common GCC practice where if an employee takes leave next to a weekend or public holiday, those non-working days are also counted as leave. For example, if you take Thursday and Sunday off with Friday-Saturday as the weekend, the system counts all four days as leave.
2. How is leave encashment calculated?
The daily rate is calculated as the employee's contract salary divided by 30. The total encashment amount = daily rate × remaining leave days. A payslip entry is generated automatically once the encashment request is approved.
3. Can emergency leave bypass probation restrictions?
Yes. In each Probation Rule, you can designate specific leave types (like sick leave or bereavement leave) as Emergency Leave Exceptions. These are always allowed even if the employee is still on probation.
4. How does multi-level approval work for special leaves?
Maternity, bereavement, and Hajj leave requests require two approvers: a First Approver (typically the direct manager) and a Second Approver (typically HR or senior management). The leave is only confirmed after both approvals are granted.
5. Does the auto-allocation create duplicate leave allocations?
No. The cron job checks if the employee has already been allocated annual leave for the current year before granting any days. Each employee receives their quota only once per year per active policy.
6. Which GCC countries are supported?
You can configure separate leave policies for UAE, Saudi Arabia, Bahrain, Kuwait, Qatar and Oman. Each policy can have different annual leave quotas, probation periods, and rule configurations.
7. Is it compatible with Odoo 19?
Yes. This module targets Odoo 19.0 and works on both Community and Enterprise editions. It depends on the standard hr_holidays, hr_payroll, and resource modules — no third-party or external integration is required.
