Installation

To install the module, you need to go to the Apps menu and remove the filter from the search bar and type the module name pragtech_crm_advance, and click on the Activate button.

Configuration

Navigate to Settings > Calendar Settings. Provide the Client ID and Client Secret here. You can get the Credentials from “ https://console.cloud.google.com “.

  • Create an incoming mail server
  • Create an outgoing mail server

Workflow

Go to the Meeting Scheduler and create a new record. Provide the Duration, Users, and Working Schedule, then save it. The Appointment URL will automatically be created. Publish the URL by clicking the Publish button. If you need any extra information from the client side, then we can add the questions in the Questions tab.

Add the extra questions here and it will show in the Appointment Form. Also we can set the questions Mandatory or not.

Share the Appointment URL with the client. The client will open the URL, and they can book the appointment by choosing a preferred date and time based on real-time availability.

The appointment form will be like this. Here, you can see the extra question automatically added.

When the client submits the appointment, a lead will be created in the CRM, a Google Meet link will be generated, and the email will automatically be sent to the attendees.

We have a Dedicated CRM Dashboard. Personalized dashboard for each user. Displays CRM metrics and key details specific to the current user.

We have an Assign Salesperson action for bulk assigning leads to a salesperson.

To Assign Salesperson, just click on the action and select the salesperson from the selection.

Now the salesperson is assigned.

For the customer type Boolean Flags, we have Lead Customer, Potential Customer booleans. When a lead is generated first time, then it will be Lead Customer, and if we have already won an opportunity from the client, then it will be Potential Customer. To check that, open a new Lead.

We can see here first time that the client will be Lead Customer.

Convert it to an opportunity, and when it is won. Check the customer record again.

We can see here, now the client will be a Potential Customer.

Custom My Wons menu to display only won opportunities of the current user.

It will show all the won opportunities of the current user.

A separate Opportunities menu to view all opportunities in one place.

To set up Client Sequence, first need to set up the Custom Email Template Header. Create a new record and add or create the Email Templates, then set the Next Trigger Duration (days).

Now, create the Sequence record. Set the Responsible person, Names of the client, and Custom Email Template Header. Set to Running, then the sequence starts to run. The sequence history of clients will be shown by clicking the Clients smart button.

In the Clients smart button, we can see the sequence history. We can see whether the mail has been sent or not, and whether the client has replied to the mail or not. If the client replies to the mail, then the sequence will automatically stop.

Clients can access a shared Appointment URL, view real-time availability, and book meetings by choosing their preferred date and time. The form may include customized questions set by the admin. Once submitted, the appointment automatically creates a lead in the CRM. This process is streamlined and integrated with Google Meet, making scheduling seamless and professional.

4. What distinguishes the "My Wons" menu from the "Opportunities" menu?

The "My Wons" menu displays only the won opportunities specific to the logged-in user, making it easier to analyze successful deals and personal performance. In contrast, the "Opportunities" menu provides a broader view of all CRM opportunities, filtered by various criteria for full pipeline management.

5. How is the salesperson assigned in bulk to leads, and what are the advantages?

Using the "Assign Salesperson" bulk action, CRM users can select multiple leads and assign them to a chosen salesperson in one step. This significantly reduces manual effort and ensures fair and efficient workload distribution across the sales team.

6. How is the lead type (Lead Customer vs. Potential Customer) automatically determined?

The application uses two boolean fields to identify the lead type. When a customer is contacted for the first time, the system marks them as a Lead Customer. Once an opportunity is won from that customer, their status changes to Potential Customer, enabling better segmentation and targeted follow-ups.
