From Purchase Order to accountable task, automatically
Convert confirmed purchase orders into project tasks in one click, with a preview step, bidirectional links, and live status visibility competitors never built.
A Purchase Order gets confirmed and the real work — installation, delivery follow-up, vendor coordination, quality checks — lives in a disconnected system of tasks nobody remembers to create. Procurement staff copy vendor and reference details by hand, and once a task exists, the order gives no sign of whether that work was ever finished.
Purchase Order To Task adds a one-click, stage-independent Create Task action with a preview step, bulk per-line generation, configurable auto-assignment, and live task counts on the order itself — plus a reverse Create RFQ flow so project tasks can trigger procurement too.
Everything a PO-to-task workflow needs
Every capability below is implemented in the module.
One-click task creation, any stage
A Create Task button lives on the Purchase Order form from RFQ through fully confirmed and done — no stage restriction like many competing apps.
Preview before you commit
The Create Task wizard shows the order's vendor, lines and amounts before anything is created, replacing the blind popups competing modules fire instantly.
Bulk, per-line task creation
Switch to per-line mode to generate one task per order line in a single pass, with an editable grid for adjusting each task's title.
Configurable auto-assignment
Assign generated tasks to the buyer, leave them unassigned, or pick a specific user — chosen per conversion or defaulted from Purchase Settings.
Live task status on the order
The Purchase Order shows a running count of open and completed linked tasks, the one visibility gap every competitor analyzed left unsolved.
Bidirectional traceability
Smart buttons keep the Purchase Order and every generated task linked both ways, so you can jump between procurement and project work at any time.
Task-to-PO reverse workflow
Tasks not yet linked to an order show a Create RFQ button, letting project users kick off procurement directly from the task that needs it.
Dedicated PO Tasks workspace
A list grouped by source order and a matching kanban board let procurement and project teams audit follow-up work across many purchase orders at a glance.
Guided settings and access control
A single Purchase Settings toggle, default project and assignment strategy come with inline permission guidance, backed by dedicated user and manager groups.
How it works
Confirm the order
Work your Purchase Order as usual, at any stage from RFQ to fully confirmed — task creation is never gated by order status.
Preview and create
Open the Create Task wizard to review the vendor, lines and amounts, choose a project and assignment strategy, then create one task or one per line.
Work from either side
Smart buttons keep the Purchase Order and its tasks linked in both directions, so anyone can jump between procurement and project work instantly.
Track status live
Open and completed task counts stay visible on the Purchase Order, and the PO Tasks workspace groups every task by its source order.
See it in action
Every screen shown below is a real, working feature of the module.
The Purchase Order form gains a Tasks smart button with a live count, a stage-independent Create Task action, and an inline status summary showing open and completed tasks at a glance.
The Create Task wizard previews the order's vendor, lines and amounts before anything is created, and lets you choose the target project and an auto-assignment strategy: buyer, requester, or a specific user.
Switch to per-line mode to generate one task per order line in a single pass, with an editable grid for adjusting each task's title before confirming.
Every generated task carries a Source Purchase Order field and a matching smart button, so anyone working the task can jump straight back to the order that created it.
Tasks that were never linked to an order show a Create RFQ button instead, letting project users kick off procurement directly from the task that needs it.
A dedicated PO Tasks list groups every generated task by its source Purchase Order, giving procurement a single screen to audit follow-up work across many orders.
The same PO Tasks data is available as a kanban board, so teams can track task progress by stage across every linked Purchase Order.
The Purchase to Task settings block gives admins one toggle to enable the feature, a default project, a default assignment strategy, and inline guidance on the permissions each option needs.
Frequently asked
Can I create a task from a Purchase Order at any stage?
Yes. Task creation is available from RFQ through fully confirmed and done orders — there is no stage restriction, unlike apps that only allow it before approval.
Can I generate more than one task from a single order?
Yes. Switch the Create Task wizard to per-line mode to generate one task per order line, with an editable grid for adjusting each task's title before confirming.
How do I know if the follow-up work is done?
The Purchase Order form shows a live summary of open and completed linked tasks, and the dedicated PO Tasks list and kanban let you audit progress across every order at once.
Who is allowed to create or view these tasks?
Access is governed by dedicated Purchase to Task user and manager groups, configured from Purchase Settings alongside the default project and assignment strategy.
