Manage every stage of an employee's probation journeyâstructured reviews, weighted KPI scoring, multi-level approvals, and an executive dashboard.
1. What this module does
It adds Probation as a dedicated app under HR: each record covers an employee from onboarding to confirmation, with structured reviews, configurable KPI templates, and a 5-dimension scoring engine (KPI, Attendance, Technical, Communication, Discipline). Odoo computes the weighted average, classifies risk, and routes the record through a multi-level approval chain. You also get extensions, self-evaluations, automated reminders, an executive dashboard, AI insights, and PDF/XLSX tools.
2. Before you go live
- Install HR (and Discuss/Mail) plus this module from Apps.
- Assign the right access level on each user: Probation User (own records), Manager (team records), HR (company-wide) or Administrator.
- Open Probation â Configuration â KPI Templates and define reusable KPIs per department or job positionâwith weightage, min, max and passing score.
- Confirm employees have work email set so probation emails, reminders and approval notifications can be delivered.
3. Creating and running a probation
- Go to Probation â Probation Records and create a record: employee, start and end dates, KPI template, and the reviewers in the approval chain.
- Capture reviews on the schedule that fits your businessâmonthly, mid-term or finalâwith reviewer, type, notes and scores across the five dimensions.
- Use Submit, Approve, Request Changes, Extend, Reject or Confirm to move the record through the workflow; every transition is tracked in the chatter.
- Open Dashboard for the live HR view; print the Probation Report or use Excel export for offline analysis and meetings.
4. Automation and alerts
- A daily scheduled job scans for upcoming expiries, pending reviews and overdue evaluationsâand sends branded emails to the right people.
- Activities are auto-scheduled on reporting managers and HR so accountability is never about manual chasing.
- The AI insights engine summarises performance trajectory, classifies risk as Low / Medium / High, and suggests next-step HR actions on every record.
