Fleet Repair Request & Service Appointment Scheduler by Kaizen Principles turns your website into a self-service intake desk for vehicle repairsâwhile keeping your internal workflow simple and connected. Customers pick an adviser, choose an available time slot, and submit details (year/make/model, license plate, services, notes, files). Each submission automatically creates a Repair Request with a unique number, schedules a Calendar meeting for both parties, links or creates the Fleet Vehicle, and can trigger a Project Task, Repair Order, and Service Logsâall from one form. Service types display estimated time and charges with live totals, giving customers clarity and your team fast triage. In the portal, clients track status, exchange messages, upload documents, and leave post-service ratings, reducing back-and-forth. Managers define default repair teams, control appointment slots by weekday, and analyze workload via pivot/graph views. The result: cleaner intake, fewer phone calls, shorter cycle times, and end-to-end visibility without adding new menus or complex processes.

Fleet Repair Request & Service Appointment Scheduler
Gain full control of repair intake-customers book, track, and collaborate on vehicle service requests in real time through a secure, branded portal. From adviser selection and available time slots to vehicle details, service choices, attachments, and messages, everything is captured once and auto-generated across Odoo: a unique Repair Request, Calendar meeting, linked (or created) Fleet Vehicle, and optional Project Task, Repair Order, and Service Logs. Live estimates show total time and charges up front, while portal updates, file sharing, and post-service ratings reduce calls and speed decisions. Every actionâsubmissions, messages, attachments, and status changesâis logged in Odoo for clear audit trails and accountability. Whether youâre running a busy workshop, coordinating a corporate fleet, or cutting admin back-and-forth, this module centralizes your workflow, shortens cycle times, and elevates customer self-service.
Book Appointment & Choose Services
Enter the subject, pick your adviser, set the date and time, select the required service types, and add vehicle details (year, plate, make). The panel on the right updates total time and charges instantly.
Mark Adviser as Available
Open the contact and tick âAvailable for Appointment / Schedule?â to allow this person to appear in the website booking adviser list.
Add Vehicle Details & Submit
Enter the license plate, make, model, and current mileage. Describe the service request, attach any photos or documents, and click Submit to create the repair request.
Request Submitted â Reference Generated
Your repair request has been received. Keep the shown reference number for follow-up, and check your email/portal for updates and next steps.
Review Incoming Repair Requests
Go to Fleet Repair â Fleet Repair Request to see new submissions in Kanban. Open a card to review details, assign a technician, and continue the workflow.
Assign Repair Team
Open the repair request and choose a Fleet Team (and leader/technician if needed) to take ownership and continue the workflow.
Configure Fleet Teams
Go to Configuration â Fleet Teams to add teams, set a Leader, and mark a team as Default so new web requests auto-assign to it.
Define Team, Leader & Members
Open the fleet team, set the Name and Leader, tick Is Default Team? if this should receive web requests by default, and add your Team Members.
Select Department
On the repair request, choose the responsible Department (e.g., Internal) to route ownership, reporting, and approvals. Set project/analytic later if needed.
Set Analytic Account
Open Analytic Accounts to create or pick the right account, then assign it on the repair request to track timesheets and costs.
Create or Select Analytic Account
From Analytic Accounts, create a new account or pick an existing one (e.g., âInternalâ) to track repair timesheets and costs, then assign it on the request.
Finalize Assignment & Targets
Confirm the Customer, assign Team Leader and Technician, set the Analytic Account and Priority, add an expected Close Date, and monitor Total Hours Spent as timesheets are logged.
Review Service Types & Charges
On the Service Types tab, confirm the selected services, their estimated time, charges, and category. Add or remove lines as needed before proceeding.
Log Timesheets
On the Timesheets tab, add the date, user, description, billable flag, and hours worked. Entries roll up to Total Hours Spent for tracking and billing.
Create or Link Vehicle
Review the vehicle details under Extra Info and click Create Vehicle to add it to Fleet (or link an existing one by license plate) so future services and repairs are tracked.
Verify Vehicle in Fleet
Open Fleet â Vehicles to see the newly created vehicle card in Kanban. Confirm plate, model, and status before proceeding with services.
Capture Customer Rating
Use the Customer Rating tab to record the clientâs rating (Poor â Excellent) and their comment after the service for quality tracking and follow-up.
Create Vehicle Service
Click Create Vehicle Service to generate service log entries for the linked vehicle. The logs are tied to this repair request and appear in Fleet â Services for tracking and billing.
Confirm Service Lines (Wizard)
Review the service types in the Vehicle Service Wizard, adjust if needed, then click Create to generate vehicle service log entries linked to this repair.
Review Vehicle Service Logs
Check the generated service log entries for the vehicle, update details or costs, and use New to add more services as needed. Track progress by stage.
Link Vehicle to a Product
Open the vehicle and set the Product Related field. This product will be used on repair orders and service logs for pricing and reporting.
Create Repair Order
Click Create Repair Order to generate a repair order pre-filled with the customer, vehicle, and related product. Use it to add parts/operations, track costs, and proceed to billing.
Review Repair Orders
Open the Repair Orders list to see the order created from the request, with product, customer, schedule, and status. Open it to add parts/operations and proceed to billing.
Open Repair Analysis
Go to Reports â Repair Analysis to view pivot/graph dashboards of requests by technician, customer, date, priority, and state.
Analyze Repairs (Pivot)
Use the pivot to break down repairs by technician, team, state, priority, customer, or date. Expand rows, change measures, and export to a spreadsheet.
