Customer Job Sales Estimate Tracking & Signing of Customer System
This module introduces a new Job Estimates menu within the My Account section, facilitating Customers in conveniently accessing their job estimates. Customers can electronically sign their job estimates through the Accept and Sign button available in the Job Estimate Form View. Furthermore, the Print button provides the option to print or download comprehensive reports of their job estimates. On the backend, a functionality for Job Managers to esign job estimates has been established, enabling them to sign documents directly from the backend. The signed job estimate is subsequently included in the report, thereby ensuring a thorough and efficient job estimate management process for both Customers and Managers.
Main Features:
- My Account Portal Job Estimates Menu:
- A new Job Estimates menu has been added to the My Account portal.
- This menu allows Customers to access and view their individual job estimates.
- The user friendly interface enables easy navigation and estimate visibility directly from the portal.
- Electronic Signature Feature:
- From the job estimate form view, Customers can click on the Accept & Sign button to electronically sign their estimates.
- This feature ensures a smooth and digital signing process, eliminating the need for physical paperwork.
- Job Estimate Report Generation:
- Customers can view detailed reports of their job estimates by clicking the Print button from the job estimate form view.
- This functionality allows Customers to easily print or download the job estimate reports for reference or record keeping.
- Backend Job Manager Signature:
- On the backend, a Job Manager can also sign job estimates through an esignature feature implemented for managers.
- This provides the flexibility for Job Managers to electronically approve estimates directly from the backend without the need for physical intervention.
- The backend also captures and stores the Job Managers signature securely for estimate validation.
- Display of Signed Job Estimates:
- Once the job estimate has been signed (both by the Customer and the Job Manager), the signed estimate is displayed on the report level.
- This ensures that the signed estimate is visible to both Customers and Job Managers for full transparency and confirmation.
Workflow:
- Job Manager Reviews the Job Estimate:
- The Job Manager accesses the job estimate in the backend interface of the system.
- The Job Manager reviews the estimate details and prepares to provide their approval.
- The Job Manager clicks the Signature button inside the signature tab to provide their esignature, formally approving the estimate.
- The backend captures the Job Managers signature and stores it securely in the system.
- Customer Accesses the My Account Portal:
- The Customer logs in to their account on the website.
- Upon successful login, the Job Estimates menu will be displayed in the My Account section of the portal.
- Viewing Job Estimates:
- The Customer clicks on the Job Estimates menu.
- A list of the Customers estimates is displayed, showing estimate titles, statuses, and other relevant information.
- The Customer selects a specific estimate from the list to view the estimate details.
- Electronic Signing of Job Estimate:
- The Customer is presented with the estimate in a form view with relevant details.
- The Accept & Sign button is visible on the form.
- The Customer clicks on Accept & Sign to electronically sign the estimate.
- Once clicked, the system records the Customers electronic signature, and the estimate is marked as signed.
- Viewing and Printing the Job Estimate Report:
- The Customer can view additional details of the estimate by clicking the Print button.
- This opens a detailed job estimate report where the Customer can review all terms, pricing, and scope of work.
- The Customer can choose to print or download the report for their records.
- Displaying Signed Job Estimates:
- After both the Customer and the Job Manager have signed the estimate, the signed estimate is updated in the system.
- The final, signed job estimate is now displayed on the estimate report.
- Both the Customer and the Job Manager can view the signed estimate in the Job Estimates section, ensuring full transparency and record keeping.
