Multi Company Email Communications

Let every user send emails as the company they're currently working for - the right "From" address and the right signature, switched automatically.



Problem: One User, One Email - Even Across Companies

Out of the box, Odoo sends every outgoing chatter email under a single user's single email address and single signature - no matter which company that user is currently acting for.

  • An accountant working across Company A and Company B always emails vendors and customers from the same address, even when clearly acting for the other company
  • Signatures are per user, so there's no built-in way to sign off with each company's own name, role, or branding
  • Recipients can't tell, from the sender address alone, which legal entity they're actually dealing with
  • Setting up a distinct mailbox and signature per company today means manually swapping settings every time a user switches company


Solution: One Identity per Company, Applied Automatically

This module adds a Multi-Company Email tab to both the company form and the user form. Set an outgoing email address per company on each user, and a default HTML signature per company. From then on, whenever that user posts a chatter message or gets notified while Company X is their active company, the outgoing email leaves under Company X's address and signature - switching again automatically the next time they change company.



Key Features
  • Per User, Per Company Email Address - each user can define a different outgoing "From" address for every company they have access to
  • Per Company Default Signature - set one HTML signature template per company, automatically used by every user of that company who hasn't set a personal override
  • Personal Signature Override - any user can still define their own signature for a specific company, taking priority over the company default
  • Automatic Switching - the active company drives which address and signature are used, with no manual step required when switching companies
  • Self-Service Setup - users can manage their own company email addresses and signatures directly from My Profile / Preferences
  • Works with Outgoing Mail Servers - pair each company's domain with a matching "From Filter" on an outgoing mail server so the right server relays each company's mail
  • Safe Fallback - companies or users left unconfigured simply keep using the account's normal email and signature, so nothing breaks for anyone not set up
  • Zero Disruption to Shared Data - the override only affects the "From" address and signature used on outgoing email; the user's actual login, partner record and contact email are never touched


How It Works - Step by Step

1. Set a Default Signature per Company

Open a company's form and fill in its HTML signature on the new Multi-Company Email tab. Any user of that company who hasn't set a personal override automatically falls back to this signature.

2. Assign a Company Email to Each User

On the user's form, the Multi-Company Email tab lists one row per company they have access to - the outgoing address to use, and optionally a personal signature that overrides the company default for that company only. Here, this user has one address for San Francisco and a second address with its own signature for Chicago.

3. Users Can Manage Their Own Setup from My Profile

No admin trip required for day-to-day changes - every user can review and edit their own company email addresses and signatures directly from My Profile / Preferences, right below their usual signature.

Holding Companies & Groups

Shared back-office staff who work across several legal entities need every email to look like it genuinely came from that entity.

Multi-Brand Businesses

Each brand is its own company with its own domain and signature, but the same sales or support team operates all of them.

Shared Services Teams

Accounting, purchasing or HR teams that process transactions for multiple companies from a single set of user accounts.

Consistent External Branding

Vendors and customers always see the correct legal entity name, address and signature on every email they receive.

Compliance-Conscious Groups

Correspondence issued on behalf of the wrong legal entity is a real compliance risk this module removes automatically.



Step-by-Step Setup Guide

Step 1 - Configure Outgoing Mail Servers

In Settings > Technical > Outgoing Mail Servers, set up one server per company domain (or a single relay that accepts all of them), and fill in its From Filter with the matching domain or address so Odoo picks the right server for each company's mail.

Step 2 - Set Each Company's Default Signature

Open Settings > Users & Companies > Companies, pick a company, and fill in its HTML signature on the new Multi-Company Email tab. This becomes the fallback signature for every user of that company.

Step 3 - Assign Company Emails to Each User

On the user's form (or their own My Profile dialog), open the Multi-Company Email tab and add a line per company they work with: the outgoing address to use, and optionally a personal signature that overrides the company default for that company only.

Step 4 - Switch Companies and Send

That's it. Whichever company the user has active in the top-right company switcher when they post a chatter message determines the outgoing address and signature - no extra clicks needed.

Pro Tip - Nothing Breaks for Unconfigured Users

A user or company with no Multi-Company Email setup keeps working exactly as Odoo does today - their normal login email and personal signature are used, unchanged.
