1. Access Rights & Security Configuration

The module defines two core security groups:

• Workflow Manager: Has full CRUD access. Managers can configure AI API keys, create workflows, and manage all workflow lines.
• Workflow User: Can create and submit workflows and generate PDFs, but cannot delete workflows or access the AI Configuration settings.

2. Mandatory AI Configuration

Navigate to Workflows > Configuration > AI Config (requires Manager access). Select your provider (OpenAI, Claude, DeepSeek, or Grok) and input your API key. Without this, the PDF generation will fail.

3. Creating Workflows

Go to Workflows and click New. Enter a Workflow Name and assign a Company (workflows are multi-company aware). The workflow starts in Draft state.

4. Building Workflow Steps

Add step lines to the workflow. You can select either Action or Decision nodes.

• Action Nodes: Standard linear process steps.
• Decision Nodes: Branching steps that must have at least one child with a "Valid" outcome and one child with an "Invalid" outcome.

5. Python Validation & Submission

Click Submit. Our strict Python backend will validate your workflow structure. It checks for infinite loops/cycles and verifies that all Decision nodes have properly defined Valid/Invalid branches. If valid, the state changes to Submitted.

6. AI-Powered PDF Generation

Once submitted, click Generate PDF. The system's AI reads your step logic and dynamically renders a flawless BPMN SVG/PDF map, which is saved directly as an attachment to your workflow record. Bulk generation is also supported via the list-view Action menu!
