Sandwich Leave Rule
When an employee's leave falls just before or after a weekend or public holiday, the system auto-extends the leave duration to include those days â a common GCC practice.
Probation Restrictions
Block specific leave types for employees on probation. Mark emergency leave types (sick, bereavement) as always allowed, so essential leaves are never blocked.
Leave Encashment
Calculate the monetary value of unused leave days when an employee resigns. Generate a payslip entry automatically â daily rate based on contract salary divided by 30.
Maternity Leave
A dedicated multi-level approval form for maternity leave (up to 90 days per UAE/KSA law). Goes through two levels of approval with HR and management sign-off.
Bereavement & Hajj Leave
Dedicated approved forms for bereavement leave (up to 5 days) and Hajj leave (up to 30 days for KSA employees). Both with multi-level approval workflows.
Auto Annual Allocation

Install the module, create leave policies for your GCC countries, set up sandwich and probation rules, and let the system enforce local leave regulations automatically â from leave requests to encashment and payroll integration.
1. Install the module
- Open Apps, remove the Apps filter, and search GCC Leave Policy Engine.
- Click Install. The hr_holidays, hr_payroll, and resource modules are installed automatically as dependencies.
2. Configure a leave policy
- Go to Time Off > GCC Leave Policy > Policy Configuration and click Create.
- Select a Country (UAE, Saudi Arabia, Bahrain, Kuwait, Qatar, Oman).
- Set Annual Leave Days, Probation Period (months), and choose which rules to enable.
3. Set up sandwich rules
- Go to Time Off > GCC Leave Policy > Sandwich Rules and create a new rule.
- Select the Leave Type the rule applies to. When an employee's leave falls next to a weekend or public holiday, those days are automatically included in the leave count.
- Choose whether to include weekends, include public holidays, or both.
4. Set up probation rules
- Go to Time Off > GCC Leave Policy > Probation Rules and create a new rule.
- Select the Blocked Leave Types â employees still on probation cannot request these.
- In the Emergency Leave Exceptions tab, select leave types (sick leave, bereavement) that are always allowed even during probation.
5. Set probation dates on employees
- Go to Employees, open an employee, and on the HR Settings tab find Probation End Date.
- Set the date when the employee's probation ends. Until this date, any blocked leave type will be automatically rejected.
6. Process leave encashment
- Go to Time Off > GCC Leave Policy > Leave Encashment Wizard.
- Select the Employee and Leave Type. The wizard shows the remaining leave days, daily rate, and total encashment amount.
- Click Create Encashment. The request is created and routed for approval.
- Once approved, a payslip entry is automatically generated with the encashment amount in the employee's next payslip.
7. Submit special leave requests
- Go to Time Off > GCC Leave Policy > Special Leave Wizard.
- Choose the leave type: Maternity (up to 90 days), Bereavement (up to 5 days) or Hajj (up to 30 days for KSA).
- Set the date range, reason, and assign First Approver and Second Approver.
- The request waits for both approvals before the leave is confirmed.
8. Auto annual leave allocation
- A scheduled cron job runs daily and auto-allocates annual leave based on each active policy's settings.
- If an employee has already been allocated their annual quota, no duplicate allocation occurs.
- Check the cron job in Settings > Technical > Scheduled Actions to adjust the run frequency.
