Base Module for Expense Management
This module extends the standard Odoo Expenses application to support enhanced workflows, accounting configuration, and functional validation features, especially for companies that require structured control over expense reimbursements and review processes.
This module does not include localization features (e.g., XML parsing, tax splitting, tolerance rules). Such functionality is delivered by country-specific modules like l10n_mx_edi_hr_expense.
Key Features
- Support for Payment with Petty Cash (Debit from the custody of the employee): Employees can pay expenses using petty cash funds held in their custody (as a card). Later, the petty cash is replenished by the company. When the employee uses petty cash, the petty cash journal will reflect the debit.
- Extended employee configuration: Additional fields for reimbursement journals, petty cash journals, company account and assigned accountant.
- Generic workflow checks: Prevents invalid actions like mixing employees in the same sheet, submitting non-draft expenses, or missing payment mode/journal configuration.
- Functional and fiscal approval checks: Adds the structure to perform functional and fiscal validations before reporting or approving expenses (the specific rules depend on each localization module).
- Expense accounting logic:
- Support for vendor bill creation from expenses.
- Posting and payment registration flows.
- Journal entries reclassification tools for accountants.
- Journal entries reclassification: Provides accountants with tools to reclassify expenses or vendor bills without the need to cancel and recreate them. This includes adjusting the account, product, or accounting date of the original entries in order to comply with internal policies, reporting needs, or specific accounting criteria. The feature ensures flexibility in accounting while keeping the expense workflow simple and consistent.
- Supplier tags: Introduces a mechanism to classify suppliers using tags that influence how invoices are created, validated, accrued, or paid when they originate from expenses. These tags allow companies to define special rules for fiscal consistency (e.g., ensuring CFDI alignment, handling tax splitting, or managing rounding mismatches) as well as automating repetitive accounting tasks such as auto-validation or direct payment of vendor bills. Each tag has a specific business purpose and should be applied carefully to the corresponding suppliers.
- System parameters and automations:
- Optional journal auto-creation for employees.
- Parameters to control behaviors such as default partner for unmatched vendors or disabling acknowledgment emails.
- Expense merging improvements: Enhances the process of merging expenses (combining compatible expense records into a single entry to simplify reporting or invoicing while preserving links to electronic documents and avoiding duplicate or conflicting data) expenses by adding stricter checks and safeguards.
