Description

- Link maintenance equipment to preferred suppliers
- Create purchase orders directly from maintenance requests
- Track related purchase orders for parts and services
- Outsource maintenance jobs to external service providers
Ideal for organisations that need to:
- Manage external maintenance service providers
- Keep track of parts and services purchased for maintenance
- Streamline the workflow between maintenance and purchasing
Video Tutorial
Watch our tutorial on how to use the Maintenance Purchasing module:
Features
Link Equipment to Preferred Suppliers
The module adds a preferred supplier field to equipment records, making it easy to specify the vendor that typically services or provides parts for each piece of equipment. When creating purchase orders from maintenance requests, the system automatically selects this preferred supplier, streamlining the procurement process.
Create Purchase Orders from Maintenance
Create purchase orders directly from maintenance requests with a dedicated button in the interface. The system pre-fills essential information, including:
- Preferred supplier (if configured on the equipment)
- Maintenance request reference
- Default maintenance service product
This streamlines the procurement process and ensures all purchase orders are properly linked to their originating maintenance request.
Track Related Purchase Orders
A smart button on maintenance requests shows the count of related purchase orders and provides direct access to them. This gives maintenance managers complete visibility into all parts and services being procured for each maintenance job. Similarly, purchase orders include links back to their originating maintenance requests, creating a complete audit trail.
Integration with Parts Management
The module integrates seamlessly with the Maintenance Parts module, creating a comprehensive solution for managing maintenance operations. This integration allows maintenance teams to:
- Track both in-house parts consumption and external purchasing
- Manage inventory and outsourced services in one system
- Maintain complete cost records for all maintenance activities
