Queue Visitor Management in Odoo

The Queue Visitor Management module manages visitor queues based on configurable settings, generating a token number when a visitor submits a request. In "Department-wise Multiple Screen Manage" mode, each department has its own queue and display screen, with token numbers starting from 1 for each department, allowing visitors to view their department’s running queue and waiting list. In "Managing One Screen for Multiple Departments" mode, all departments share a common queue screen with a continuous token sequence. In both modes, visitors can see the current running token and the number of people waiting. After a visit, the system prompts visitors to enter the purpose of their visit before moving to the next person. Each department is also assigned a unique URL, enabling department-specific queue viewing, and only the assigned user of a department can access and manage its queue requests, ensuring secure and focused control.

1. Department-wise Multiple Screen Manage:
The Queue Management System is designed to streamline the handling of appointment requests by generating and organizing queue numbers dynamically. The system ensures a smooth and efficient experience for both users and staff by directing queue data to specific departmental screens in real time.
➜ How It Works:

Appointment Request Initiation:
A user (patient/customer) submits an appointment request through a kiosk, web portal, or reception desk. The system captures relevant details such as name, contact, purpose, and department selection (e.g., General Medicine, Pediatrics, Dentistry, etc.). -
Queue Number Generation:
Based on the selected department, the system generates a unique queue number (e.g., GEN-001, PED-005). The numbering is department-specific, ensuring independent sequences per department. -
Department-Wise Queue Display:
Each department has a dedicated display screen (TV/monitor) showing:- Current serving number
- Upcoming numbers
- Estimated wait time

Staff Handling:
Department staff can automatically manage the next person in the queue through a dashboard. The system updates the screen display and optionally triggers an audio/visual alert.
Click on the 'Visitor Request' menu at the top of the page.After filling in the details, click on the 'Submit' button to proceed.

After submitting the visitor request, a token number will be generated.
The token number is displayed here, and you can print it or cancel the visitor request

Visitor entries will be created in the Visitor menu, which you can see here

The visitor can see which queue is currently running and how many are in the waiting list

Once the visitor's process is complete, manager will click on the 'Mark as Visited' button

Then, a popup will appear asking the purpose of the visitor's visit. After clicking the submit button

When a visitor's appointment completes, their status changes to "Visited" and the next visitor automatically moves from "Waiting" to "Running" status, ensuring continuous queue flow and efficient processing.

The system automatically creates a unique URL for each department, which displays live running and waiting queues on the department's screen

The user assigned to a department can view the visitors of their own department

Configuration menu, When the Department-wise Multiple Screen Manage option is selected, visitors can view the visitor list specific to each department using the department's unique URL.
The queue sequence will start from 1 for each department individually,

2. Managing One Screen for Multiple Departments.:
In addition to department-specific queue screens, the system includes a unified control screen that allows administrators or front-desk staff to monitor and manage live appointment queues from all departments in real time.

Live Department Feed:
A single dashboard displays real-time queue activity for all departments (e.g., General Medicine, Orthopedics, Cardiology).- Each department’s queue is shown in a separate section/card, with:
- Department name
- Current serving number
- Pending queue numbers

Real-Time Queue Monitoring:
Updates instantly as new requests are created or as patients/customers are called.
When the Managing One Screen for Multiple Departments option is selected, you can view visitors from all departments together on a single screen.
The queue sequence will not reset for each department; it will continue in a single sequence across all departments.

The green-colored entries indicate the currently running visitors for all department.
System creates a /my/queue/all URL for all department, showing its live running and waiting queues

To complete the visitor's process, the manager will click on the 'Mark as Visited' button

Then, a popup will appear asking the purpose of the visitor's visit. After clicking the submit button

When a visitor's appointment completes, their status changes to "Visited" and the next visitor automatically moves from "Waiting" to "Running" status

Once one visitor's process is complete, the next visitor's process will start automatically.
