Dashboard & Analytics: Monitor every aspect of your fuel station operations through an advanced analytics dashboard. Gain instant insights into tank stock levels, fuel sales, pump performance, revenue generation, outstanding credit invoices, profit margins, employee shift assignments, payment analytics, and operational trends. Designed to provide complete operational transparency and support data-driven decision-making.
Warehouse Configuration: Create and configure a warehouse to manage fuel inventory, storage locations, and stock movements for fuel station operations.
Fuel Station Configuration: Create a Fuel Station record and assign the corresponding warehouse. The selected warehouse will be used for inventory transactions and stock management related to the station.
Fuel Product Setup: Create fuel products such as Petrol and Diesel from the Products menu. These products will be used throughout purchasing, inventory management, and fuel sales operations.
Tank Management: Configure multiple storage tanks for each station and assign a fuel product to every tank. Tank quantities are automatically updated based on fuel purchases and sales activities.
Pump Configuration: Create fuel pumps and link each pump to its corresponding tank and fuel product to ensure accurate fuel dispensing and inventory tracking.
Nozzle Configuration: Define nozzles for each pump and establish their relationships. Nozzle-level tracking enables precise meter reading and sales calculations.
Shift Management: Create operational shifts such as Morning, Evening, and Night shifts to monitor fuel sales, cash collections, and operational performance on a shift-wise basis.
Fuel Price Management: Maintain fuel selling prices with effective dates. Future fuel prices can be configured in advance and will be applied automatically during fuel sales transactions.
Employee Shift Assignment: Assign employees to specific shifts and nozzles to streamline daily operations and reduce manual effort during meter reading and shift closing processes.
Station Ownership & Management: Configure station owners and managers to establish operational responsibilities and approval workflows within the fuel station.
Credit Customer Management: Create credit customer records and register multiple vehicle numbers for each customer to support fuel sales on credit and outstanding balance tracking.
Fuel Purchase Workflow: Before purchasing fuel, review the current tank quantity. Create a Fuel Purchase Order from the Fuel Management menu, select the fuel product and destination tank, and receive inventory directly into the warehouse associated with the selected station.
Purchase Validation: Validate the Purchase Order and complete the receipt process. The system automatically updates tank quantities and warehouse inventory based on the received fuel quantity.
Shift Opening Process: Enter the employee details and opening petty cash amount, then click the Open Shift button to begin daily fuel sales operations and meter tracking.
Credit Sales & Meter Tracking: While the shift remains active, operators can record multiple credit sales transactions. At the end of the shift, enter closing meter readings and close the shift to finalize operational data.
Meter Closing Submission: After verifying sales and meter readings, submit the shift to automatically generate a Cash Settlement record for financial reconciliation.
Cash Settlement Creation: Submitting the meter closing process generates a Cash Settlement record. This settlement can be reviewed, adjusted if necessary, and forwarded for approval.
Shift Expense Recording: Record any expenses incurred during the shift, such as maintenance costs, utility expenses, fuel purchases, or miscellaneous operational expenditures.
Settlement Summary: Review sales totals, expenses, credit sales, cash collections, and final closing balances before submitting the settlement for approval.
Manager Approval Workflow: To enable the Manager Approval Workflow, assign the Station Manager role to the appropriate user from the User Configuration form. Only users with this role will be authorized to review and approve submitted cash settlements.
Manager Approval Workflow: Submitted settlements are routed to the station manager for approval. Upon approval, the system automatically generates Sale Orders, Customer Invoices, and Expense Bills.
Expense Management: View and manage all expenses associated with approved settlements, ensuring accurate financial tracking and reporting.
Generated Sales Documents: Access the automatically generated Sale Orders, Customer Invoices, and Vendor Bills created from approved fuel station operations.
Reporting Dashboard: Access comprehensive operational and financial reports, including Detailed Sales Reports, Shift-wise Sales Reports, Customer Outstanding Reports, Invoice and Bill Listings, Dip Loss Reports, and Meter Reading Reports.
Fuel Sales Report Wizard: Generate Detailed Sales, Shift-wise Sales, and Customer Outstanding reports for a selected date range or for all available records.
Shift-wise Sales Report: Analyze fuel sales performance across different shifts with detailed quantity, revenue, and operational summaries.
Customer Outstanding Report: Generate customer outstanding reports to monitor unpaid balances and credit sales. Reports can be generated for a specific period or all records.
Meter Reading Report Wizard: Generate meter reading reports for a selected date or retrieve complete historical meter reading records without date restrictions.
Meter Reading PDF Report: View detailed meter readings, fuel quantities sold, sales amounts, opening readings, and closing readings for operational analysis and auditing purposes.
