What You Get Without an API Key
OdooMind installs in Trial mode and is useful immediately — a built-in deterministic engine answers common business questions straight from your database, with no AI provider, no account, and no data leaving your server. Adding an API key unlocks the conversational AI layer.

Bring your own key from Anthropic (Claude) or OpenAI — or run a local Ollama model so no data ever leaves your server. There is no subscription to Techmatic for the AI itself; you pay your provider directly and cap it with the built-in monthly token budget.
Getting Started — Clear Steps
Install the app
Go to Apps, search for OdooMind, and click Install. No configuration is required to begin — the app opens in Trial mode.
Try it immediately (optional)
Open OdooMind → Chat and click one of the suggested questions. You get real answers from your live data right away, with no API key.
Add your AI provider key
Go to Settings → OdooMind. Choose your provider (Anthropic Claude, OpenAI, or local Ollama), paste the API key, then press Test Connection to confirm it works end to end.
Apply default role profiles
Still in Settings, click Apply Default Role Profiles. This creates sensible access scopes for Sales, Accounting, Inventory, Purchasing, HR, Manufacturing and Point of Sale in one click. Safe to re-run.
Set your guardrails
Optionally set a monthly token budget to hard-cap spend, turn on data residency to block all outbound AI traffic, and decide whether to allow chat-driven writes (off by default — read-only).
Review your alerts
Open OdooMind → Alerts. Rules run on a daily schedule and group findings by Critical / Warning / Info, each with an explanation and a recommended next step. Tune or disable any rule under Configuration.
Approve suggested actions
In Suggested Actions, OdooMind proposes what to do next. Nothing is executed until a human clicks Approve & Execute — you stay in control.

Every Monday a decision brief is generated automatically. Open Weekly Briefs, review the KPIs and narrative, then Download PDF or send it to subscribers.

Step 1 — One Settings Page, Everything Configured
The whole engine is configured from a single block under Settings → OdooMind. Pick your provider — Anthropic (Claude), OpenAI, or Ollama (local, no data leaves server) — paste an API key, then press Test Connection to validate the round-trip before you rely on it. Apply Default Role Profiles builds per-team access scopes in one click. The guardrails live here too: Data residency blocks outbound AI traffic entirely, the monthly token budget is a hard cap on spend (0 = unlimited), and chat-driven writes stays off unless you deliberately enable it — and even then every write obeys the user's own Odoo ACL.
Step 2 — Useful From Day One, Even Without a Key
Install and start asking. The chat opens with role-aware starter questions — "How many open opportunities are in the pipeline?", "Top 5 customers by revenue in the last 30 days", "Show me the biggest overdue invoice" — so nobody faces a blank box. The Trial banner is completely transparent about what you get for free (instant answers to common metrics, the alerts inbox, role profiles) versus what an API key unlocks (free-form conversation with follow-ups, AI narratives and suggested actions, the Requirements Architect). Add a key at any time from the button in the header.
Grounded Answers, With Their Sources
Ask a question and OdooMind answers from your live records — not from training data, and not from a guess. Every reply ends with the Odoo source it was built from (here, the CRM pipeline), so the number is auditable in one click. Because the query executes with the signed-in user's own access rights, two people asking the same question correctly get different answers if their permissions differ. Conversation context is preserved, so you can simply ask "and how about last month?" as a follow-up.
Role Profiles — Security You Can Actually See
One click on Apply Default Role Profiles creates a ready-made profile
for every standard Odoo team: Salesperson and Sales Manager, Accounting Manager and User,
Inventory Manager and User, Purchasing Manager, HR Manager and Officer, Manufacturing
Manager and Point of Sale Manager. Each profile maps an Odoo security group to the data
areas that role may reach, so scoping is explicit and reviewable rather than buried in a
prompt. Enforcement still happens in Odoo itself — access rights and
ir.rule record rules — which means multi-company and own-documents-only
isolation are honoured automatically.
A Rule Engine You Control
OdooMind ships with a library of business rules covering the whole ERP — sales drop over 30 days, overdue invoices above threshold, stagnant CRM opportunities, customer churn risk, vendor delay clusters, quotation-to-order ratio, week-over-week lead drop, stock stagnation, low-stock SKUs, WIP aging, BOM cost drift and manufacturing orders past their finish date. Every rule is an ordinary Odoo record: set its severity, toggle it active, see when it last ran and how many alerts it currently has open, or press Run now to execute it on demand. No code required to tune the thresholds that matter to your business.
Alerts That Explain Themselves
Findings arrive grouped by severity — Critical, Warning and Info — so the urgent items are never buried. Each alert is written in business language, not SQL: what happened, why it matters, and a concrete recommended action. "Overdue receivables crossed a critical level → prioritise collection calls on the largest overdue invoices." "A vendor is late on 4 purchase orders → escalate or source an alternative supplier." Alerts cite the underlying records, and the same inbox spans Sales, Accounting, CRM, Inventory, Manufacturing, HR and Point of Sale.
The AI Proposes — You Decide
OdooMind never acts behind your back. When it identifies something worth doing, it files a suggested action for review: the action itself, the exact target record it would touch, a written rationale, a severity and a confidence score. You either Approve & Execute or Reject. This is what makes an AI assistant safe to run against a production ERP — proposals are cheap and reversible, and a human is always the one who commits the change.
Every Proposal Is Fully Auditable
Open any suggestion and you see the complete picture: the action type, the target model and record (with a direct Open Target Record button), the alert that triggered it, the severity, the confidence, the written rationale and the exact payload that would be executed. A clear status bar tracks it from Pending review through Approved and Executing to Done, so there is always a defensible record of who approved what and when.
No Black Box — Token Usage Is Always Visible
Every brief and every query records its own cost: input tokens, output tokens, cached tokens and how long the run took, with running totals across the list. Combined with the monthly token budget in Settings, you always know exactly what your AI assistant is spending — and it stops on its own when it hits the cap you set. Prompt caching is used automatically to keep repeat questions cheap.
The Weekly Brief Your Management Actually Reads
Once a week OdooMind assembles the state of the business into a single page: an executive summary in plain English, KPI cards for revenue, overdue A/R, new leads and open quotations, then short Cash and Pipeline sections that call out what moved and flag the risks — "26,200.50 across 30 overdue invoices represents significant uncollected cash." It is generated on a schedule, so it lands without anyone remembering to run a report, and you can Download PDF or Send to Subscribers straight from the brief.
From a Hand-Drawn Diagram to a Requirements Document
Describe a business process in ordinary language — "leads come from the website, get qualified, demoed, then converted to a sales order" — or simply attach a photo of a flow diagram from a whiteboard. The Requirements Architect analyses it against the Odoo apps you actually have installed and writes a full requirements document. It works as a conversation, so you keep asking for changes until it is right, then export the finished document to PDF.
