Helpdesk Project Sync

Seamless two-way sync between Helpdesk tickets and Project tasks — bi-directional conversion, manual linking, conversion tracking, chatter sync, and safeguards against re-conversion.

Ticket → Task

Turn a ticket into a project task while keeping the link and the conversation intact.

Convert

Turn a ticket into a task

Trigger the conversion straight from the ticket — the Convert to Task button in the header, or the gear (action) menu. Pick the target project and stage in the guided wizard and confirm; a linked task is created instantly.

Archive on conversion — the wizard includes an optional checkbox to archive the source record once the new one is created. Leave it unchecked to keep both active; archived records stay reachable from the Filters menu.
Available as a header button or from the gear menu

Track

See linked tasks at a glance

Every ticket with linked or converted tasks shows a Tasks smart button at the top of the form. The counter spans both converted and manually linked tasks.

Appears as soon as the first task is created or linked
Counter reflects converted and linked tasks combined
One task opens in a form; several open in a list
Link

Link existing tasks

Beyond converting, link a ticket to existing project tasks through the Linked Tasks field. The list is filtered to the same customer so only relevant tasks surface.

Filtered by customer to surface only relevant tasks
Messages on the ticket sync to every linked task
Linked tasks count toward the Tasks smart button
Overview

View all related tasks

When a ticket has several related tasks, the smart button opens a pre-filtered list of every one — review stages and open any task without leaving Helpdesk.

Chatter sync

Conversations stay in sync

Messages posted on a linked task are mirrored into the ticket’s chatter, each with a clickable reference back to its source so the full history is traceable from both records.

Synced messages link back to the source task
Attachments from task messages are included
Emoji reactions are carried over to the synced message
Loop prevention avoids duplicate messages
No emails are sent from synced messages
Safeguard

No circular conversions

A ticket that originated from a task can’t be converted back into one. This keeps conversion chains clean and predictable, with a clear warning when it’s attempted.

Blocks re-conversion with a warning message
Preserves the integrity of conversion history
No data is lost — the ticket stays fully editable

Escalate a task into a helpdesk ticket — every capability mirrored the other way.
