Install the module, add documents and dependents on each employee's GCC Compliance tab, and let the daily reminder job and dashboard keep every Emirates ID, Iqama, visa and passport renewed on time.
1. Install the module
- Open Apps, remove the Apps filter, and search GCC Document Compliance.
- Click Install. The standard hr, mail, sms and calendar apps are installed automatically as dependencies.
2. Configure the resignation template
- Go to GCC Compliance > Configuration > Resignation Template.
- Adjust the default offboarding items (visa cancellation, labor card / work permit cancellation, medical insurance, final settlement, NOC, etc.) to match your company process. New resignation checklists pull from this list automatically.
- Make sure the GCC Document Expiry Reminders scheduled action is active under Settings > Technical > Scheduled Actions (it is enabled by default and runs daily).
- Configure your outgoing email server and SMS (IAP) account so reminders can be delivered.
3. Add documents and dependents
- Open an employee and go to the GCC Compliance tab, or use GCC Compliance > Documents > All Documents.
- Add a document: choose the Document Type (Emirates ID, Iqama, visa, passport, etc.), enter the number, issue date and expiry date, and attach a scan or photo.
- Register family members under Dependents (spouse, son, daughter, parent) and add their documents the same way.
- The status (Valid, Expiring Soon, Expired) and days-to-expiry update automatically.
4. Watch the dashboard and reminders
- Open GCC Compliance > Dashboard for a kanban board grouped by status; switch to the list or graph view as needed.
- Use GCC Compliance > Documents > Expiring & Expired to see only what needs action.
- A daily background job creates an Odoo activity and sends an email and SMS at 90, 60, 30 and 7 days before expiry to the responsible person.
- Updating a document's expiry date (renewing it) automatically resets the reminder flags.
5. Resignation checklists and reports
- When an employee resigns, create a record under GCC Compliance > Resignation Checklists; it is pre-filled from your template.
- Click Start, then let the PRO team update each task as Pending, In Progress or Done; the progress bar updates live, and the record moves through Draft, In Progress and Completed.
- Use GCC Compliance > Compliance Report to filter by employee, document type, status or expiry date range.
- Click Print PDF for management, or Export XLSX for an Excel audit file.
