SmartSync - WooCommerce & Odoo Connector

SmartSync - WooCommerce & Odoo Connector is designed for businesses that run their online store on WooCommerce. It seamlessly connects WooCommerce with Odoo, ensuring your products, customers, inventory, prices, and sales orders remain synchronized across both platforms. By automating data exchange, this module eliminates manual data entry, reduces errors, maintains data consistency, and streamlines daily operations for eCommerce businesses, retailers, wholesalers, and organizations managing both WooCommerce and Odoo.

To Configure the WooCommerce Instance in Odoo, follow these steps:

1. Open the WooCommerce App:
   Go to the WooCommerce module from the Odoo dashboard.
2. Access the Configuration Menu:
   From the top menu, click on Configuration and select Instances.
3. Set Up Your WooCommerce Connection:
   Open the instance and enter the basic connection details such as your WooCommerce Store URL, Consumer Key, Consumer Secret, and API Version.
4. Configure Import & Export Settings:
   • Enable or disable Data Import and Data Export.
   • Turn on Auto Create Missing Product if you want Odoo to create products automatically.
   • Enable Auto Create Missing Delivery Carrier for automatic carrier mapping.
5. Inventory and Accounting Setup:
   • Select where inventory will be managed - In WooCommerce or In Odoo.
   • Set the Warehouse and Pricelist you want to use for WooCommerce orders.
   • Choose the Shipping Product and Discount Product for order handling.
   • Assign the correct Invoice Tax Account and Credit Tax Account so taxes are posted correctly.
6. Webhook & Sync Configuration:
   • Enable real-time sync via WooCommerce webhooks (order.created, product.updated, etc.).
   • Configure automated sync interval (cron) e.g., every 15 minutes.
   • Set up multi-store/multi-company mapping if required.
7. Status Mapping:
   • Map WooCommerce order statuses (Processing, Completed, Cancelled, Refunded) to corresponding Odoo actions.
   • Click the Activate button to activate your WooCommerce instance.

The Status Mapping section lets you control how each WooCommerce order status is processed in Odoo. For statuses like paid, fulfilled, pending, or refunded, you can choose actions such as confirming orders, validating deliveries, creating/validating invoices, or registering payments.
Click the Activate button to activate your WooCommerce instance.

The Webhook Configuration section enables real-time synchronization between your WooCommerce Store and Odoo. Configure webhooks to automatically sync products, customers, and inventory as soon as changes occur in WooCommerce, ensuring your Odoo database is always up to date without manual intervention.

Enable Inventory Synchronization to automatically update product stock quantities in Odoo whenever inventory changes in WooCommerce. Stock updates are applied only for products with WooCommerce stock management enabled.

Turn on Product Auto Import to automatically create or update products in Odoo whenever products are added or modified in WooCommerce. Likewise, enable Customer Auto Import to synchronize new and updated customer records automatically.

The Active Webhook List displays all configured webhooks along with their event types, callback URLs, and creation timestamps, allowing you to verify that real-time synchronization is active and functioning correctly.

The WooCommerce Dashboard provides a comprehensive overview of your store's performance in one place. View key business metrics such as Total Sales, Average Order Value, Products, Customers, Orders, Shipped Orders, and Refunds. These real-time insights help you monitor sales activity, track business growth, and make informed decisions without leaving Odoo.

The Reports section provides interactive analytics to help you understand your WooCommerce store's performance. Visualize your business data using Line Charts, Bar Charts, and Pie Charts for sales, orders, products, customers, and other key metrics. Apply filters such as Date Range, Store, Order Status, or Product to generate customized reports, making it easy to analyze trends, compare performance, and gain actionable insights directly within Odoo.

The Sync Logs section provides a complete history of all synchronization activities between WooCommerce and Odoo. View the status of each sync operation, including successful, pending, and failed records, along with detailed messages to help identify and resolve issues quickly. If any record fails to synchronize automatically, you can use the Process Manually option to retry the synchronization directly from the log, ensuring your data remains accurate and up to date.

The Perform Operation section allows you to manually execute synchronization tasks between WooCommerce and Odoo. Simply select the Integration Instance, choose the required operation—such as Import Products, Import Specific Products, Import Stock, Import Customers, Import Orders, Import Specific Orders, Export Products, Export Stock, or Export Shipment Information / Update Order Status—and click the Execute button. The selected operation is automatically added to the processing queue, where it is executed in the background, ensuring reliable synchronization without interrupting your workflow.

For improved performance and easier management, the connector creates separate processing queues for Products, Customers, Orders, Stock, and Shipments. This allows each synchronization task to run independently, making it easier to monitor progress, identify failed jobs, retry specific operations, and process large volumes of data efficiently without affecting other sync activities.
