Self-Service Portal

Employees can submit loan and salary advance requests directly from the portal. Track application status, view repayment schedules and download loan statements — all without HR assistance.

Multi-Level Approval

Installment Scheduling

User guide

Install the module, configure loan types and approval rules, let employees submit requests from the portal, and track repayments through installment schedules and payroll deductions — all the way to EOS settlement.


1. Install the module

  1. Open Apps, remove the Apps filter, and search GCC Salary Advance & Loan Manager.
  2. Click Install. The hr, hr_payroll, portal, and mail modules are installed automatically as dependencies.

2. Configure loan settings

  1. Go to Settings > Employees and find the Loan & Salary Advance section.
  2. Enable loan features, set minimum & maximum loan amounts, maximum repayment period (months), and interest rate if applicable.
  3. Configure approval stages — choose which roles (Manager, HR Officer, Finance Officer) must approve each loan type.

3. Submit a loan request (Employee)

  1. Employees go to the Self-Service Portal and click Loan & Salary Advance.
  2. Choose Loan Type (Salary Advance or General Loan), enter the amount, repayment months, and a reason.
  3. Attach any supporting documents and click Submit. The request enters the approval pipeline automatically.

4. Approve a loan request

  1. Approvers receive an email notification and can also see pending requests under Payroll > Loan & Salary Advance > Loan Requests.
  2. Each approver (Manager → HR → Finance) can Approve, Reject, or add comments before passing to the next stage.
  3. Once all stages are approved, the loan status changes to Active and installment schedule is auto-generated.

5. Track installment repayments

  1. Go to Payroll > Loan & Salary Advance > Installments.
  2. View the generated schedule — each installment shows due date, amount, and status (Pending / Deducted).
  3. Deductions happen automatically through payroll — each month's installment appears as a salary attachment in the employee's payslip.

6. Record installment payment

  1. Go to Payroll > Loan & Salary Advance > Installments and open a pending installment.
  2. Click Record Payment. The payment wizard opens — enter the payment amount, payment date, and optional notes.
  3. Click Confirm Payment. The installment status updates to Paid (or Partially Paid) and the loan balance is automatically recalculated.

7. Generate reports

  1. Go to Payroll > Loan & Salary Advance > Reports.
  2. Choose from three reports: Outstanding Loans (active balances), Monthly Deductions (payroll impact), or Defaults Report (overdue installments).
  3. Filter by date range, department, or employee. Export to PDF or Excel for audit and management review.

Frequently Asked Questions

1. What types of loans does this module support?
The module supports two main categories: Salary Advance (short-term, typically a portion of the next salary before payday) and General Loans (longer-term, repaid over multiple months with or without interest). Both types go through the same approval workflow and repayment tracking.
2. How does the approval workflow work?
By default, loans go through a three-level approval chain: the employee's direct manager, an HR officer, and a finance officer. Each approver must sign off before the loan becomes active. The chain is fully configurable — you can skip levels or add more stages in the settings.
3. Are loan deductions automatic in payroll?
Yes. Once a loan is approved and activated, the system automatically creates an hr.salary.attachment record for each monthly installment. These appear directly in the employee's payslip as a deduction — no manual entry required by the payroll team.
4. What happens to outstanding loans when an employee resigns?
When an employee begins the resignation process, the system flags their active loans and calculates the total outstanding balance. HR can use the EOS Deduction Wizard to process a one-time settlement deduction from the employee's final payout, automatically closing all open loans.
5. Can employees track their loan status from the portal?
Yes. Employees can log into the self-service portal to view all their loan applications — submitted, pending approval, active, or closed. They can also see the repayment schedule, track paid vs. pending installments, and view their remaining balance at any time.
6. Can I set different loan limits for different employee groups?
Yes. Through Settings > Employees > Loan & Salary Advance, you can configure different maximum amounts, repayment periods, and eligibility criteria per contract type, job grade, or department. This ensures loan policies align with your company's compensation structure.
7. Is it compatible with Odoo 19?
Yes. This module is built for Odoo 19.0 and works on both Community and Enterprise editions. It depends on the standard hr, hr_payroll, portal, and mail modules — no third-party or external integration is required.
