Minutes of Meeting

The Minutes of Meeting module is a custom Odoo extension designed to simplify the recording, organizing, and sharing of meeting details within a company. It allows users to capture key meeting points, participants, decisions made, and tasks assigned — and also provides print-ready reports and email notifications to attendees.

Meeting Setup (Initial Stage)


Details:

  • Meeting Subject: Title of the meeting
  • Sequence: Auto-generated unique identifier for each meeting
  • Customer: The customer related to the meeting
  • Company Name: Name of the hosting company
  • Client Team: Associated client team or participants
  • Project / Lead: Choose whether this meeting is related to a project or a lead
  • Start, Duration, and Location: Meeting start time, duration, and location

Meeting Information




Details:

  • Responsible User: Main person accountable for the meeting
  • Note Taker: Person assigned to take notes.
  • Attendees: List of present participants
  • Absentees: List of members who couldn’t attend
  • Agenda / Item: Each discussion point
  • Discussion Summary: Summary of discussions per agenda item
  • Decision / Notes: Key decisions taken for each item
  • Responsible Person: Person assigned to action points or decisions
  • Deadline: Due date for completing assigned actions
  • Conclusion Notes: Final notes or remarks of the meeting
  • Email Button: Directly send the meeting minutes to all attendees

Displays a summary list of all recorded meetings for easy reference.

Print Minutes of Meeting


Displays a summary list of all recorded meetings for easy reference.

Includes:

  • Company logo and details
  • Date, Time, Responsible, Note Taker
  • Attendees & Absenteesr
  • Full Meeting Information Table: Agenda, Summary, Decisions, Deadlines
  • Conclusion Section
  • Clean, professional format suitable for official records

Email Integration:


After filling out the meeting details, users can click the Send Meeting Minutes to Attendees button to automatically email the compiled minutes to all listed attendees.

The 'Minutes of Meeting' module is designed to record, manage, and document details of business meetings within Odoo. It captures information such as meeting subjects, participants, discussion points, decisions made, deadlines, and responsible persons. The module helps maintain structured records and provides options to email minutes to attendees and generate printable reports.

On the initial meeting creation page, users can input the following:

  • Meeting Subject
  • Choose if it’s related to a Project or Lead
  • Meeting Sequence (auto-generated for identification)
  • Company Name
  • Client Team
  • Date and Time (auto-calculates duration based on start and end times)
  • Meeting Location
  • This ensures all essential meeting setup details are captured before adding discussion content

In the Meeting Information tab, users can document:

  • Responsible User
  • Attendees and Absentees
  • Note Taker
  • Multiple Agenda Items
  • Each with its Discussion Summary
  • Decisions or Notes
  • Responsible Person
  • Deadline
  • Conclusion Notes
  • An Email button is also available to send the meeting minutes directly to attendees.

The module provides:

  • List View: Displays an overview of all meetings with their sequence, subject, customer, company, project, date, and status
  • Form View: For detailed entry and editing of individual meeting records
  • Printable Report: A formatted document of meeting minutes with all relevant data, including logos and company details
  • Email Option: To send meeting minutes via email to participants
