Custodians hold cash, spend it on dozens of small items, and reconcile it weeks later from a shoebox of receipts — while finance has no live view of who holds what or what's left. Petty Cash Management gives every fund a custodian, a limit and a project, records simple, compound and vendor-bill expenses, and posts the correct journal entry for each — even reconciling vendor bills so their payment status updates automatically.
Key Features
Fund Management
Create funds with a custodian, limit, GL account, journal and default project — each clearly labelled "Number | Name | Custodian" — and move them through Draft, Approved, Funded and Closed.
Three Expense Types
Record a simple single-account expense, a compound multi-account expense, or a vendor-bill payment — the total is computed for you from whichever type you choose.
Compound Entries (مذكورين)
A single journal entry with one debit line per expense account — each carrying its own project and beneficiary — against a single credit to the fund account.
Vendor-Bill Settlement
Pay outstanding supplier bills straight from the fund — the entry debits the payable and actually reconciles against the bill, so its payment status updates to paid or partial.
Invoice Picker Wizard
Pick one or more suppliers, list their unpaid or partial bills, tick the ones to settle and set the amount per bill — with a live selected-total before you post.
Project & Custodian Tagging
Every expense line links to a project (defaulting to the fund's) and to the custodian's partner, so the ledger carries both analytic distribution and the responsible person.
Balance & Limit Control
A live balance (funded minus confirmed expenses) is on every fund; confirming an expense that exceeds the balance is blocked, and a fund can't close while expenses are unsettled.
Settlement Runs
Batch confirmed expenses into a settlement, load all of a fund's unsettled expenses at once, and post — expenses already carrying their own entry are marked settled without double-posting.
Replenishment Wizard
Top the fund back up in one step — either back to its limit or by a custom amount — and the replenishment entry is posted automatically.
