Overview
The Activity Management module provides comprehensive activity administration with powerful views, priority levels, tags, and security groups. Manage activities assigned to employees efficiently with dashboard views, filtering, and tracking capabilities.
Prioritize your day and work the way you want, then track activities through multiple views like tree, kanban, calendar, pivot, and graph. Activity management provides an efficient way to manage and assign activities across your team to ensure harmony and productivity.

Access activities through tree, kanban, calendar, pivot, and graph views. Choose the view that works best for your workflow.

Set priority on activities: Low, Normal, High, or Urgent. Visual priority indicators help you focus on what matters most.

Categorize activities with custom tags. Color-coded tags make it easy to identify activity types at a glance.
📅 Remaining Days
See remaining days until deadline in all views. Quickly identify overdue and upcoming activities with visual indicators.
🔒 Security Groups
Activity User sees own activities only. Activity Administrator sees all activities. Configurable access control.
📝 Done Activity Logs
Track completed activities with historical logs. View when activities were done, by whom, and navigate to related messages.
🔍 Advanced Filtering
Tons of filters and group by options. Find activities by user, type, deadline, priority, tags, and more.
⚡ Mass Operations
Edit multiple activities at once. Bulk update priority, tags, or other fields to save time.
Security Groups
Activity User
Users with this group can see only their own activities. They can edit and complete their activities but cannot modify activities assigned to other users.
Activity Administrator
Administrators can see all activities across all users. They have full visibility into the team's activities and can manage activity configurations.
Assigning Security Groups
- Go to Settings → Users & Companies → Users
- Select a user
- In the Access Rights tab, find "Activity Management" section
- Choose Activity User or Activity Administrator
- Save the user
Priority Levels Explained
| Priority | When to Use |
|---|---|
| 🔵 Low (0) | Non-urgent tasks that can be done when time permits |
| ⚪ Normal (1) | Standard activities with normal importance (default) |
| 🟡 High (2) | Important activities that should be prioritized |
| 🔴 Urgent (3) | Critical activities requiring immediate attention |
Using Activity Views
Tree View
The tree view provides a comprehensive list of all activities with inline editing. See priority, tags, remaining days, and assigned users at a glance. Click "Document" to navigate to the related record.
Kanban View
The kanban view displays activities as cards with visual priority stars and color-coded tags. Perfect for getting a quick overview of your day's tasks.
Calendar View
View activities on a calendar by deadline date. Color-coded by user for easy identification. Great for planning your week or month.
Pivot View
Analyze activity distribution across users, types, and time periods. Powerful for managers to understand team workload.
Graph View
Visualize activity data with charts and graphs. Track trends and identify patterns in activity creation and completion.
Done Activity Logs
When an activity is marked as done, a log entry is automatically created. Done activity logs provide:
- Historical record of completed activities
- Who completed the activity and when
- Activity details including priority and tags
- Link to the related document
- "View Message" button to navigate to completion message
- Multiple views: tree, kanban, calendar, pivot, graph
Viewing Done Activities
- Navigate to Discuss → Done Activity Logs
- Use filters to find specific completed activities
- Click View Message to see the completion message
- Click Document to open the related record
Activity Tags
Create custom tags to categorize your activities. Tags help you organize activities by project, department, type, or any custom classification.
Creating Tags
- Go to Discuss → Activity Tags
- Click Create
- Enter tag name
- Choose a color for visual identification
- Save
Once created, tags can be assigned to activities from the activity form or directly in the tree view.
