CRM Sales Invoice and Delivery Employee Assignment

This guide explains how to assign employees to CRM sales invoices and delivery orders. While the "Salesperson" field is fixed as "Administrator" for system-level tracking, the "Employee" field identifies the individual responsible for order fulfillment, invoicing, and delivery. This enables performance analysis per employee.

Key Concepts

  • Salesperson (Administrator): Global account for overarching sales tracking.

Assigning Employees

Sales Order Creation
  • Navigate to Sales > Orders > New
  • In the Employee field, assign a responsible employee (e.g., Vivek)

Invoice Generation

  • Navigate to Invoicing > New.
  • The Employee field auto-populates from the Sales Order (e.g., Vivek).

Delivery Order

  • Navigate to Delivery > New.
  • Manually assign an employee in the Employee field (e.g., Vwok).

Sales Reporting

  • Group By: Use Employee in CRM views (Sales Orders, Invoices).

Example:
Sales List View > Group By: Employee
- Vivek: $145 revenue
- Durga: $0.00 revenue

Pipeline Analysis

  • Track Expected Revenue and Stage per employee.

Example:
Pipeline > Employee: Durga
- Stage: New → Won
- Expected Revenue: $0.00 → $145

Audit Logs

  • Monitor actions per employee (e.g., invoice status changes).

Invoice #INV/2025/00001 Audit Log:

Summary

The "Employee" field drives accountability for sales, invoicing, and delivery tasks. Use CRM views grouped by Employee to review individual performance. Previously, the CRM system used only the Salesperson field—fixed as Administrator—for sales orders, invoices, and deliveries, limiting the ability to track individual employee responsibility. To improve accountability without affecting system ownership, we introduced a separate Employee field that allows assigning specific team members to each transaction while keeping the Salesperson unchanged. This ensures that administrative reporting stays consistent, while individual employee performance can be tracked clearly through CRM views and reports. The system now supports assigning different employees for tasks like order processing, invoicing, and delivery, providing better visibility, accountability, and productivity analysis across the team.

FAQ

  1. The “Salesperson” field is a system-level placeholder for overarching sales tracking.
  2. It ensures all transactions are centrally recorded under the company’s administrative account.
  3. Employee assignment (Vivek, Durga, etc.) handles granular task ownership for performance analysis.

  1. Sales Orders:
    • Open the order (e.g. 500001) → Edit the Employee field → Save.
  2. Invoices/Deliveries:
    • Navigate to the record (e.g. INV/2025/00001) → Update the Employee → Re-post if needed.
    Note: Changes propagate downstream only if made at the Sales Order stage.

  1. Invoices inherit the Sales Order’s employee (e.g. Vivek for invoicing).
  2. Deliveries require manual assignment (e.g. Vwok for shipping).
    Tip: Use the Delivery Order’s Employee field to assign warehouse or logistics staff separately.

  1. Group Reports:
    • In CRM views (e.g. Sales Orders), select Group By → Employee.
  2. Pipeline Tracking:
    • Filter by employee in Pipeline Analysis (e.g. Durga’s expected revenue).
  3. Audit Logs:
    • Check timestamps and actions per employee (e.g. Vivek’s invoice updates).
    Output: Export data to review revenue generated, orders handled and delivery efficiency.
