AI Sales Order Capture — Turn a Customer PO into a Quotation

Upload the PO or RFQ a customer sent you — a PDF or a phone photo — and AI builds the quotation: customer, products, quantities, prices and even your custom fields. Bring your own API key.

AI reads a customer PO and fills the quotation, matching products in Odoo.

Drop the order → AI extracts every line and matches products → review and create the quotation. The original document is attached.

Stop retyping customer orders

1. Upload

In AI Quotes > Inbox, drop the customer's PO or RFQ — a PDF or a photo.

2. Extract

Click Extract with AI. A vision model reads the document and fills the customer, lines, quantities and prices.

3. Create the quotation

Review the proposed customer and matched products, then click Create Quotation — a draft sale.order with the original attached.

Bring your own AI

Use your own API key — Anthropic Claude (reads PDFs and images natively) or OpenAI. The module calls the provider directly from your Odoo: no data goes through a third party, and you control the model and the cost. Switch models anytime.

  • Full extraction — customer, tax ID, email, customer reference, order & expected dates, currency, line items (code / description / quantity / price) and totals.
  • Smart matching — finds the customer by tax ID, email or name (can create it) and matches each line to a product by code or name.
  • One-click quotation — creates a draft sales order with the lines and the original attached. Unmatched lines are kept as a note so nothing is lost; you can also let it create the missing products.
  • Fills your custom fields too — auto-discovers the custom (Studio) fields on your quotations and asks the AI to capture them as well, matched by their label. No mapping to maintain, and ignored if your database has none.
  • An inbox you control — status per upload, editable fields, full review before anything is created.
  • Your key, your model — Anthropic Claude or OpenAI; you decide the model and the spend.
  • Safe by design — nothing is ever confirmed or sent automatically; you always review.

Permissions & data security

Built to respect Odoo's access model — audited so nothing leaks between users or companies.

  • 🏢 Multi-company isolation. Every record and setting is tagged to its company; a user only ever sees the data of the companies they are allowed into. Cross-company access is impossible — verified.
  • 🔑 AI key encrypted & admin-only. Your provider key is stored encrypted at rest (Fernet / AES) — the plaintext is never saved — and is readable or editable only by a system administrator.
  • 👤 Role-based access. The app respects Odoo's access groups — there is no portal or public exposure. Everything computes on your standard data through the app's own service, so no restricted field is ever surfaced.
