CRM Stage Change Gate

The CRM bridge intercepts every stage change on leads and opportunities and checks for blocking checklists before the pipeline move is allowed. Sales managers can enforce qualification criteria at every pipeline boundary - not just at close - so deals only advance when every required step is genuinely signed off.

Checklist Side Drawer

A compact, context-aware side drawer opens directly from the CRM opportunity form without navigating away. Reps see a live progress badge (e.g., 1/3) on the drawer button, can expand items grouped by state, write execution notes, upload evidence files, and mark items done - all without leaving the record.

Reusable Checklist Templates

Build one qualification or close-readiness template and reuse it across every matching opportunity. Each template targets the Lead / Opportunity (crm.lead) model, holds an ordered list of required checks with per-item rules, and ships with a live preview that shows how it will appear before any policies are activated.

Policy Engine

Policies control when a checklist appears on an opportunity and how strictly it is enforced. Choose Manual (rep-launched) or Automatic (attaches when a matching record opens), combined with Advisory (visible but non-blocking) or Workflow Gate - with a domain-builder applicability filter so only matching opportunities receive the checklist.

  • Manual: rep chooses when to start the checklist
  • Auto: attaches when a qualifying opportunity is opened or written

Per-Item Assignees & Deadlines

Every checklist item carries its own responsible user and a calculated due date. Assignees resolve automatically from the current user, the opportunity's responsible salesperson, or any user-typed field on the opportunity. Deadlines can be a fixed offset after checklist start, or derived from a date field on the lead record. Odoo mail activities are created for each pending assigned item to keep reps on track.

Required Notes & Evidence

For high-stakes qualification steps, configure each item to require a free-text execution note or evidence file attachments before it can be marked done. The side drawer validates these requirements inline, surfaces badge warnings, and blocks the Done button until the rep fulfills the obligation - making proof-of-completion a first-class citizen of every qualification step.

  • Note Required: free-text field must be non-empty before sign-off
  • Evidence Required: at least one file must be uploaded per item
  • Inline warning badges shown in the drawer before completion

Immutable Audit Trail

Every significant checklist action - creation, item completion, note edits, evidence uploads, reassignments, gate blocks, and reopens - is recorded as an immutable event with the actor's name and a full timestamp. Audit events cannot be edited or deleted even by administrators, making the trail safe for compliance and internal audit reviews.

Step 1 - Install Both Modules

Install EKIKA Checklist Manager - CRM (ek_checklist_crm). The CRM module automatically registers two gate events - CRM Stage Change and CRM Mark Won - and loads a ready-to-use Starter: Opportunity Qualification template so you can explore the full flow immediately after installation with no additional setup.

Step 2 - Create a CRM Checklist Template

Go to Settings -> Technical -> Checklists -> Templates and click New. Give the template a descriptive name such as "Opportunity Qualification" and set Target Model to Lead / Opportunity (crm.lead). Choose a Progress Policy - Required Items counts only mandatory checks toward completion percentage, while All Items counts every item. Enable Allow Skip / Not Applicable only if reps need to bypass non-relevant steps on specific deals.

Step 3 - Add Checklist Items with Rules

Switch to the Items tab and add each required qualification step. For every item, configure:

  • Required - mandatory for gate enforcement; optional items do not block the gate.
  • Default Assignee Type - choose Record Responsible to auto-assign to the salesperson on the opportunity, or Current User to assign to whoever opens the record.
  • Deadline Mode - set a fixed number of days after checklist start, or derive the date from a date field on the opportunity (e.g. Expected Close Date).
  • Require Execution Note - forces the rep to write a note before marking done.
  • Require Evidence Attachments - forces the rep to attach a file before marking done.
Use the Instructions field on the item form to guide reps on what proof or information is expected.

Step 4 - Create a Policy (Advisory or Workflow Gate)

Switch to the Applicability tab (or the Automation & Gates tab for gate-specific setup) and click Add a line to create a new policy. Set:

  • Creation Mode - Manual: the rep starts the checklist from the drawer. Automatic: the checklist attaches itself when a matching opportunity record is opened or created.
  • Enforcement Mode - Advisory: visible in the drawer, no blocking. Workflow Gate: blocks CRM transitions until required items are complete.
  • Applicability Domain - use the domain builder to limit the policy (e.g. [('type', '=', 'opportunity')] to restrict to opportunities only, excluding leads).

Step 5 - Select CRM Gate Events

When Enforcement Mode is set to Workflow Gate, the Gate Events field becomes available. Select one or both of the CRM gate events provided by this module:

  • CRM Stage Change - blocks moving the opportunity to a new pipeline stage.
  • CRM Mark Won - blocks the Mark Won button on the opportunity.
You can enable both gate events on a single policy, or create two separate policies with different item sets - one for stage changes and one specifically for close readiness. Save the policy and the gate will be active immediately for all matching opportunities.

Step 6 - Execute from the CRM Opportunity Drawer

Open any CRM opportunity that matches the policy domain. If the policy is Automatic, the checklist is already attached. If Manual, click the checklist button in the bottom-right dock area of the form and choose Start next to the available template. The drawer opens and shows all items grouped by state. Complete each item by clicking Complete Item, filling in any required note, and uploading any required evidence file. Once all required items are done, the CRM gate is cleared and the opportunity can proceed.

Step 7 - Monitor via Checklist Instances & Audit Trail

Managers and auditors can review all running and completed checklists from Checklists -> Instances. The list shows completion percentage, required items done vs total, overdue item count, and whether any instance is currently blocking a workflow transition. Open any instance and switch to the Audit Trail tab to see the full immutable event log for that checklist. Use the Checklists -> Audit Trail menu for a cross-record view of all checklist events in the database.

CRM Checklist Use Cases

Whether your team needs lightweight qualification guidance or hard enforcement before closing a deal, EKIKA Checklist Manager - CRM covers the full spectrum. Below are the most common use cases and how to configure each one.

Opportunity Qualification Gate

Enforce a qualification standard before any opportunity can move to a later pipeline stage. Set Enforcement Mode = Workflow Gate and enable the CRM Stage Change gate event. Use Required Execution Note on each item so reps document their findings.

Pre-Close Mark Won Checklist

Key-Account Handoff Readiness

For enterprise deals that involve a handoff to an account manager or delivery team, use an Advisory checklist with automatic application. The drawer guides the rep through the handoff steps without hard-blocking the CRM, while the audit trail proves compliance.

Segment-Specific Checklists

Use the Applicability Domain to run different checklists for different opportunity segments. For example, apply a lighter advisory checklist to small deals and a full gate checklist only to high-value enterprise opportunities - scoped via expected revenue or sales team.

Legal / Commercial Validation

For industries with compliance obligations, use a gate checklist to ensure every deal passes legal review before being won. Assign items to the legal team using a specific user field, require evidence attachments for every approved document, and gate the Mark Won action.

Which CRM transitions can be blocked by a checklist gate?   +

Two gate events are registered by this module:

  • CRM Stage Change (crm.lead.stage_change) - blocks moving the opportunity to any pipeline stage.
  • CRM Mark Won (crm.lead.mark_won) - blocks the Mark Won action on the opportunity.
You can enable either or both on a single policy, or create separate policies for each gate with different item sets and applicability domains. Lost / cancellation-style actions are not gated by default.

Can I use advisory checklists on CRM without blocking any workflow?   +

Yes. Set the policy Enforcement Mode to Advisory and your checklist will appear in the opportunity drawer for guidance and tracking without blocking any CRM transitions. Advisory checklists are ideal for onboarding teams to the workflow before introducing mandatory gates.

Can a checklist attach automatically when a new opportunity is created?   +

Yes. Set the policy Creation Mode to Automatic and configure the applicability domain. The checklist engine hooks into every create and write call on crm.lead and attaches the checklist the first time a matching opportunity is created or opened. No manual action by the rep is needed.

Can different checklists apply to different types of opportunities?   +

Yes. Each policy has an Applicability Domain that acts as a filter on the opportunity. You can scope checklists to:

  • Opportunity type only: [('type', '=', 'opportunity')]
  • A specific sales team: [('team_id', '=', <team_id>)]
  • High-value deals only: [('planned_revenue', '>=', 50000)]
  • A specific company in multi-company setups
Create as many templates and policies as needed - each template can have multiple policies with different scopes and enforcement modes.

Does this work with both Odoo Community and Enterprise Edition?   +

Yes. The CRM module (crm) is available in both Odoo Community and Enterprise. All checklist functionality - including templates, policies, gate enforcement, side drawer, and audit trail - works on both Odoo Community and Enterprise editions.

Who can manage templates and policies, and who can execute checklist items?   +

The module ships with three dedicated roles from ek_checklist_base:

  • Checklist User - can execute checklist items from the drawer on records they have access to.
  • Checklist Manager - can create and edit templates, policies, and gate configurations.
  • Checklist Auditor - read-only access to all instances and the audit trail for compliance review.
Item execution is further controlled per-item: only the assigned user or a Checklist Manager can mark an item done, reopen it, or change its state.
