Employee Loan Request & Installment Management

Employee Loan Application & Repayment

This app enables employees to submit loan requests directly from the Odoo backend. The Loan Department (Loan Officer or Loan Manager) can review all submitted requests and either approve or reject them. Once a request is approved, the Accounting Department can proceed with disbursing the loan amount to the respective employee, as demonstrated below.


Main Features:

  • Allows employees to submit loan requests, and enables the Loan Officer or Manager to review, approve, or reject those requests.
  • Allows Accounting Department users to disburse loan amounts to employees upon approval by the Loan Manager.
  • Allows users to print a PDF report of the loan request, as shown in the sample.
  • Allows Loan Managers to create and manage loan proof types under the configuration settings.
  • Allows Loan Managers to create and manage different loan types from the configuration settings.
  • Allows Loan Managers to create and manage loan policies from the configuration settings.
  • Repayment of loan installments is supported only through Cash or Bank payment methods in the app.
  • Loan disbursement is supported only through Cash or Bank payment methods in the app.
  • Note: The app supports loans only in the company’s base currency. All loan amounts and installment repayments must be recorded in the company currency.
  • The app automatically generates loan installments, books interest, and creates repayment entries when the repayment method is set to Cash or Bank journals.

This menu allows the HR Manager to create and configure all required loan proofs needed for loan approval and processing. The configured loan proofs can be assigned to specific loan types and will be automatically displayed on the loan request form for employee submission.

Loan Types allow HR Managers to define and configure various types of loans that employees can request. Each loan type can be customized to specify whether interest is applicable or not. The repayment method is restricted to a single option either cash or bank (cheque) to be used by the employee at the time of installment payment. Similarly, the disbursement method is limited to cash or bank transactions and can only be processed once the loan request has been approved.

In addition, HR Managers can define which employee categories and specific employees are eligible to request each loan type. If an employee does not fall under the selected category or is not explicitly listed, the system will prevent them from submitting a loan request for that loan type. Loan proofs can also be configured here, ensuring that employees are required to submit the necessary documents (such as ID proof or salary slips) when applying for a loan. This ensures proper validation and processing of loan requests.

Loan Policies Configuration

HR Managers can configure loan policies or eligibility rules that must be met before a loan request can be approved. When an employee submits a loan request, the system automatically checks whether the employee meets all the conditions defined in the selected policy. If the employee does not fully comply with the policy, the loan request will not proceed for approval. This ensures that loan approvals are governed by consistent and predefined rules.

Clicking Book Interest triggers the creation of the related interest journal entry in accounting.

Payment of the loan installment triggers automatic creation of the accounting journal entry.

Manage Payments in Odoo Accounting

If a loans repayment method is set to Cash or Bank, the Odoo payment form includes a new field that allows the accountant to select the specific installment. Upon validating the payment, the selected installment will be marked as paid.

If you are not using the Odoo payment screen to record installment payments from an employee, you can use the button on the installment itself to generate the corresponding journal entry.

There is a Book Interest button on the installment, which, when clicked, creates the corresponding journal entry for the interest of that installment in the system.
