Ensure accuracy and transparency by requiring online customer signatures for timesheets prior to invoice confirmation. Streamline your billing workflow, enhance accountability and eliminate payment disputes with an integrated portal approval process.
1. Enable Timesheet Validation on Contact
Easily configure the online invoice timesheet validation requirement directly on the customer's contact form. This ensures all their timesheet-based invoices require signature approval before they can be posted.
2. Sale Order with Timesheet-Based Services
Create Sale Orders featuring service products invoiced based on delivered timesheets. Smart buttons provide immediate access to related projects, tasks and the total recorded hours directly from the order form.
3. Draft Invoice Linked to Timesheets
Generating a regular invoice from the Sale Order automatically links the recorded timesheets. A dedicated "Send Timesheet Confirmation" button is made available for seeking customer approval.
4. Posting Validation Guard
The system acts as a reliable safeguard. If a user attempts to confirm the draft invoice before the customer provides their timesheet signature, a clear validation error will prevent the posting.
5. Integrated Validation Requirements
The invoice prominently displays the active timesheet validation settings. It highlights the required timesheet signature feature and offers a quick action to trigger the email confirmation process.
6. Dedicated Signature Tracking Tab
A dedicated "Timesheet Approver Signature" tab on the invoice lines notebook is reserved for tracking the signature. This maintains a complete audit trail of who signed, the exact timestamp and the digital signature image.

Use the automated email wizard to send a signature request. The pre-configured template formally asks the customer to review their timesheets and provides a convenient "Review & Sign Timesheets" portal link.

Customers receive a clean, professional email invitation. It directly informs them about the pending invoice timesheets and guides them to the secure online portal for their final review and digital approval.
9. Interactive Customer Portal
Through the online portal, customers can seamlessly review every individual timesheet entry linked to the draft invoice and download the full Timesheet PDF report.
10. Integrated Digital Signature Pad
The portal includes an intuitive digital signature modal. Customers provide their full name and easily draw or auto-generate their signature to formally validate the billed timesheet hours.
11. Real-Time Portal Confirmation
Upon submitting their signature, the customer immediately sees a success confirmation on the portal. The rendered digital signature is prominently displayed underneath the validated timesheet records.
12. Backend Signature Synchronization
The portal approval is instantly synchronized to the backend. The approver's signature populates the invoice tracking tab and it is automatically embedded onto the internal Timesheet PDF report.
13. Confirmed Invoice with Attached Signature
With the customer's timesheet signature securely logged, the draft invoice can finally be confirmed. The posted invoice permanently retains the signature record for accountability and smooth payment processing.
