GAEB File Import
Import GAEB Bill of Quantities files directly into Odoo Sales quotations - preserving section hierarchy, position numbering, quantities, and unit prices with zero manual re-entry.
In construction, engineering, and facility management, clients send GAEB Bill of Quantities files (.x81, .p83, .p84) containing hundreds of line items with hierarchical numbering, quantities, and unit prices.
Without this module, your team faces these daily pain points:
- Hundreds of lines to re-key - a typical BOQ has 50â500 positions, each requiring manual entry
- Numbering lost in translation - GAEB hierarchical codes (1.2.3) are never preserved in standard Odoo quotations
- Transcription errors - quantities and unit prices are mis-entered, leading to incorrect quotations
- Section headers disappear - grouped work-package structure is flattened into one long list
- No file traceability - no link between the original GAEB file and the quotation created from it
This module adds an "Import GAEB" menu directly in the Sales app. Upload a GAEB file, select the customer, and click Import - Odoo creates a complete Sales Quotation with all sections as headers, all positions as product lines with their GAEB numbering codes, quantities, units, and unit prices. The original file is automatically attached to the chatter for full traceability. An optional "Show Numbering On Report" flag adds a dedicated NUMBERING column to PDF quotations.
- Dual Format Support: Parses both GAEB DA XML (.x81) and GAEB 2000 fixed-width (.p83 / .p84) files
- Full Hierarchy Preserved: Section headers become line_section rows; positions become product lines - structure intact
- GAEB Numbering Field: Every line stores its original GAEB position code (e.g. 1.2.3) in a dedicated Numbering field
- Quantities & Unit Prices: QTY, UOM, and unit price are parsed and set directly on the quotation lines
- Partner Selection: Choose the customer at import time - no need to edit the order afterwards
- File Traceability: Original GAEB file is attached to the chatter with an import confirmation message
- Show Numbering On Report: Toggle to add a NUMBERING column to the PDF quotation - ideal for client communication
- Invoice Support: Numbering field and show_numbering flag also available on customer invoices
- Clean Import Wizard: Simple dialog - upload file, select partner, click Import
- Auto Product Creation: Service products are auto-created from GAEB item names on first import
1. Open Import GAEB from the Sales Menu
Click Sales -> Import GAEB in the top navigation bar to open the import wizard.
2. The Import GAEB Wizard
A simple dialog opens - upload your GAEB file (.x81, .p83 or .p84) and select the customer partner.
3. Select File and Partner, Then Import
After uploading the file and selecting the customer, click Import to generate the quotation instantly.
4. Quotation Created with Full BOQ Structure
The sale order is created automatically with partner set, date populated, and Show Numbering On Report enabled by default.
5. Hierarchical Lines with GAEB Numbering
All sections become header rows and all positions appear as product lines - each with its original GAEB numbering code, quantity, unit of measure, and unit price.
6. Control NUMBERING Column on PDF Reports
The Show Numbering On Report checkbox (highlighted) controls whether the GAEB position codes appear as a dedicated column on printed quotations.
7. Full Traceability in the Chatter
The original GAEB file is automatically attached and a timestamped message records which file the quotation was imported from.
8. PDF Quotation - With Numbering Column
When Show Numbering On Report is enabled, a NUMBERING column appears before the Description - matching the original GAEB position codes your client expects.
9. PDF Quotation - Standard Layout (Numbering Off)
Uncheck the flag to switch back to the standard Odoo quotation layout - no changes to the line data, just the report view.
.x81 - GAEB DA XML
Modern XML-based format (GAEB DA XML 3.1). Full hierarchy via nested BoQCtgy elements. Supports nested sub-sections to any depth.
.p83 - GAEB 2000 (Tender)
Fixed-width text format. Tender / LV document. T2 (positions), T3 (short text), T4 (long text), EP (unit price). Supports 3-level OZ numbering.
Used for public tender documents.p84 - GAEB 2000 (Offer)
Same fixed-width format as .p83 but used for contractor offers / Angebotsabgabe. Unit prices (EP records) are fully parsed and imported.
Used for contractor offer responsesInstallation & Configuration
- Install the Module: Install through Odoo Apps or copy to your addons path and update app list

Construction Contractors
Receive tender BOQ from the client, import into Odoo, add margins per section, and send back a professional quotation with all original position codes preserved.
Electrical & HVAC Installers
Import detailed equipment and installation BOQs (.p84 offers) with pre-filled unit prices - review and submit via Odoo Sales in minutes instead of hours.
Facility Management
Import GAEB renovation or maintenance BOQs, assign to the right partner, and convert directly to a sale order - full BOQ traceability in the Odoo chatter.
Solar & Renewable Energy
Import PV installation BOQs with sub-system sections - modules, inverters, wiring, commissioning - each section and position mapped exactly as structured in the GAEB file.
Public Tenders
Official GAEB DA XML (.x81) files from public procurement portals import cleanly - all RNoPart numbering, section labels, and item quantities land directly in the quotation.
Invoice Numbering
When invoicing from a GAEB-imported sale order, position numbers carry over to the customer invoice - enabling numbered invoices that match the original BOQ structure.
Hours Saved per Quotation
A 200-line BOQ that took 3â4 hours to re-enter manually now imports in under 10 seconds - with zero transcription errors.
Client-Ready PDF Output
The optional NUMBERING column on PDF quotations mirrors the GAEB position structure clients expect - no manual formatting required.
Complete Audit Trail
The original GAEB file is attached to the sale order chatter - any team member can retrieve the source document at any time.
Works With Both GAEB Eras
Modern GAEB DA XML (.x81) and legacy GAEB 2000 (.p83/.p84) fixed-width files - both parsed in the same workflow.
