US IRS W-2 / SSA EFW2 File Generator
Build the electronic Form W-2 (EFW2) for SSA Business Services Online
Generate the Social Security Administration EFW2 wage file directly in Odoo and upload it to Business Services Online (BSO) yourself, meeting the IRS 10-return electronic-filing threshold. The module is built on Accounting with its own W-2 wage models, so it needs no Enterprise payroll. It produces a standards-compliant file of fixed 512-byte records per SSA Publication 42-007 — RA, RE, RW, RS, RT and RF. Compatible with Odoo 18 and Odoo 19, Community and Enterprise.
Full EFW2 record set
RA submitter, RE employer, RW employee wage (Boxes 1-12), RS state and local wage/tax records, RT totals and the RF final record — every byte position fixed exactly where the SSA expects it, with strict ASCII encoding and a per-record length check.
State RS records
Attach one or more state records to each employee for state and local taxable wages and withholding, with FIPS state coding and two-letter postal-code validation across all 50 states, DC and the territories.
Real EIN & SSN validation
Employer Identification Numbers are checked against the IRS valid-prefix rules; Social Security Numbers are checked against the SSA structural exclusions (area 000/666/900-999, group 00, serial 0000), so bad identifiers are caught before BSO rejects the upload.
FICA wage derivation
Box 3 Social Security wages capped at the annual wage base, Box 4 at 6.2%, Box 5/6 Medicare including the 0.9% Additional Medicare Tax above the threshold. Every rate and limit is an editable company field — you adjust them as the IRS figures change. Nothing is hard-coded.
Validate & preview
A one-click validation lists every blocking issue; a preview wizard shows the RA/RE/RW/RS/RT/RF record-type counts and a column-aligned record preview before you generate the file.
Deadline reminder
A daily scheduled action posts a chatter reminder on any unfiled batch as the 31 January SSA filing deadline approaches, so nothing slips.
BYOK — your credentials, your upload
This module builds the EFW2 file locally and never transmits anything. You upload it to SSA Business Services Online with your own SSA credentials. Confirm all rates, limits and the EFW2 layout against the current SSA Publication 42-007 and IRS guidance before filing live.
