Education Management System

The Education Management System is a complete solution built on Odoo to digitalize and simplify the daily operations of schools, colleges, and other educational institutions. It connects all academic and administrative processes—starting from admissions to student management, faculty scheduling, and fee structures—into a single, well-organized platform.

This application is designed to replace scattered spreadsheets and manual paperwork with an integrated system where every record, from student enrollment to academic timetables, can be managed effortlessly. Administrators gain full visibility over their institution, teachers can manage their schedules and courses effectively, and students benefit from a structured and transparent learning environment.

The system begins with its Configuration setup, where administrators define foundational data such as religions, academic years, term structures, and languages. These act as the backbone of the system, ensuring consistency and data integrity across all other modules.

Within the Academics section, institutions can design their entire academic structure. Courses and subjects are defined once and then reused across classrooms and timetables. The Classrooms feature brings together students, faculty, and subjects under one environment, while the Timetable tool allows institutions to plan lectures and sessions with precision across the week.

The Faculty & Employees section helps manage the human element of the institution—covering both teaching and non-teaching staff. It maintains complete records of employees, faculties, and departments, ensuring every staff member’s role and responsibility are clearly mapped to the academic structure.

In the Admission process, the system streamlines how new students are recorded and verified. From collecting personal information and previous academic details to validating documents and confirming enrollment, every step is managed through well-defined stages. The bulk enrollment wizard further helps institutions handle large batches of students efficiently.

Once admitted, student data flows automatically into the Students section, where ongoing and alumni records are maintained. This not only saves time but also ensures that every student’s academic journey—from enrollment to graduation—is accurately tracked and easily retrievable.

The Fees management feature simplifies the complex task of maintaining course-wise and term-wise fee structures. Institutions can define fee plans once per academic year, and the system automatically calculates term-wise totals, providing transparency and accuracy for both administration and accounting.

Communication within the institution is supported through the Notice Board feature. Administrators can create announcements, confirm notices, and send them via email to relevant employees or faculty members directly from the system. This promotes timely and organized internal communication.

Finally, the Reporting tools provide ready-to-print timetables for both courses and faculty members. These reports are especially useful during academic planning and serve as quick references for management and teachers alike.

Mother Tongues

This screen is used to maintain a list of mother tongues. It helps record students’ linguistic background during the admission process. Refer below screenshot for reference.

Divisions

Hobbies

Courses

The first tab manages the list of subjects associated with the course, the second tab allows entry of grade ranges and GPA mapping, and the third tab enables faculty assignments. Subjects

This screen maintains the subject details offered by the institution. Each subject is linked to specific courses and classified as theory or practical, compulsory or elective. It serves as the master reference for academic planning and timetables. Refer below screenshot for reference.

Classrooms

The Classrooms screen is used to create and manage classroom batches for each academic year. Administrators can assign courses, divisions, and teachers to specific classes and monitor capacity. Once students are admitted, the system auto-fills their details, and roll numbers can be assigned automatically based on capacity. Timetable

The Timetable screen helps schedule daily sessions for each class, faculty, and subject. Separate pages are available for each weekday, allowing configuration of periods with start and end times. Faculty & Employees

This section manages all human resources of the institution, including teaching and non-teaching staff, and departmental organization.

Employees

The Employee screen records all institutional staff, including administrative, support, and management personnel. It serves as a centralized record of employee details and designations. Refer below screenshot for reference.

Faculty Profiles

The Faculty screen maintains information about teaching staff. Faculties are linked with the courses and timetables they manage. This data ensures smooth academic allocation and timetable generation. Refer below screenshot for reference.

Departments

The Admission section manages the entire process from prospective students applying to final enrollment.

Admission Form

The Admission screen allows administrative users to record and manage new student applications. It includes personal, parental, academic, and document details. Admissions move through stages like Draft, Confirmed, Document Verification, and Enrollment Cancel. Enrollments

The Enrollments wizard helps administrators enroll multiple students at once. By selecting the academic year and course, the system lists verified and non-verified admissions, allowing bulk enrollment of verified students efficiently. Refer below screenshot for reference.

This section handles student records, both active and alumni.

Student Records

Once an admission is enrolled, a student record is automatically generated here. This screen maintains all active student profiles linked with their courses, classrooms, and academic history. Refer below screenshot for reference.

Alumni Students

Fees

This section is used to define and manage fee structures applicable to courses and academic terms.

The Fee Structure screen defines the course-wise and term-wise fee setup for each academic year. The system calculates total fees per term based on the defined fee components such as tuition, lab, or library fees. This ensures accurate and consistent billing across terms. Notice Board

The Notice Board feature enables internal communication across the institution.

Notice Board Management

This screen allows creating and managing academic notices with details such as title, date range, course, subject, academic year, and term. Notices pass through stages from Draft to Confirm to Sent via Email. Once confirmed, administrators can send the notice to selected employees directly through email. Timetable Report
