Accrual Advanced
Customizable Leave Allocation Calculator
Replace the standard accrual engine with a powerful, configurable calculator that supports prorate, period-start, and period-end methods — with full limit controls and audit trails.
What We're Solving
----------------
Custom Accrual Methods
Odoo's native accrual system is limited. This module provides 3 accrual methods: Prorate (proportional to days worked), Period Start (full allocation at beginning), and Period End (full allocation at completion). Configure the exact behavior your organization requires.
Three-Tier Limit System
Control leave accumulation with three independent limits: Accrual per Period (max days earned in a single period), Carryover (max days transferred between periods), and Total Balance (absolute ceiling on accumulated days). Each limit generates automatic loss entries in the audit trail.
Full Accruement Audit Trail
Every balance change is recorded in a dedicated Accruement Ledger with the date, amount, and reason. Track exactly how the balance changed over time — including gains, losses from limits, and carryover adjustments. Perfect for audits and compliance.
Balance Projection Wizard
Need to know how many days an employee will have on a future date? The built-in Accrual Balance Calculator wizard lets you simulate the balance at any date, showing the full breakdown of accruements period by period.
Setup & User Manual
Step-by-Step implementation
1. Configuration Guide
Set up your first accrual allocation in 5 simple steps:
- Go to Time Off > Managers > Allocation.
- Create a new allocation and set Type = Accrual Allocation.
- Select Allocation per Accrual Period (e.g., 20 days per year).
- Choose the Accrual Method: Prorate, Period Start, or Period End.
- Optionally enable Limits for accrued days, carryover, or total balance.
2. Operating Manual (Workflow)
How the system behaves for the end-user:
Automatic Recalculation
The cron job periodically recalculates all validated accrual allocations. You can also trigger a manual recalculation from the Configuration menu or the allocation's action menu.
Accruement History
Each allocation shows a detailed list of accruements directly in the form view. You can see exactly when days were added, and if/when losses occurred due to configured limits.
Prorate Precision
The prorate method calculates days based on actual worked days vs. workable days, using a 1/16th rounding factor for quarter-day precision. Unpaid leaves are excluded from worked days.
Hours or Days
Configure allocations in Hours or Days. When using hours, the system automatically converts to days using the employee's calendar hours per day.
Global Ready | Multi-Language Support
This module is fully translated into English and Spanish (en_US, es_ES, es_PE, es_MX), ensuring a professional experience for international organizations.

QA / User Testing Scenarios
Enterprise Validation Plan
Scenario 1: Prorate Accrual Calculation
- Create an employee with a standard 40-hour calendar.
- Create an Accrual Allocation: 20 days/year, method = Prorate.
- Validate the allocation.
- Test: After 6 months, recalculate. Balance should be ~10 days.
- Test: Check accruement history shows monthly entries with "Prorate accruement for X of Y days".
Scenario 2: Period Start vs Period End
- Create two allocations: one with Period Start, one with Period End.
- Both set to 1.5 days/month.
- Test: After 1 month + 1 day, Period Start should show 1.5 days; Period End should also show 1.5 days.
- Test: Mid-month, Period Start shows 1.5 days but Period End shows 0 days.
Scenario 3: Limit Enforcement
- Create an allocation: 1.5 days/month, Total Balance Limit = 10 days.
- Validate and recalculate after 12 months.
- Result: Balance MUST be exactly 10 days, not 18.
- Result: Accruement history should show "Loss due to accumulation limit" entries.
Scenario 4: Balance Calculator Wizard
- Open a validated accrual allocation.
- Click "Calculate as of Date".
- Select a date 6 months in the future.
- Result: The wizard MUST show a projected balance and a full period-by-period breakdown.
FAQ & Troubleshooting
Common Resolutions
Balance not updating automatically?
Reason: The allocation might not be in "Validated" state, or the employee is inactive/has no contract start date.
Fix: Ensure the allocation is validated and the employee has an active contract with a start date set.
Days accrued are less than expected?
Reason: The Prorate method adjusts for unpaid leaves. If the employee had absences, the accrual is proportionally reduced.
Fix: Check the accruement history for entries showing "Prorate accruement for X of Y days" to see the exact ratio used.
What happens with manual recalculation?
Answer: The recalculation completely recomputes the balance from scratch (date_from to today), replacing all previous accruement entries.
Detail: This is safe and idempotent — you can run it as many times as needed without side effects.
Can I use hours instead of days?
Answer: Yes!
Detail: Set "Unit of time" to Hours. The system automatically converts hours to days using the employee's calendar (e.g., 12 hours ÷ 8h/day = 1.5 days).
