User guide

Install the module, grant the manager group, restrict each user to their warehouses and locations, then review the access log to monitor activity.

1. Install the module

  1. Open Apps, remove the Apps filter, and search Warehouse Stock Restrictions.
  2. Click Install. The standard Inventory module is installed automatically as a dependency.

2. Grant administration rights

  1. Go to Settings > Users and Companies > Users.
  2. Open the user who will manage restrictions.
  3. Under Other, set Warehouse Restrictions to Warehouse Restriction Manager.
  4. Click Save.

3. Restrict a user

  1. Go to Settings > Users and Companies > Users and open the user you want to restrict.
  2. Open the Warehouse Restrictions tab.
  3. Tick Restrict Warehouse Access.
  4. Choose the Allowed Warehouses for the user.
  5. (Optional) Pick specific Allowed Operation Types. If left empty, all operation types of the allowed warehouses are available.
  6. (Optional) Pick specific Allowed Stock Locations. If left empty, all locations of the allowed warehouses are available.
  7. Tick the operation-level checkboxes: Can View Stock, Can Perform Transfers, Can Adjust Inventory.
  8. Click Save. The user is immediately restricted. There is no need to log them out.

4. Review access logs

  1. Go to Inventory > Configuration > Warehouse Restrictions > Access Logs.
  2. Use the filters (Denied, Granted, Today, Last 7 Days) and the Group By options (User, Warehouse, Operation) to spot suspicious behaviour.
  3. Click any row to open the full record, then click Open Record to jump straight to the underlying transfer, quant, or location.

5. (Optional) Purge old logs

  • Manually: Go to Inventory > Configuration > Warehouse Restrictions > Purge Old Logs, choose how many days to keep, then click Purge Logs.
  • Automatically: Enable the scheduled action Warehouse Restrictions: Purge Old Access Logs under Settings > Technical > Scheduled Actions.

Frequently Asked Questions

1. Will this block administrators?
No. The super user and members of the Settings group bypass all restrictions, so you can never lock yourself out of the system.
2. What happens to a user with no allowed warehouses?
They will see no warehouses at all and are effectively blocked from inventory operations. Either uncheck Restrict Warehouse Access or assign at least one warehouse.
3. Does it affect reports and dashboards?
Yes. Because filtering is done at the database access level, every list view, report, and dashboard that reads stock data automatically respects the user's allowed scope.
4. Will it slow down my Odoo instance?
No. The restrictions use standard Odoo record rules, which are highly optimised. The audit log uses a separate table with indexes on the most-searched fields.
5. Can the audit log be tampered with by users?
Regular users can only see their own log entries and cannot modify or delete them. Only the Warehouse Restriction Manager group can edit or delete entries.
6. Will it work with the Inventory mobile and barcode apps?
Yes. Restrictions apply at the record level, so the mobile app, the barcode app, and the standard web client all enforce the same rules. A picker scanning a transfer outside their scope will simply not find the document.
7. Which security groups are provided?
Three groups: Restricted Warehouse User (marker for users subject to restrictions), Warehouse Restriction Manager (configure restrictions and manage the log), and Warehouse Access Auditor (read-only access to the audit log).
